Collaborator Opportunities

Selected Collaborators will become part of The BIG Plant Expo's official content team, helping capture and share the excitement, education, and community that make the Expo a premier destination for plant enthusiasts.

As a Collaborator, you'll have the opportunity to:

🌿 Collaborator Expectations & Participation

The BIG Plant Expo Collaborator Program is designed for passionate plant content creators who are looking to gain experience, expand their portfolio, grow their audience, and become part of one of the Southeast's premier plant events.

Collaborators participate on a voluntary basis and are responsible for their own travel, lodging, transportation, and personal expenses associated with attending the Expo. Unless otherwise agreed to in writing, Collaborators do not receive appearance fees or financial compensation.

This program is intended to provide valuable networking opportunities, hands-on event experience, behind-the-scenes access, and the opportunity to collaborate with The BIG Plant Expo's Headline Plantfluencers while building your content portfolio and growing as a creator.

Selection into the Collaborator Program is competitive and serves as an opportunity to demonstrate your creativity, professionalism, reliability, and ability to positively represent The BIG Plant Expo. Outstanding Collaborators may be considered for expanded responsibilities, future Plantfluencer opportunities, or paid creator partnerships.

🌿 Before the Expo
Collaborators are encouraged to help build excitement leading up to Expo weekend by sharing authentic content with their audience.

We ask that Collaborators:

• Share Expo-related content leading up to the event.

• Engage with official BIG Plant Expo announcements, featured vendors, sponsors, educational programming, ticket information, and other promotional content when appropriate.

• Participate in collaborative marketing opportunities when reasonably available.

We value quality, authenticity, and creativity far more than posting simply to meet a quota.

🌿 During Expo Weekend
Collaborators are expected to remain actively engaged throughout their assigned coverage times while helping showcase the complete Expo experience.

Content opportunities may include:

• Vendor spotlights and interviews

• Sponsor highlights

• Attendee experiences

• Educational workshops and speaker presentations

• Behind-the-scenes moments

• Product features

• Plantfluencer interactions

• Expo atmosphere and special experiences

To ensure balanced coverage throughout the event, Collaborators may be assigned specific vendors, sponsors, workshops, presentations, speakers, or special activities.

🌿 Professional Expectations
Collaborators represent The BIG Plant Expo and are expected to:

• Be dependable, professional, and respectful.

• Arrive on time for assigned responsibilities.

• Wear official Collaborator credentials while performing assigned duties.

• Communicate professionally with vendors, sponsors, attendees, volunteers, staff, and fellow creators.

• Follow all Expo policies, venue rules, and staff direction.

• Help create the welcoming, positive, and community-focused atmosphere that defines The BIG Plant Expo.

Content should reflect the welcoming, educational, and inspiring spirit of The BIG Plant Expo.

We encourage Collaborators to create content that is:

Content should accurately represent The BIG Plant Expo while treating vendors, sponsors, attendees, volunteers, staff, and fellow creators with professionalism and respect.

🌿 Dress Code
Collaborators are expected to maintain a clean, professional, and family-friendly appearance throughout Expo weekend.

To help create an immersive experience, Collaborators are encouraged to incorporate The BIG Plant Expo 2027 theme, Lost Worlds, into their attire whenever possible. Theme-inspired clothing, accessories, or costumes are welcome provided they remain appropriate, comfortable, safe, and do not interfere with assigned responsibilities.

Official Collaborator credentials must remain visible while performing assigned duties.

🌿 Content License
Collaborators retain ownership of the content they create.

By participating in the Collaborator Program, Collaborators grant The BIG Plant Expo a perpetual, worldwide, non-exclusive, royalty-free license to repost, share, display, and use Expo-related content for promotional, educational, editorial, website, social media, and marketing purposes. Whenever reasonably practical, creator credit will be provided.

🌿 Participation & Availability
Collaborators are expected to remain engaged throughout their assigned responsibilities during Expo weekend.

