🌿 Official BIG Plant Expo Collaborator Agreement
1. Program Overview
The BIG Plant Expo Collaborator Program is designed for passionate plant content creators who are looking to gain experience, expand their portfolio, grow their audience, and become part of one of the Southeast's premier plant events.
Collaborators participate on a voluntary basis and are responsible for their own travel, lodging, transportation, and personal expenses associated with attending the Expo. Unless otherwise agreed to in writing, Collaborators do not receive appearance fees or financial compensation.
This program provides valuable networking opportunities, behind-the-scenes access, portfolio-building experience, and the opportunity to collaborate alongside The BIG Plant Expo's Headline Plantfluencers while demonstrating the professionalism and creativity that may lead to future opportunities.
Outstanding Collaborators may be considered for expanded responsibilities, advancement into The BIG Plant Expo Plantfluencer Program, or future paid creator partnerships.

3. Required Friday Check-In & Evening Social
All approved Collaborators must attend Friday Check-In at the Charleston Convention Center between 4:00 PM and 6:00 PM.
During check-in you will:
• Receive your official Collaborator credentials.
• Receive event materials and weekend information.
• Review content assignments and expectations.
• Meet The BIG Plant Expo team.
• Receive important event updates.
Following check-in, Collaborators are required to attend the Friday Evening Social from 8:00 PM to 10:30 PM, providing an opportunity to network with Headline Plantfluencers, vendors, sponsors, staff, and fellow Collaborators before Expo weekend begins.
If you cannot commit to attending Friday Check-In, the Friday Evening Social, and participating throughout Expo weekend, please do not apply.
4. Expectations, Participation & Code of Conduct
As an Official BIG Plant Expo Collaborator, you represent The BIG Plant Expo both online and throughout Expo weekend.
Collaborators agree to:
• Help promote The BIG Plant Expo by sharing authentic Expo-related content leading up to the event.
• Create engaging content that highlights vendors, sponsors, educational programming, attendees, workshops, speakers, behind-the-scenes moments, and the overall Expo experience.
• Complete assigned interviews, workshops, presentations, or featured content opportunities to help ensure balanced event coverage.
• Be dependable, prepared, punctual, and actively engaged throughout assigned responsibilities.
• Wear official Collaborator credentials while performing assigned duties.
• Maintain a welcoming, respectful, and positive attitude toward attendees, vendors, sponsors, volunteers, staff, Headline Plantfluencers, fellow Collaborators, and the public.
• Follow all Expo policies, venue rules, safety requirements, and staff instructions.
• Present yourself in a clean, professional, and family-friendly manner.
• Create content that reflects the educational, welcoming, and community-focused values of The BIG Plant Expo.
• Refrain from creating or publishing content while representing The BIG Plant Expo that includes profanity, sexually explicit material, sexual innuendo, discriminatory language, harassment, bullying, or other content that could reasonably be considered offensive or inappropriate.
• Refrain from creating or promoting content depicting illegal drug use, marijuana use, smoking, vaping, excessive alcohol consumption, or any behavior inconsistent with the family-friendly environment of The BIG Plant Expo while serving as an Official Collaborator.
Collaborators are encouraged to incorporate The BIG Plant Expo 2027 theme, Lost Worlds, into their attire whenever possible. Theme-inspired clothing and accessories are welcome provided they remain safe, appropriate, comfortable, and do not interfere with assigned responsibilities.
5. Collaborator Credentials & Guest Policy
Official Collaborator credentials are issued exclusively to approved Collaborators, are non-transferable, and must be picked up during Friday Check-In.
Collaborator credentials provide admission only to the approved Collaborator.
Friends, family members, customers, business associates, or other guests must purchase the appropriate admission ticket unless otherwise approved in writing by The BIG Plant Expo.
6. Content Rights & Media Release
Collaborators retain ownership of the original content they create.
By participating in the Collaborator Program, Collaborators grant The BIG Plant Expo a perpetual, worldwide, non-exclusive, royalty-free license to repost, share, display, publish, and use Expo-related content created in connection with The BIG Plant Expo for promotional, educational, editorial, website, advertising, social media, and marketing purposes. Whenever reasonably practical, creator credit will be provided.
Collaborators also acknowledge and agree that photographs, video recordings, livestreams, interviews, and other media may capture their likeness, voice, and image during Expo activities. By participating, Collaborators grant The BIG Plant Expo permission to use such media for promotional, educational, editorial, advertising, website, and marketing purposes without additional compensation.
7. Confidentiality & Brand Representation
Collaborators may have access to non-public information, including schedules, creator information, future announcements, vendor information, sponsor information, and operational details.
Collaborators agree not to disclose confidential or embargoed information without prior authorization from The BIG Plant Expo.
Collaborators may identify themselves as an Official BIG Plant Expo Collaborator only while actively participating in the approved Collaborator Program. The BIG Plant Expo name, logo, trademarks, and branding may not be used in a manner that implies an official partnership, sponsorship, endorsement, or ongoing affiliation beyond the Collaborator Program without prior written permission.
8. Personal Equipment
Collaborators are responsible for supplying, maintaining, and securing their own cameras, mobile devices, computers, microphones, batteries, memory cards, lighting equipment, and other content creation equipment.
The BIG Plant Expo is not responsible for lost, stolen, damaged, or malfunctioning personal equipment or other personal property.
9. Participation, Cancellation & Future Opportunities
Collaborator positions are limited and highly competitive.
Acceptance into the program represents a commitment to actively participate throughout Expo weekend and fulfill assigned responsibilities.
If an emergency or unforeseen circumstance prevents participation, Collaborators must notify Renay Adams immediately.
Repeated cancellations, failure to communicate, failure to fulfill responsibilities, or unprofessional conduct may affect eligibility for future participation.
The Collaborator Program serves as The BIG Plant Expo's primary pathway for identifying future Plantfluencers, brand ambassadors, and paid creator partners.
Collaborators who consistently demonstrate professionalism, creativity, reliability, teamwork, and exceptional storytelling may be invited into expanded creator roles in future years.
Participation as a Collaborator does not guarantee future selection, financial compensation, complimentary travel, lodging, media exposure, audience growth, or advancement within The BIG Plant Expo.
10. Force Majeure
The BIG Plant Expo shall not be considered in breach of this Agreement if the Expo is postponed, relocated, modified, or canceled due to circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, public health emergencies, venue-related issues, government orders, labor disputes, utility failures, acts of terrorism, or other force majeure events.
The BIG Plant Expo reserves the right to modify schedules, programming, assignments, or Collaborator responsibilities as necessary to ensure the safe, secure, and successful operation of the event.
11. Removal from the Collaborator Program
The BIG Plant Expo reserves the right to remove a Collaborator from the program or deny participation in future events if the Collaborator:
• Fails to comply with this Agreement or Expo policies.
• Fails to fulfill assigned responsibilities.
• Engages in unprofessional, disruptive, unsafe, or inappropriate behavior.
• Harasses, discriminates against, or disrespects attendees, vendors, sponsors, staff, volunteers, creators, or fellow Collaborators.
• Misuses Collaborator credentials or privileges.
• Creates content or engages in conduct that intentionally damages the reputation of The BIG Plant Expo or its participants.
Selection into the Collaborator Program is a privilege, not a right. The BIG Plant Expo reserves the right to make all final decisions regarding application approval, participation, assignments, removal, and future eligibility.
