  • Artisans and General Merchandise Vendor Application

  • Don’t miss the opportunity to become a vendor at the Mexican Independence Day Festival in Downtown West Chicago. We will have artisans food and general merchandise vendors, live music, and family fun activities. Once the festival reaches capacity, applicants will be put on a waitlist. Application deadline is August 3rd, unless we are at capacity before then. Once we confirm your spot, payment to be submitted asap in order to "hold" your spot. Mail checks to Despertar Latino, Attn: MID 2026, 401 E North Ave Unit 11, Villa Park, IL 60181. Make checks payable to "Despertar Latino" and ensure the name of your business organization is noted in the "Memo" section. If you would like to pay via zelle, directions will be emailed to you after your application is submitted. We do not "hold" spaces without payment. Please be sure to pay promptly.  Contact the Special Events Coordinator at su@despertarlatino.org or 630-290-2309 with questions. Submission of a completed application does not guarantee acceptance into the event. Once accepted/fee is paid, you will receive an email from the events coordinator regarding status. Approved vendors will be provided with their space assignments, set-up times, and other logistics information by email within two weeks of the event.

  • VENDOR ACKNOWLEDGEMENT FORM / REQUIREMENTS

  • 1. All types of handcrafted art, photography, sculpture, crafts and jewelry are acceptable. / Se aceptan todo tipo de arte hecho a mano, fotografía, escultura, manualidades y joyería. 

    2. Tents, tables, and chairs are not provided. Each vendor is responsible for their own setup. / No se proporcionan carpas, mesas ni sillas. Cada vendedor debe traer su propio equipo.


    3. No electricity will be provided bring your own generator if needed. If you bring your own generator, it must be barricaded for safety purposes/No se suministrará electricidad; traiga su propio generador si lo necesita. Si trae su propio generador, este deberá estar vallado por motivos de seguridad.

    4. COI required for vendors using electricity/Se requiere COI para vendedores que utilizan electricidad

    5. All tents must be properly weighted. / Las carpas deben estar bien aseguradas con pesas.

    6. Vendors must remain open for the entire duration of the event. No early teardown. / Los vendedores deben permanecer durante todo el evento. No se permite desmontar antes de tiempo.

    7. Booths must be staffed from 11:00 PM to 6:00 PM. Early departure may affect participation in future events. / Los puestos deben estar atendidos de 11:00 PM a 6:00 PM. Salidas tempranas pueden afectar futuras participaciones.

    8. Display materials must remain within assigned space. / Todo el equipo debe permanecer dentro del espacio asignado.

    9. All items for sale must be clearly priced. Vendors must provide bags/wrappings and receipts. / Todos los productos deben tener precio visible. Deben ofrecer bolsas y recibos.

    10. State sales tax collection is the responsibility of each vendor. / Cada vendedor es responsable de recaudar el impuesto estatal sobre ventas.


    11. Vendors will receive confirmation and space assignments by email two weeks prior to the event. / La confirmación y ubicación se enviará por correo electrónico dos semanas antes del evento.


    12. Parking information will be sent before the event. / Informació sobre el estacionamiento se proporcionará antes del evento.

    13. Vendor spaces are limited and subject to category. / Los espacios son limitados según la categoría.

    14. Event is rain or shine; no refunds for weather. / El evento se realiza con lluvia o sol; no hay reembolsos por clima.

    15. Political materials and petitions are not allowed unless approved. / Material político y peticiones no están permitidos sin aprobación.

    16. No multi-level marketing companies or CBD products. / No se permiten empresas de ventas multinivel ni productos con CBD.

    17. Sampling, hawking, or soliciting requires written consent. / Se necesita permiso por escrito para repartir muestras o solicitar.

    18. Tents preferred due to fire lane regulations. Trailers must be pre-approved. / Se prefieren carpas por seguridad; remolques deben estar aprobados.

    19. Event photos may be used for future promotions. / Las fotos del evento pueden ser usadas para promoción.

    20. Setup must be complete by 11:00 AM. / Montaje completo antes de las 11:00 AM.

    21. Sales may only occur between 12:00 PM and 6:00 PM. / Las ventas sólo entre 12:00 PM y 6:00 PM.

  • WAIVER AND HOLD HARMLESS AGREEMENT

  • In consideration of the (name of the organization - hereinafter referred to as “the vendor”) and its members, employees, volunteers or guests, being allowed to participate in the Mexican Independence Day Festival, the undersigned hereby recognizes, acknowledges and assumes any and all risk pertaining to the vendor’s participation in the Mexican Independence Day Festival.

