  • COMMUNITY PARTNER GUIDELINES & RULES

  • 1. INDEMNIFICATION Community Partners shall indemnify and hold harmless the Town of Chesapeake Beach, its officials, employees, and agents from any liabilities, judgments, settlements, losses, costs, or charges (including attorney fees) resulting from claims, demands, actions, or suits related to bodily injury (including death), property damage, or losses arising from or associated with the use of Town property or participation in Town of Chesapeake Beach events during 2026 by the Community Partner, its employees, agents, invitees, or representatives.

  • 2. OPERATING REQUIREMENTS Community Partners are responsible for themselves, their employees, subcontractors, materials, equipment, and maintaining appropriate insurance coverage for themselves and others.

  • 3. LOCATION All space assignments are final. The Town reserves sole discretion over space allocation and may reassign Community Partner spaces at any time without notice or consent.

  • 4. HOURS OF OPERATION Setup begins one hour before each event unless otherwise approved by Town personnel. Community Partners must be fully set up before the event start time.

  • 5. SET-UP AND CLEAN-UP

    A. Community Partners must provide their own tables, chairs, tablecloths, and weather protection for materials.

    B. Tents or canopies are permitted but must be properly secured to prevent injury or property damage.

    C. Community Partners must make immediate safety corrections when directed by Town personnel.

    D. The Town does not provide vendor disposal services. Park trash receptacles are for public use only and may not be used for vendor cleanup. The Town may charge Community Partners for actual cleanup costs, including staff time, resulting from failure to properly clean their area.

  • 6. RESTRICTIONS

    A. Selling items is prohibited without prior Town approval.

    B. Electricity will not be provided. Generators are prohibited unless advance written approval is received from Savannah Richardson at the Town of Chesapeake Beach.

  • 7. VIDEO AND PHOTOGRAPHY RELEASE Community Partners grant the Town irrevocable and unrestricted permission to use photographs and video recordings of the Community Partner, its intellectual property, and property for social media, websites, publications, promotional materials, marketing, derivative works, or similar purposes without compensation or additional permission. Community Partners release and discharge the Town from all claims or liabilities arising from the use or distribution of such materials, including claims related to privacy, likeness, appropriation, or defamation.

  • 8. NON-DISCRIMINATION Community Partners and their employees shall not discriminate against any employee, patron, visitor, attendee, or customer based on race, color, religion, sex, gender identity or expression, national origin, age, disability, familial status, marital status, sexual orientation, or any other protected status.

  • 9. VIOLATIONS The Town may revoke Community Partner privileges for violations of ordinances, laws, or approval conditions. Failure to be prepared by the designated start time or arriving in a condition that appears unsafe or unsuitable for operation may constitute a violation and may result in revocation of privileges at the Town’s sole discretion.