Reasonable breaks are expected; however, Collaborators should not leave the venue during assigned coverage times or miss scheduled responsibilities without prior approval from The BIG Plant Expo.

🌿 Future Opportunities
The Collaborator Program is designed to help identify emerging creators who consistently demonstrate professionalism, creativity, reliability, strong storytelling, and a genuine passion for the plant community.

Collaborators who distinguish themselves through exceptional content, teamwork, professionalism, and positive engagement may be invited to take on expanded responsibilities, advance into The BIG Plant Expo Plantfluencer Program, or be considered for future paid creator partnerships.

Participation as a Collaborator does not guarantee future selection, complimentary travel or accommodations, financial compensation, media exposure, audience growth, or advancement within The BIG Plant Expo. All future opportunities are awarded solely at the discretion of The BIG Plant Expo.

I have read, understand, and voluntarily agree to abide by the Expectations & Participation requirements of the Official BIG Plant Expo Collaborator Agreement. I understand that these expectations are designed to ensure a professional, positive, and successful experience for all participants. I further understand that failure to comply with these expectations may result in my removal from the Collaborator Program and may affect my eligibility for future opportunities with The BIG Plant Expo

🌿 Perk #1: Official 2027 BIG Plant Expo T-Shirt: Collaborators will receive one (1) complimentary 2027 BIG Plant Expo T-Shirt. Collaborators are encouraged to wear their official Expo T-shirt while creating Expo-related content before and during the event to help promote The BIG Plant Expo and present a consistent, professional brand image.

What size?

Perk #2: 🍽️ Lunch Voucher: Collaborators will receive a complimentary lunch voucher for Saturday and Sunday, redeemable at participating food vendors during the Expo. In addition, each Collaborator will receive two (2) complimentary bottled waters per day. Do you have any dietary restrictions or food allergies? If yes, please provide details below.

If you have any allergies or other dietary restrictions, please detail below. Please note that cross contamination is always a risk. We will do our best on our end to communicate to the food vendor/supplier any allergies or dietary restrictions.

🌿 Perk #3: Featured Creator Promotion: As a Collaborator, you'll receive one (1) custom promotional graphic introducing you as an official BIG Plant Expo Collaborator, which will be shared across The BIG Plant Expo's social media platforms. You'll also be included in select collaborative marketing campaigns and promotional content leading up to the Expo. Please provide a short bio introducing yourself, your plant journey, and what inspired your passion for plants. This information may be used for promotional purposes if selected.

Please note this could be edited for grammar and length for the purpose of marketing/adverts.

🌿 Perk #4: Friday Evening Social: Collaborators receive one (1) complimentary admission to our private Friday Evening Social from 8:00 PM – 10:00 PM. This exclusive event provides an opportunity to connect with The BIG Plant Expo's Headline Plantfluencers, vendors, sponsors, staff, and fellow collaborators before Expo weekend begins. Food and beverages will be available for purchase. Guest Admission Collaborators may purchase one (1) guest ticket for $55.00.Please Note: Your guest must be a personal guest. Other approved Plantfluencers or Collaborators may not serve as your guest unless prior written approval has been granted by The BIG Plant Expo.? Will you be attending the Friday Evening Social?

🌿 Perk #5: Complimentary Expo Admission: Collaborators will receive one (1) complimentary Expo admission, including an official BIG Plant Expo admission lanyard, providing access to both days of The BIG Plant Expo while serving as an official Collaborator.

🌿 Perk #6: Exclusive Content Access: Collaborators receive access to all workshops, educational sessions, panel discussions, demonstrations, and approved networking events for the purpose of creating content and showcasing the complete Expo experience. Collaborators may be assigned specific presentations, speakers, workshops, or special events to cover as part of the official BIG Plant Expo content team. Content should be captured in a professional, respectful manner that enhances the experience for presenters, vendors, and attendees..

