Privacy Notice
[For the purpose of this privacy notice the use of the term @you@, @your’ also means that of your child where the award nominee is a minor, i.e. Under the age of 18 years or 18 years of age and over but not legally eligible to give consent.]
Members of Rotary Middleton (“we”) value the trust you put in us to process your personal information and will always be open and honest about the information we collect and how we will use it. We will never do anything with your personal information that you wouldn’t reasonably expect us to in relation to the Rotary Community Stars Awards and we will always take every effort to protect your privacy.
How we use your personal information for the Rotary Community Stars Awards
1. We are collecting your personal information (and that of your child if a minor, or not legally eligible to give consent) for the organisation and administration of the Rotary Community Stars Award only, it will not be used for any other purpose.
Providing your personal information to others
2. The personal information will only be shared with others that require it for their role/services they provide for the organisation and administration of the Rotary Community Stars Award event. This will include relevant presentation organisers. Where the nomination is for a group, this form and the Privacy Notice therein covers the details for the group contact only, it does not cover other individual members of the group. Before using any information relating to other group members appropriate consent must be obtained.
3. Those individuals and organisations that have access to the personal information are also bound by the Rotary GB&I
Retaining and deleting your personal information
4. All reasonable steps will be taken by those concerned to ensure the personal information they have access to is kept securely and will not be shared with anyone who does not have a legitimate reason to have access to it in relation to the organisation and administration of the awards.
5. For the Rotary Community Stars Award personal information will be kept on file for 3 months after the date of the event of the award presentation ceremony. After this date, the information will be securely destroyed (either by shredding, incineration, or deletion from electronic devices). With the exception where separate consent has been given for Rotary Middleton to make contact regarding relevant activities that may be of interest.
Rotary Middleton has adopted the Rotary GB&I Safeguarding Policies (Children and Vulnerable Adults). In accordance with the Rotary GB&I Safeguarding Policies and procedures, where possible, Rotary Middleton will not permit photographs, film, video, or other images of children or vulnerable adults to be taken or used unless the consent of their parent/guardian or carer has been obtained, in addition, where appropriate, the consent of the child / vulnerable adult will also be sought.
Rotary Middleton will take all reasonable measures to ensure these images are used solely for the purposes for which they are intended. Any person becoming aware that these images are being used inappropriately should immediately inform the safeguarding officer of Rotary Middleton.
