  • Greetings from the YorkFest Festival Village Organizing Team!

    YorkFest Festival Village will be held on Tuesday September 22, 2026 (10:00 am - 4:00 pm). YorkFest is the largest welcome back week in the country! and it is brought to you by your students union - York Federation of Students. The goal of YorkFest is to allow clubs and service groups to share information with the York community and to recruit new members. We would like to extend a warm thank you to all of those clubs who have participated in the past. It is our hope that your outreach was successful. To new clubs, we hope you will find YorkFest a great starting point to introduce your club to the York Community. This year promises to be the biggest and best YorkFest Festival Village yet as we continue to strive to improve and maintain the success of the event. Don’t miss out on your chance to be a part of the greatest day-long, free event at York. The Village provides you with the opportunity to meet and greet York students, and communicate to them all the great things that your organization has to offer. Festival Village will begin at 10:00 am and end at 4:00 pm (with all participating organizations to set up at 8:30 am).This is your best chance to connect with York students.

    Table space is allocated in alphabetical order and must be submitted by September 1, 2026 at 4 pm. If your organization would like to have a table in the YorkFest Festival Village, please fill out this form. A confirmation will be sent back to you via email.

    This will be on a first come, first serve basis, and if spaces have filled up, we will form a waiting list. Please submit your forms as soon as possible to avoid disappointment.   • Each participating organization will be given one table and 2 chairs only. If you have any special requests such as mobility device or other accessibility requests please indicate this in the space provided below. Note: This will be NO electrical connections available. Music will NOT be permitted at the Village by student organizations due to the close vicinity to lecture halls/tutorial rooms.

    In order for us to be able to organize the Festival Village successfully and make it enjoyable for all the participants we ask that you please abide by the following:

    • All Clubs/Organizations must be officially recognized by the York Federation of Students, York University or SC&LD;
    • Please respect all the participants of the Village, including but not limited to, off campus, commercial organizations, other clubs, Festival staff and volunteers;
    • York Club/Organization tables are for the dissemination of club/organization information and sale of membership and/or event tickets. Selling of food or products or promoting for external sponsors/companies at Club/Organization tables will NOT be permitted;
    • Clubs/organizations shall NOT disseminate any information that can be reasonably construed as being sexist, racist, homophobic, or any information that promotes hatred towards any group or individual. If complaints are received, YorkFest Festival Village Organizers shall make the decision they deem as appropriate given the circumstances;
    • Restrict all your activities to the space provided to you. Do not encroach on your neighbour’s space and/or into access paths;
    • Please do not relocate yourselves. IF you would like to be relocated please make a request to us and we will try and accommodate you;
    • If you are using props ensure that they do not extend above 10 feet from the ground;
    • There will be NO music permitted at Club/Association tables at the YorkFest Festival Village;
    • In all instances, without exception, the use of private security staff or paid-duty police officers for an event on University premises must be coordinated through the Community Safety Department. No security staff external to the University, volunteer or otherwise, is permitted at a campus event without the prior written approval of the Community Safety Department, and;
    • If the Village Organizers feel that a participant is not adhering to the spirit of the Village, that organization may be asked to leave the Village.