🌿 Perk #7: Complimentary Collaborator Welcome Tote: Collaborators will receive an official BIG Plant Expo Collaborator Tote Bag filled with a variety of Expo merchandise and promotional items. Contents may vary but can include items such as stickers, temporary tattoos, pens, sponsor giveaways, promotional materials, and other Expo-exclusive gifts while supplies last.

🌿 Perk #8: Exclusive Creator Lounge Access: Collaborators will receive access to the private Plantfluencer & Collaborator Lounge, an exclusive space to relax, recharge, store personal belongings, and connect with fellow creators throughout Expo weekend. The lounge provides a comfortable environment for networking, planning content, charging devices, and taking short breaks between assignments. Please Note: The Creator Lounge is reserved exclusively for approved Headline Plantfluencers, Plantfluencers, Collaborators, and authorized BIG Plant Expo staff. Guest access is not permitted unless approved in advance by The BIG Plant Expo.

MUTUAL LOGO USE AGREEMENT: 1. Grant of License The BIG Plant Expo (“Expo”) and Vendor each grant to the other a non-exclusive, non-transferable, limited license to use the other party’s official logo solely for the purpose of promoting Vendor’s participation in the Expo event(s). 2. Permitted Uses • Vendor’s Use of Expo Logo: Vendor may use the Expo logo in connection with event promotion, including social media posts, flyers, newsletters, and booth signage. • Expo’s Use of Vendor Logo: The Expo may use the Vendor’s logo in event-related marketing, including website listings, social media, digital and print advertisements, email campaigns, and on-site signage. 3. Restrictions Neither party shall: • Alter, distort, recolor, or modify the other’s logo in any way (other than resizing or reformatting for layout purposes) without prior written consent. • Use the other’s logo on merchandise, products, or for resale without prior written consent. • Use the other’s logo in a manner that misrepresents or implies an endorsement, sponsorship, or partnership beyond participation in the Expo. • Continue use of the other’s logo after the conclusion of the event. 4. Quality Control Each party agrees to maintain the integrity of the other’s branding and follow any provided logo usage guidelines. Either party may request immediate correction or removal of unauthorized or inappropriate use. 5. Ownership All rights, title, and interest in and to each party’s respective logo remain the exclusive property of that party. This Agreement does not transfer any ownership rights. 6. Termination of License This limited license shall automatically terminate at the conclusion of the Expo event(s) or upon written notice by either party if these terms are violated.

1. Program Overview
The BIG Plant Expo Collaborator Program is designed for passionate plant content creators who are looking to gain experience, expand their portfolio, grow their audience, and become part of one of the Southeast's premier plant events.

Collaborators participate on a voluntary basis and are responsible for their own travel, lodging, transportation, and personal expenses associated with attending the Expo. Unless otherwise agreed to in writing, Collaborators do not receive appearance fees or financial compensation.

This program provides valuable networking opportunities, behind-the-scenes access, portfolio-building experience, and the opportunity to collaborate alongside The BIG Plant Expo's Headline Plantfluencers while demonstrating the professionalism and creativity that may lead to future opportunities.

Outstanding Collaborators may be considered for expanded responsibilities, advancement into The BIG Plant Expo Plantfluencer Program, or future paid creator partnerships.

3. Required Friday Check-In & Evening Social
All approved Collaborators must attend Friday Check-In at the Charleston Convention Center between 4:00 PM and 6:00 PM.

During check-in you will:

• Receive your official Collaborator credentials.

• Receive event materials and weekend information.

• Review content assignments and expectations.

• Meet The BIG Plant Expo team.

• Receive important event updates.

Following check-in, Collaborators are required to attend the Friday Evening Social from 8:00 PM to 10:30 PM, providing an opportunity to network with Headline Plantfluencers, vendors, sponsors, staff, and fellow Collaborators before Expo weekend begins.

If you cannot commit to attending Friday Check-In, the Friday Evening Social, and participating throughout Expo weekend, please do not apply.

