    The Group Leader will be our primary contact from your organization or congregation. They will be responsible for sharing required information with your group members and ensuring that payments and forms are completed on time. They should be someone who plans to attend the trip.

    We require that each organization or congregation provide us with a group administrator or finance person's contact information. This must be different from the group leader. They will be copied on invoices and contacted if we are unable to reach the group leader at any point in the planning process.

  • If possible at the site you are confirmed for, would your group like to extend your trip to Saturday? For most sites, there is an additional fee of $10 per person. Some sites have a higher fee because there is a higher cost for lodging - Austin, TX is $40 per person and Washington DC is $65 per person. If you select yes, you are able to change your mind any time before your final payment is due in May!*

    Be The Neighbor utilizes an equitable pay structure. Using our equitable pricing model, you are able to choose and pay the price that most fits what your congregation can afford.

    Our hope is that this will help ensure resources for quality trips while also making these trips accessible for all, no matter their financial circumstances.     You might choose the Equitable Level if:

    • Your congregation has one or less full-time staff members.
    • Many members of your group are unable to go on an annual vacation.
    • Many in your church receive financial assistance such as SNAP, WIC or TANF or worry often about how to pay for food, housing, and healthcare.
    • Many in your church do not own their own homes.

    You might choose the Sustainable Level if:

    • Your church has one to three full-time staff members.
    • Your church pastors receive benefits such as healthcare or retirement contributions.
    • Many in your church are able to go on an annual vacation
    • Many in your church do not worry often about how to pay for food, housing and healthcare.
    • Many in your church own their own home.

    You might choose the Neighbor Level if:

    • Your church has four or more full time staff members.
    • Many of your church staff receive benefits such as healthcare or retirement contributions.
    • Many in your church are able to go on multiple vacations a year.
    • Many in your church never worry about how to pay for food, housing and healthcare.
    • Many in your church own their own home.

    1. ACH Transfer: Preferred; no processing fee.
    2. Check: Preferred; no processing fee.
    3. Credit Card: A 2.9% processing fee will be added to your invoice.

  • Since you haven't been on a Be The Neighbor trip in the past, we'll reach out to schedule an online video call to tell you more about what you can expect from our trips and answer any questions that you might have.

  • If your trip dates and location are available, we will reach out to confirm your registration. Please review the dates and information in the confirmation to make sure everything looks correct. If your dates or location are not available, we will reach out to let you know some alternatives.

  • Your deposit is due two weeks from when you receive your confirmation email. The money paid towards the deposit is nonrefundable, but will go towards your final trip balance. It can be paid on our website with a credit or debit card or by mailing a check. The details for each method are listed on our payment schedule and policies, linked below.

  • You may change your participant numbers by any amount before your next payment. Should you reduce your participant number, all previous payments will be applied toward the reduced number.

    All payments are non-refundable. If you overestimate your numbers and pay in advance, we will not be able to refund the additional payment. Per-person payments that are higher than your final number will be applied to your trip balance.

    Payments may be made online via ACH transfer or by check from your organization. We are unable to accept individual payments or personal checks.

    IMPORTANT CHANGES FOR 2027:

    All credit card fees will need to be paid by your group. ACH transfers and checks will have no fee. 

    If we have not received your forms and final balance payment by it's due date, a $100 late fee will be added to your invoice. 

     

    Academic Year Trips

    Deposits are due two weeks after your registration is confirmed. The money paid towards the deposit is nonrefundable, but will go towards your final trip balance. 

    Your final balance is due two weeks before the start of your trip. 

    Summer Trips

    Deposits are due two weeks after your registration is confirmed. The money paid towards the deposit is nonrefundable, but will go towards your final trip balance. Deposits not paid by their deadline may result in your trip dates being released. 

    A payment of $200 per person will be due on February 2, 2027.

    By April 1, you should have your numbers fairly solidified. We will not be able to accept increases of more than 20%. You will also be responsible for 80% of the total cost, should you reduce numbers by more than 20% or cancel your trip because of the costs already incurred by Be The Neighbor by that time. For example, if you have registered for 10 people, you cannot add more than 2 people on or after April 1 and if you reduce below 8 people, you will still be responsible for paying for all 8 people. 

    Your final participant number count and Group List are due April 15, 2027, for all trips.

    May 1, 2027, your remaining balance will be due.

  • Background Check Policy

  • Be The Neighbor requires background checks be run for anyone coming on the trip who is age 18 or older and they must be run within one year of the trip. Your group will be required to submit a Background Check verification form that confirms that background checks have been processed within one year of your trip date.
