Grant Reporting Conduct & Compliance Disclaimer:
Organizations receiving grant funding from the Northern Plains Heritage Foundation (“NPHF”) are expected to uphold high standards of integrity, transparency, accountability, and lawful conduct throughout the duration of the funded project and during all grant reporting activities. By submitting grant reports, reimbursement requests, financial documentation, outcome summaries, or related materials to NPHF, the recipient organization acknowledges and agrees to the following:
1. Accuracy & Truthfulness of Reporting All reports, invoices, receipts, financial statements, performance metrics, narratives, and supporting documentation submitted to NPHF must be accurate, complete, and truthful to the best of the organization’s knowledge. Any intentional falsification, omission of material information, misuse of documentation, or misleading representation may result in: Suspension or termination of funding; Repayment obligations; Ineligibility for future grants; and/or Referral to appropriate regulatory or legal authorities when warranted.
2. Appropriate Use of Grant Funds Grant funds must be used exclusively for the approved charitable purposes and activities described in the organization’s grant agreement or award documentation.Recipients may be required to provide supporting documentation demonstrating that expenditures:Directly relate to the approved project or program;Were lawfully incurred;Were properly authorized by the organization; andComply with all applicable local, state, and federal laws and regulations.NPHF reserves the right to request additional financial records or clarification regarding reported expenditures.
3. Record Retention & Documentation Recipient organizations are expected to maintain adequate financial and operational records related to grant-funded activities, including but not limited to:Receipts and invoices;Payroll or contractor documentation;Bank records;Event or attendance records;Progress reports; andSupporting project materials.Such records should be retained in accordance with applicable legal and accounting standards and made available upon reasonable request by NPHF.
4. Organizational Conduct & Compliance Grant recipients are expected to maintain lawful, ethical, and professional conduct throughout the grant period. NPHF may reconsider continued funding eligibility if the organization or its representatives engage in conduct involving:Fraud or financial misconduct;Criminal activity;Harassment or discriminatory practices;Material violations of nonprofit or regulatory obligations; orActions that create significant reputational, legal, or operational risk to NPHF.
5. Transparency & Cooperation Recipients agree to cooperate with reasonable requests for follow-up information, clarification, audits, site visits, interviews, or supplemental reporting associated with grant oversight and stewardship responsibilities.Failure to provide timely or adequate reporting may impact current or future funding consideration.
6. Reservation of Rights NPHF reserves the right to:Verify submitted information;Request additional documentation;Withhold or suspend future disbursements;Require corrective action;Decline future funding requests; orSeek repayment of improperly used funds.Nothing in this disclaimer shall be interpreted as limiting any rights or remedies otherwise available to NPHF under applicable law or grant agreement terms.
7.Acknowledgement Submission of grant reporting materials constitutes acknowledgement and acceptance of these reporting standards and compliance expectations by the recipient organization.