4. Expectations, Participation & Code of Conduct
As an Official BIG Plant Expo Collaborator, you represent The BIG Plant Expo both online and throughout Expo weekend.

Collaborators agree to:

• Help promote The BIG Plant Expo by sharing authentic Expo-related content leading up to the event.

• Create engaging content that highlights vendors, sponsors, educational programming, attendees, workshops, speakers, behind-the-scenes moments, and the overall Expo experience.

• Complete assigned interviews, workshops, presentations, or featured content opportunities to help ensure balanced event coverage.

• Be dependable, prepared, punctual, and actively engaged throughout assigned responsibilities.

• Wear official Collaborator credentials while performing assigned duties.

• Maintain a welcoming, respectful, and positive attitude toward attendees, vendors, sponsors, volunteers, staff, Headline Plantfluencers, fellow Collaborators, and the public.

• Follow all Expo policies, venue rules, safety requirements, and staff instructions.

• Present yourself in a clean, professional, and family-friendly manner.

• Create content that reflects the educational, welcoming, and community-focused values of The BIG Plant Expo.

• Refrain from creating or publishing content while representing The BIG Plant Expo that includes profanity, sexually explicit material, sexual innuendo, discriminatory language, harassment, bullying, or other content that could reasonably be considered offensive or inappropriate.

• Refrain from creating or promoting content depicting illegal drug use, marijuana use, smoking, vaping, excessive alcohol consumption, or any behavior inconsistent with the family-friendly environment of The BIG Plant Expo while serving as an Official Collaborator.

Collaborators are encouraged to incorporate The BIG Plant Expo 2027 theme, Lost Worlds, into their attire whenever possible. Theme-inspired clothing and accessories are welcome provided they remain safe, appropriate, comfortable, and do not interfere with assigned responsibilities.

5. Collaborator Credentials & Guest Policy
Official Collaborator credentials are issued exclusively to approved Collaborators, are non-transferable, and must be picked up during Friday Check-In.

Collaborator credentials provide admission only to the approved Collaborator.

Friends, family members, customers, business associates, or other guests must purchase the appropriate admission ticket unless otherwise approved in writing by The BIG Plant Expo.

6. Content Rights & Media Release
Collaborators retain ownership of the original content they create.

By participating in the Collaborator Program, Collaborators grant The BIG Plant Expo a perpetual, worldwide, non-exclusive, royalty-free license to repost, share, display, publish, and use Expo-related content created in connection with The BIG Plant Expo for promotional, educational, editorial, website, advertising, social media, and marketing purposes. Whenever reasonably practical, creator credit will be provided.

Collaborators also acknowledge and agree that photographs, video recordings, livestreams, interviews, and other media may capture their likeness, voice, and image during Expo activities. By participating, Collaborators grant The BIG Plant Expo permission to use such media for promotional, educational, editorial, advertising, website, and marketing purposes without additional compensation.

7. Confidentiality & Brand Representation
Collaborators may have access to non-public information, including schedules, creator information, future announcements, vendor information, sponsor information, and operational details.

Collaborators agree not to disclose confidential or embargoed information without prior authorization from The BIG Plant Expo.

Collaborators may identify themselves as an Official BIG Plant Expo Collaborator only while actively participating in the approved Collaborator Program. The BIG Plant Expo name, logo, trademarks, and branding may not be used in a manner that implies an official partnership, sponsorship, endorsement, or ongoing affiliation beyond the Collaborator Program without prior written permission.

8. Personal Equipment
Collaborators are responsible for supplying, maintaining, and securing their own cameras, mobile devices, computers, microphones, batteries, memory cards, lighting equipment, and other content creation equipment.

The BIG Plant Expo is not responsible for lost, stolen, damaged, or malfunctioning personal equipment or other personal property.

9. Participation, Cancellation & Future Opportunities
Collaborator positions are limited and highly competitive.

Acceptance into the program represents a commitment to actively participate throughout Expo weekend and fulfill assigned responsibilities.

