• Oregon based Operations Coordinator

  • Important Requirements you must meet all 3 of those listed below to be eligible for this position. 

    1. Since AIU has its business registration based in Oregon this position is limited to those who reside and file their taxes in the state of Oregon.  
    2. Time Commitment ~10 hours/week with more possible during our conference planning stages.
    3. In order to work with individuals across several time zones, the Operations Coordinator will have some virtual meeting hours between 9 a.m. - 2 p.m. PT. 

    Role Summary

    • The Operations Coordinator supports the Executive Director by managing day-to-day administrative tasks, coordinating volunteers, and ensuring smooth execution of AIU programs and events. 

    Key Responsibilities

    • Research sponsorships and grant opportunities
    • Assist in updating nonprofit profiles by writing content and gathering documentation
    • Coordinate newsletter logistics (drafting, scheduling, distribution)
    • Maintain an organizational calendar to track
      • deadlines and renewals to subscriptions and memberships
      • sponsor communication
      • meetings and events
      • other items as needed
    • Support conference planning by
      • Tracking volunteer assignment
      • Managing registration schedules
      • Monitoring deadlines and logistics     
    • Attend AIU's large patient conference in-person to
      • Support the on-site conference
      • Manage the Registration table
      • Oversee the Silent Auction
    • Possibly - Check for AIU mail at a PO box set up in your town

    Skills Needed

    • Strong organization and follow-through
    • Clear, compassionate communication
    • Comfortable with email, spreadsheets, and basic systems
    • Ability to manage multiple moving pieces
    • Experience with a variety of online and computer platforms such as.
      • Google Workspace, Adobe, Canva, Microsoft and Apple programs, Wordpress, etc.
