  • ⚠️ Beware of Vendor Scams

    Regarding the increase in social media scams involving individuals posing as events and requesting vendor payments:

    • Vendor space is only available through this official application and approval process.
    • We DO NOT sell vendor space through social media.
    • We DO NOT email vendors requesting payment. We only direct interested vendors to our official application or our official payment platforms (TIXR or Square).
    • If a Square invoice is sent directly to you it will always be communicated by our Vendor Coordinator in advance, and you should be expecting it. All official emails end in "@stxconventions.com".
    • We DO NOT request Cash App, Zelle, or PayPal for vendor booth payments. 

    Please protect yourself by following the guidelines above. We are not responsible for payments made to fraudulent accounts or individuals impersonating our event.

  • Please Read Before Applying

    Submitting this application does not guarantee exhibition space at South Texas Comic Con 2027.

    Our Vendor and Artist selection process is curated to ensure a balanced and high-quality experience for attendees, and applications are not approved on a first-come, first-served basis.

    You can generally expect to hear back with an approval or denial within 2 weeks of your application. 

  • Vendor & Artist Approval Criteria

    Please note that all Retailers, Sponsors, and Artists must be approved prior to purchasing booth space. Our goal is to curate a diverse and high-quality Vendor Market that offers attendees a premium and engaging shopping experience.

    Approval is based on several factors, including but not limited to:

    • Available booth space
    • Booth layout and presentation
    • Product category balance (e.g., if you specialize in Funko Pop figures and we already have several vendors offering similar products, we may be unable to approve your application in order to maintain variety of product within the vendor market.)

    Please note: Applications featuring unlicensed or counterfeit merchandise will be automatically denied in accordance with our event policies.

  • Artist Alley Eligibility Policies

    Our Artist Alley is intended to showcase artists and creators selling their own original work. Applicants must be the creator of the artwork they offer for sale.

    Artwork that is copied, traced, reproduced without permission, or otherwise derived from another artist's work is not permitted.

    Artwork created using artificial intelligence (AI), in whole or in part, is not permitted in Artist Alley. This includes artwork generated by AI as well as artwork traced, edited, modified, or otherwise derived from AI-generated images.

    As part of the application review process, South Texas Comic Con may request work-in-progress photos, sketches, videos, source files, or other materials demonstrating the creation process and authorship of submitted work. Failure to provide requested materials if requested will affect application approval. 

  • Food and Beverage Vendors

    All food and/or beverage vendor applications are subject to a two-step approval process involving South Texas Comic Con (STXCC) and the McAllen Convention Center (MCC).

    First, food and/or beverage vendor applications must be reviewed and approved by South Texas Comic Con. If the vendor is selected to move forward, we will initiate the approval process with MCC. Final acceptance is contingent upon approval by MCC.

    Food and/or beverage vendors should not purchase booth space until written confirmation of venue approval has been received. Any purchases made prior to full approval may be delayed or denied.

    Upon full approval, vendors will be required to pay the booth space fee directly to South Texas Comic Con.

    In addition, the fee paid directly to MCC will depend on the type of approval you receive. This will be either $200 per event day or a percentage of your sales. Please note that this fee is subject to increase based on the scope of your application and final approval by MCC. Venue-specific fees and requirements may also be imposed and must be completed and paid separately (e.g. ice, electricity, etc). These requirements vary depending on the nature of the food and beverage service and are determined solely by the venue (MCC).

    In addition, all approved food and beverage vendors must obtain a Temporary Event Permit from the City of McAllen no later than two weeks prior to the event. Vendors who fail to secure this permit by the deadline will not be allowed to sell at the event, and no refunds will be issued.

  • Space Pricing

    • 10'x10' Retailer Inline - $650
    • 10'x10' Retailer Corner - $800
    • Artist Alley Inline - $275
    • Artist Alley Corner - $350

    *Retailer spaces do not include tables. Artist Alley spaces include 1 table per inline or 2 for corner. 