If an emergency or unforeseen circumstance prevents participation, Collaborators must notify Renay Adams immediately.

Repeated cancellations, failure to communicate, failure to fulfill responsibilities, or unprofessional conduct may affect eligibility for future participation.

The Collaborator Program serves as The BIG Plant Expo's primary pathway for identifying future Plantfluencers, brand ambassadors, and paid creator partners.

Collaborators who consistently demonstrate professionalism, creativity, reliability, teamwork, and exceptional storytelling may be invited into expanded creator roles in future years.

Participation as a Collaborator does not guarantee future selection, financial compensation, complimentary travel, lodging, media exposure, audience growth, or advancement within The BIG Plant Expo.

10. Force Majeure
The BIG Plant Expo shall not be considered in breach of this Agreement if the Expo is postponed, relocated, modified, or canceled due to circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, public health emergencies, venue-related issues, government orders, labor disputes, utility failures, acts of terrorism, or other force majeure events.

The BIG Plant Expo reserves the right to modify schedules, programming, assignments, or Collaborator responsibilities as necessary to ensure the safe, secure, and successful operation of the event.

11. Removal from the Collaborator Program
The BIG Plant Expo reserves the right to remove a Collaborator from the program or deny participation in future events if the Collaborator:

• Fails to comply with this Agreement or Expo policies.

• Fails to fulfill assigned responsibilities.

• Engages in unprofessional, disruptive, unsafe, or inappropriate behavior.

• Harasses, discriminates against, or disrespects attendees, vendors, sponsors, staff, volunteers, creators, or fellow Collaborators.

• Misuses Collaborator credentials or privileges.

• Creates content or engages in conduct that intentionally damages the reputation of The BIG Plant Expo or its participants.

Selection into the Collaborator Program is a privilege, not a right. The BIG Plant Expo reserves the right to make all final decisions regarding application approval, participation, assignments, removal, and future eligibility.

I have read, understand, and voluntarily agree to abide by the Official BIG Plant Expo Collaborator Agreement, including all terms, conditions, policies, expectations, responsibilities, and participation requirements. I understand that failure to comply with this Agreement may result in my removal from the Collaborator Program and may affect eligibility for future opportunities with The BIG Plant Expo.

🌿 Collaborator Liability Release & Acknowledgment: I have voluntarily agreed to participate as a Collaborator for The BIG Plant Expo 2027.In consideration of my participation, I hereby voluntarily, knowingly, and unconditionally release, waive, and forever discharge The BIG Plant Expo, LLC, its owners, officers, directors, employees, volunteers, contractors, sponsors, partners, exhibitors, venue personnel, affiliates, successors, assigns, and representatives from any and all claims, demands, causes of action, liabilities, damages, losses, costs, or expenses of any kind, including, but not limited to, claims arising from negligence (excluding willful misconduct where prohibited by law), personal injury, illness, property damage, or other losses that may result directly or indirectly from my participation in The BIG Plant Expo. I understand that participation as a Collaborator may involve activities including, but not limited to, walking throughout the venue, interacting with attendees, vendors, sponsors, exhibitors, creators, volunteers, staff, operating camera or recording equipment, attending workshops or demonstrations, and participating in other event-related activities. I voluntarily assume all risks associated with these activities. I further acknowledge and affirm that:☐ I am at least 18 years of age, or I have obtained any required parental or legal guardian consent if permitted by The BIG Plant Expo.☐ I have carefully read and fully understand this Liability Release and Acknowledgment.☐ I understand that this document is a legally binding release of liability and is enforceable against me and, to the fullest extent permitted by law, my heirs, personal representatives, successors, and assigns.☐ I voluntarily agree to these terms of my own free will without coercion or undue influence.☐ I understand that this release applies to my participation before, during, and after The BIG Plant Expo, including all Collaborator activities associated with the event.
