  • VENDOR GUIDELINES & RULES

  • 1. INDEMNIFICATION Vendors shall indemnify and hold harmless the Town of Chesapeake Beach, its officials, employees, and agents from all liabilities, judgments, settlements, losses, costs, or charges (including attorneys' fees) resulting from claims, demands, actions, or suits related to bodily injury (including death) or property damage arising from the Vendor's use of Town property or participation in Town events during the 2026-27 special event season.
  • 2. LICENSE AND PERMIT REQUIREMENTS Vendors must provide the Town with a copy of the Calvert County Health Department Special Event Permit or Catering License, if applicable.
  • 3. INSURNACE Vendors must provide a Certificate of Insurance naming the Town of Chesapeake Beach as an additional insured for general liability coverage, if applicable.
  • 4. OPERATING REQUIREMENTS Vendors are responsible for themselves, their employees, subcontractors, materials, equipment, and all required insurance coverage.
  • 5. LOCATION All space assignments are final and based on items sold. The Town has sole discretion over space allocation and may change a Vendor's assigned space at any time without notice or consent.
  • 6. HOURS OF OPERATION Set-up begins one hour before each event unless otherwise approved by Town personnel. Vendors must be fully set up before the event begins.
  • 7. SET-UP AND CLEAN-UP
    A. Vendors must provide their own tables, chairs, tablecloths, and protective coverings for rain.
    B. Tents or canopies are permitted but must be securely anchored for safety.
    C. Vendors must make immediate safety corrections when directed by Town personnel.
    D. The Town will not provide disposal services. Park trash receptacles are for patrons only and may not be used for Vendor clean-up. Vendors may be charged for actual cleanup costs, including staff time, resulting from failure to properly clean their area.
  • 8. VIDEO AND PHOTOGRAPHY RELEASE The Vendor grants the Town irrevocable permission to use photographs or video recordings of the Vendor, the Vendor's intellectual property, and property for social media, websites, publications, promotional materials, marketing, or similar purposes without compensation or additional permission. The Vendor releases the Town from all claims related to the use or distribution of such materials, including claims involving privacy, likeness, appropriation, or defamation.
  • 9. TAX REMITTANCE Vendors are responsible for collecting, reporting, and paying all applicable state, local, and federal taxes related to sales.
  • 10. RESTRICTIONS
    A. Prohibited items include silly string, fart gas, artificial tobacco products, drug paraphernalia, fireworks, live animals/reptiles/birds, items containing sexual content or profanity, swords, knives, and any additional prohibited items determined by the Town.
    B. Electricity will not be provided. Generators are prohibited without prior written approval from Savannah Richardson at the Town of Chesapeake Beach.
    C. Vendors selling prohibited items may be removed from the event and barred from future participation.
  • 11. NON-DISCRIMINATION Vendors and their employees may not discriminate against any employee, patron, visitor, attendee, or customer based on race, color, religion, sex, gender identity or expression, national origin, age, disability, familial status, marital status, sexual orientation, or other protected status.
  • 12. VIOLATIONS The Town may revoke Vendor privileges for violations of any ordinance, law, or event condition. Vendors who are not prepared to operate at the designated time or appear unable to safely and professionally operate their vending space may have their privileges revoked at the Town's sole discretion.