    *Spaces do not include electricity. Electrical set up is $65 if paid in advance, and $165 if paid upon arrival. 

  • Event Policies

    These rules and policies are enforced to ensure the safety, integrity and success of the event for all exhibitors, attendees and staff. By participating in the event, Exhibitors agree to comply with all guidelines outlined below. Violations of any rules and/or policies may result in removal from the event without refund.
  • REFUND AND EXHIBITOR CANCELLATION POLICY:                                    

    (a) More than 90 days before the Event:
    If you cancel your exhibit space more than 90 days before the Event begins, you will receive a full refund minus a $50 cancellation fee. The refund will be processed to your original payment method within 30 days.

    (b) Between 60 and 90 days before the Event:
    If you cancel between 60 and 90 days before the Event, you will be charged a 50% cancellation fee. The remaining 50% will be refunded to your original payment method within 30 days.

    (c) Less than 60 days before the Event:
    Cancellations made less than 60 days before the Event are not eligible for any refund. You will not receive any portion of your payment back.

    (d) Valid emergencies:
    In the case of a valid emergency, such as a serious illness, injury, or death in the immediate family, you are eligible for special consideration. Exceptions are at the sole discretion of South Texas Conventions events.

    NO-BOOTLEG POLICY
    Be aware that we strictly enforce our No-Bootleg Policy. Under no circumstances shall exhibitors display or sell grey market goods, otherwise known as “bootleg”, “pirated” or “counterfeit” merchandise. Possession or sale of unauthorized materials is at the exhibitor’s own risk. If items are found to be in violation, the items will be removed from display for sale immediately, and the Exhibitor will be asked to tear down at the end of the day, no refunds, no exceptions. Exhibitors found in violation of our No-Bootleg Policy will not be allowed to sell at future events. 

    18+ MERCHANDISE POLICY
    Any merchandise or artwork deemed indecent, obscene, lewd, or offensive by South Texas Conventions or the McAllen Convention Center will not be permitted for display.

    DISPLAY GUIDELINES FOR LEWD OR NSFW ART
    As a family-friendly convention with attendees of all ages, we require that all lewd, explicit, or sexually suggestive artwork be properly covered and displayed with discretion. Please adhere to the following guidelines:

    No Minimal Coverage – Small stickers, sheer sleeves, or partial censors are not acceptable. Use solid barriers that fully and effectively conceal the content. Coverage must be substantial enough that no genitalia, exposed nipples, or graphic sexual content is visible in any way.

    Opaque Covers Only – Use solid, non-transparent coverings (such as cardstock, folders, or binders) that fully conceal the artwork. No sheer plastic or see-through overlays.

    Staff Discretion Applies – If our staff determines any piece of art is not in compliance or is inappropriately displayed, you will be required to remove or cover it immediately.

    ARTIFICIAL INTELLIGENCE (AI)-GENERATED PRODUCTS/ART
    Exhibitors may not display or sell any products or artwork created using Artificial Intelligence (AI) at South Texas Conventions events. This includes, but is not limited to, AI-generated artwork, designs, prints, merchandise, or any other items made with the use of AI during the creation process. If items are found to be in violation, the Exhibitor will be asked to tear down at the end of the day, no refunds, no exceptions. Exhibitors found in violation of our no Artifical Intelligence policy will not be allowed to sell at future events. 

    WEAPONS SALES
    Any prop or replica that can be used as a weapon must be sold in a completely sealed box. Sales to minors are not permitted unless accompanied by an adult guardian. Weapons must be displayed in a manner that ensures they cannot be easily reached by attendees. Safety is the top priority.

    SALES TAX PERMIT
    All exhibitors are required by Texas law to have an active Texas Sales Tax Permit. Exhibitors must have their Sales Tax ID # available throughout the event. Should the Texas Sales Tax Permit be inactive, exhibitors are required to update it prior to selling at the event. Texas law mandates an 8.25% sales tax to be charged on purchases made within the state.

