• Charter Club & Social Group Application

  • Charter Clubs are strongly encouraged and supported by the ArrowBrooke Association. Charter Clubs in ArrowBrooke are designed to help residents pursue common interests in hobbies, recreation, socializing, and service while building community spirit and expanding horizons. Charter Clubs should encourage their members to fully participate and enjoy the diverse programs and facilities within ArrowBrooke that make life here so enjoyable and rewarding.
    To guarantee that all Charter Clubs are developed and executed successfully, all Charter Clubs are required to complete the aaplication form to receive the benefits offered. Prior to completing this application, please review the Charter Club & Social Group Guidelines below.

  • Social Group/Club Leaders & Co-Leaders:

    • Must be residents in good standing with the Association
    • Must provide the Lifestyle Director with regular recaps of meetings and events, including pictures, and provide updated rosters to the Association on a quarterly schedule or as requested.
    • The leader and co-leader cannot be related and must live in separate households.
    • Leader and Co-Leaders must provide the Association with reliable contact information, including phone number and email.

    Meet Ups and Meetings for Social Groups/Clubs:

    • Social Groups/Clubs are encouraged to utilize individuals’ homes, parks, or outdoor spaces to meet up.
    • Social Groups/Clubs may inquire with the Lifestyle Director about reserving space at Gathering Space I or II, if available.
    • The ArrowBrooke Community Association staff reserves the right to reassign space for Social Groups/Clubs with at least 24 hours notice.
    • Social Group/Club meetings and events must be approved and processed through the Association and are only for the registered Social Group/Club members.
    • Social Groups/Clubs that would like to host an event open to the community must be facilitated through the Association and must be a collaborative effort, with the Association taking the lead on the direction of the open community event.

    Social Group/Club Qualifications:

    • Groups/Clubs are available to all ArrowBrooke residents to join.
    • Groups/Clubs cannot have a cap on the number of residents allowed to join.
    • Only ArrowBrooke Association residents can be part of the Group/Club.
    • Groups/Clubs must have a designated leader and co-leader assigned.
    • Groups/Clubs should be recreational in nature and not pertain to cultural, religious, or political interests.
    • Groups/Clubs must adhere to the amenity hours of operations and policies.
    • Groups/Clubs should provide the Lifestyle Director with a description and contact information for the group/club for use in the community newsletters and publications.
    • All Social Groups/Clubs must register or re-register with ArrowBrooke Homeowners Association by December 1st, for the following year.
    • For Social Groups/Clubs to be considered in the current year, applications will only be accepted in quarter one, quarter two, or quarter three. No exceptions.

     Social Group/Clubs Requirements to be "Active."

    • Social Groups/Clubs need to appoint a leader and a co-leader to lead. The Social Groups/Clubs leader and co-leader must be in good standing with the Association.
    • The Social Groups/Clubs leader and co-leader must provide the Lifestyle Director with regular recaps of meetings and events, including pictures.
      Social Groups/Clubs need at least one event, activity, or Group/Club meeting per quarter to remain “active.”
    • Social Groups/Clubs must maintain a roster of all members (including their addresses and email addresses) and provide updated copies to the Association on a quarterly schedule or as requested.
    • Social Groups/Clubs need to have at least ten active members by the end of their first year and each following quarter to remain “active.”
    • All Social Groups/Clubs must provide their proposed calendar of events to the Lifestyle Director by December 1st for the following year. Changes to this calendar must be communicated to the Lifestyle Director in a timely manner to ensure information provided to residents on the website and in electronic communications remains accurate.

    What rules apply to Social Groups/Clubs?

    • All records and activities of all Groups/Clubs are public records and subject to public disclosure upon request. This includes Group/Club membership and attendance.
    • ALL members of Social Groups/Clubs must be ArrowBrooke residents. No exceptions.
    • Social Groups/Clubs need to appoint a co-leader and/or someone designated to take the primary leader’s place or serve as next-in-line for decisions if the leader is unavailable or leaves the role. If this does not occur, the Association has the right to discontinue listing and promoting the Group/Club as an official Social Group/Club.
    • Social Group/Club must not use the name ArrowBrooke in published or advertised materials or any other manner without approved email or written permission from the Developer.
    • All activities of the Social Groups/Clubs must be legal.
    • Note that the Association does not endorse or express an opinion on any Social Group/Club or any activities within or opinions expressed by a Social Group/Club.
    • Social Group/Club leaders, co-leaders, and/or members must not advertise or promote personal business before, during, or after the club meetings or events. This includes, but is not limited to, signage and business cards.

    Social Group/Club Dues, Financial Management, and Liability

    • All Groups/Clubs must be non-profit.
    • Nominal fees can be charged at events to offset the cost of supplies, equipment, and contractors.
    • Social Groups/Clubs are responsible for their own financial management.
    • Fundraising events can be organized on a voluntary basis to support the activities of the Social Group/Club.
    • The facility, staff, and Board of Directors assume no responsibility for the fiscal management of the recognized Social Group/Club.
    • The facility, staff, and Board of Directors assume no responsibility for accidents, injuries, or incidents resulting from participation in the Social Group/Club.

    Disclaimer:

    ArrowBrooke HOA reserves the right to grant or deny a request for a Social Group/Club. The Leader, as well as Club events, activities, programs, etc., should reflect the spirit and values of ArrowBrooke at all times. ArrowBrooke HOA reserves the right to disassociate with a Social Group/Club at any time, for reasons including but not limited to inactivity by the leader and/or lack of participation by members, the leader not being in good standing with ArrowBrooke Community, unreasonable actions of the Leader, action arising from members' concerns, etc. ArrowBrooke HOA reserves the right, without further approval or compensation, to include activities, photographs, etc., for marketing, promotional, and educational purposes.