    To the fullest extent permitted by law, the vendor hereby agrees to defend, indemnify and hold harmless the Despertar Latino, organizers, City of West Chicago, its officials, agents and employees, against all injuries, deaths, loss, damages, claims, suits, liabilities, judgments, cost and expenses (including attorney’s fees), which may in anywise accrue against Despertar Latino, event Organizers, the City of West Chicago, its officials, agents and employees, arising in consequence of the vendor’s participation in the Mexican Independence Day Festival, or which may in anywise result therefore, except that arising out of the sole legal cause of Despertar Latino, event organizers, the City of West Chicago, its agents or employees. The vendor shall, at its own expense, appear, defend and pay all charges of attorneys and all costs and other expenses arising therefore or incurred in connections therewith, and, if any judgment shall be rendered against Despertar Latino, event organizers, the City of West Chicago, its officials, agents and employees, in any such action, the vendor will at its own expense, satisfy and discharge the same.

    The undersigned shall provide Despertar Latino if applicable to the nature of the services provided a certificate of insurance reflecting coverage for general liability coverage in satisfactory amounts. Despertar Latino, its officials, agents, employees and volunteers are to be covered as additional insured as respects the vendor’s participation in the Mexican Independence Day Festival.

    The invalidity or unenforceability of any of the provisions hereof shall not affect the validity or enforceability of the remainder of this Agreement.

    The undersigned represents it has full authority to execute this Waiver and Hold Harmless

    ** En consideración a que a (nombre de la organización —en lo sucesivo denominada "el Vendedor"), así como a sus miembros, empleados, voluntarios o invitados, se les permite participar en el Festival del Día de la Independencia de México, el abajo firmante por la presente reconoce, acepta y asume todos y cada uno de los riesgos relacionados con la participación del Vendedor en el Festival del Día de la Independencia de México.

    En la máxima medida permitida por la ley, el Vendedor se compromete por la presente a defender, indemnizar y eximir de responsabilidad a Despertar Latino, a los organizadores, a la Ciudad de West Chicago, y a sus funcionarios, agentes y empleados, frente a toda lesión, fallecimiento, pérdida, daño, reclamación, demanda, responsabilidad, sentencia, costo y gasto (incluidos los honorarios de abogados) que de cualquier modo puedan surgir en contra de Despertar Latino, los organizadores del evento, la Ciudad de West Chicago, o sus funcionarios, agentes y empleados, como consecuencia de la participación del Vendedor en el Festival del Día de la Independencia de México, o que de cualquier modo resulten de dicha participación; salvo aquellos que surjan como única causa legal imputable a Despertar Latino, a los organizadores del evento, a la Ciudad de West Chicago, o a sus agentes o empleados. El Vendedor deberá, a su propio costo, comparecer, defender y pagar todos los honorarios de abogados, así como todos los costos y demás gastos que de ello se deriven o en relación con ello se incurran; y, en caso de que se dictara alguna sentencia en contra de Despertar Latino, los organizadores del evento, la Ciudad de West Chicago, o sus funcionarios, agentes y empleados en cualquiera de dichas acciones, el Vendedor deberá, a su propio costo, satisfacer y cumplir dicha sentencia. 

    El abajo firmante deberá proporcionar a Despertar Latino —siempre que sea aplicable a la naturaleza de los servicios prestados— un certificado de seguro que refleje una cobertura de responsabilidad civil general por montos satisfactorios. Despertar Latino, así como sus funcionarios, agentes, empleados y voluntarios, deberán figurar como asegurados adicionales con respecto a la participación del Vendedor en el Festival del Día de la Independencia de México. 

    La invalidez o inexigibilidad de cualquiera de las disposiciones del presente documento no afectará la validez o exigibilidad del resto de este Acuerdo. 

    El abajo firmante declara contar con plena autoridad para suscribir la presente Renuncia y Exención de Responsabilidad.