    TABLES
    Artist Alley Inlines include 1 table, and Artist Alley Corners include 2 tables. Please note that Retailer spaces do not include tables.

    ELECTRICITY
    Electricity is not included with the exhibition space purchase. Electricity, it can be purchased in advance from the McAllen Convention Center at a pre-event rate of $65 plus tax. On-site purchases made the day of the event will be charged at a higher rate of $165.

    PIPE AND DRAPE
    Pipe and drape is not included with your reservation.

    BOOTH/TABLE PLACEMENT
    The placement of booths/tables is at the sole discretion of South Texas Conventions. We reserve the right to change the layout at any time prior to or during the event.

    EXHIBITOR WRISTBANDS
    Each exhibitor will receive two exhibitor wristbands per space purchased. Additional exhibitor wristbands will be available for purchase during check-in, with a limit of two at a discounted rate of $45 for the weekend. Additional wristbands may be purchased at regular price if needed. Lost wristbands will not be replaced, and will need to be re-purchased.

    BOOTH OCCUPANCY
    Any reserved booths or tables must remain occupied during event hours. Early teardown is not permitted. If an exhibitor's booth is unoccupied or not set up during event hours, it may be claimed by South Texas Conventions without refund.

    SUB-LEASING/TRANSFERS
    Exhibitors may not transfer, gift, or sublet all or any portion of their designated exhibit space. Each exhibitor must apply individually and be approved in order to exhibit. If an exhibitor is unable to attend, their space will be offered to a pre-approved exhibitor on the waitlist.

    OUTSIDE FOOD & DRINK
    Outside food and drink are prohibited inside the McAllen Convention Center at all times, including during setup and teardown. Exhibitors with medical necessities for food or drink are encouraged to notify security for assistance in making accommodations.

    FOOD VENDORS
    The sale of food and beverages is prohibited unless prior written approval is obtained from both South Texas Conventions and the McAllen Convention Center. Food and Beverage vendors are subject to additional fees.

  • General Display Policies

    1. All exhibits must be free-standing. The use of tape, nails, pins, adhesives, etc., on any surface of the facility is strictly prohibited.
    2. All displays must be designed and installed securely to ensure safety for both exhibitors and attendees. Displays should support the weight of the products being displayed.
    3. All displays must remain within your designated space. This includes any feet or bases of display units. Towers and tall displays must not extend into neighboring booths or vertical spaces above them.
    4. Sound levels for music, presentations, etc., must be maintained at a reasonable level to avoid disrupting neighboring exhibitors or attendees. If event staff receive complaints or deem sound level objectionable, exhibitors will be notified and required to lower volume or cease use of sound.
    5. Any displayed artwork or items must be appropriate for a PG-13 audience.
    6. No blocking or obstruction of fire hose connections, fire extinguisher cabinets, fire alarm call stations, aisleways, or exits at any time. All such areas must remain visible and unobstructed at all times, in full compliance with fire safety regulations and facility building codes.
    7. Open flames, toxic materials, and hazardous substances are strictly prohibited in the facility.
    8. Helium balloons, glitter, candles, confetti, and streamers are not allowed.
    9. The venue will not provide storage for crates, containers, or freight.
  • Artist Alley Display Policies

    Artist Alley exhibitors must comply with all of the above policies and the following additional guidelines:
    1. Artist Alley tables may only be used to sell original artwork. Artist Alley tables are prohibited from selling retail merchandise of any kind. Any items such as pins, apparel, or accessories, must exclusively feature the artist’s original work. 
    2. All of the Artist Alley exhibitor artwork displayed must be the work of a creator who is present at the table, or the exhibitor must provide written permission from the artist explicitly granting authorization to display their work at our specific event location and dates.
    3. Artist Alley tables must remain in their original assigned placement; exhibitors are not allowed to move or rearrange their tables.
    4. Artist Alley exhibitors are prohibited from bringing additional tables or chairs to their assigned space.
    5. Artist Alley display materials must not extend more than 4 feet behind the table.
