Our volunteers play an important role in welcoming guests, supporting vendors, assisting the Expo team, and helping the event run smoothly from beginning to end.

✨ Volunteer Responsibilities May Include:
• Welcoming and directing attendees
• Assisting with ticket scanning and event entry
• Helping vendors locate assigned areas
• Answering general attendee questions
• Supporting setup, event operations, and breakdown
• Monitoring designated areas and reporting concerns to Expo management
• Assisting with lines, activities, classrooms, and special event areas
• Helping maintain a friendly, organized, and welcoming environment

Volunteer assignments will be determined by The BIG Plant Expo based on event needs, availability, experience, and physical capabilities.

Volunteer positions are unpaid and do not create an employee, contractor, vendor, sponsor, creator, or collaborator relationship. Behind-the-scenes access is limited to the areas necessary to complete assigned volunteer responsibilities and does not include guaranteed private access to headliners, creators, vendors, VIP areas, or restricted spaces.

🌿 Volunteer Availability

Friday, April 23, 2027 – Setup Team
9:00 AM – 6:00 PM (Shifts Available)
Help transform the Charleston Convention Center into The BIG Plant Expo. Duties may include vendor check-in, booth setup assistance, decorating themed areas, assembling signage, preparing registration, organizing VIP bags, and other behind-the-scenes event preparation.

Saturday, April 24, 2027 – Expo Operations
Volunteer Shift (Approximately 4–6 Hours)
Assist with guest check-in, admissions, VIP experiences, wayfinding, education classrooms, exhibitor support, giveaways, crowd flow, and general event operations. Volunteers receive complimentary admission to enjoy the Expo before or after their scheduled shift.

Sunday, April 25, 2027 – Breakdown Team
3:00 PM – Approximately 8:00 PM
Help conclude the Expo by assisting vendors with load-out, packing event materials, removing signage and decorations, organizing supplies, cleaning work areas, and preparing equipment for future events.

Volunteer Commitment: To help ensure a successful event, volunteers are expected to commit to at least one full day during Expo weekend. Volunteers are welcome to participate on multiple days. Please select all days you are available to serve.

🌿 Perk #1: Complimentary 2027 BIG Plant Expo T-Shirt: As a thank you for volunteering, you'll receive one (1) complimentary Official 2027 BIG Plant Expo T-Shirt to wear during your volunteer shift.

🌿 Perk #2: Complimentary Lunch Voucher: As a thank you for your service, volunteers will receive one (1) complimentary lunch voucher for each full day they volunteer. Volunteers will also receive two (2) complimentary bottled waters during each volunteer shift.

🌿 Volunteer Agreement & Expectations

1. Volunteer Commitment
Volunteers must commit to at least one full day of service during Expo weekend. Please only apply if you are able to fulfill your selected volunteer commitment.

2. Professionalism & Conduct
As an official BIG Plant Expo Volunteer, you agree to conduct yourself professionally, respectfully, and courteously while interacting with attendees, vendors, sponsors, exhibitors, staff, fellow volunteers, and the public. Volunteers are expected to help maintain the welcoming, family-friendly, and community-focused atmosphere that The BIG Plant Expo is known for.

3. Volunteer Credentials
All volunteers are required to wear their official BIG Plant Expo Volunteer Badge while on duty. Volunteer credentials are non-transferable and must be picked up in person during volunteer check-in. Badges will not be released to anyone other than the approved volunteer.

4. Guest Admission
Volunteer credentials are valid only for the approved volunteer. Family members, friends, customers, business associates, or other guests must purchase the appropriate admission ticket to enter the Expo unless otherwise authorized by The BIG Plant Expo.

5. Attendance & Communication
Volunteers are expected to remain for the entirety of their assigned shift unless relieved by a BIG Plant Expo staff member. If an emergency arises or you are unable to report for your scheduled shift, you must notify Renay Adams or a designated staff member as soon as possible. Failure to communicate ("ghosting"), leaving an assigned shift without authorization, or repeated no-shows may result in removal from the Volunteer Program and ineligibility to volunteer at future BIG Plant Expo events.

6. Policies & Removal
The BIG Plant Expo reserves the right to remove any volunteer from the event or deny future volunteer opportunities for failure to follow Expo policies, volunteer expectations, staff directions, or for conduct deemed unprofessional, unsafe, disruptive, or inconsistent with the values of The BIG Plant Expo.

🌿 Volunteer Liability Release & Acknowledgment: I have voluntarily agreed to participate as a volunteer for The BIG Plant Expo 2027.In consideration of being permitted to participate, I knowingly and voluntarily release, waive, and forever discharge The BIG Plant Expo, LLC, its owners, officers, directors, employees, volunteers, contractors, sponsors, exhibitors, venue personnel, affiliates, successors, assigns, and representatives from any and all claims, demands, causes of action, liabilities, damages, losses, costs, or expenses of any kind, including but not limited to claims arising from negligence (excluding willful misconduct where prohibited by law), personal injury, illness, property damage, or other losses that may result directly or indirectly from my participation as a volunteer. I understand that volunteering may involve walking throughout the venue, lifting or moving materials, assisting with setup and breakdown, interacting with exhibitors, sponsors, attendees, and other volunteers, operating within active event areas, and participating in other event-related activities. I voluntarily assume all risks associated with these activities. I further acknowledge and affirm that :I am at least 18 years of age, or I have obtained permission from a parent or legal guardian if permitted by The BIG Plant Expo. I have carefully read and fully understand this Volunteer Liability Release and Acknowledgment. I understand that this document is a legally binding release of liability and is enforceable to the fullest extent permitted by applicable law. I voluntarily agree to these terms of my own free will, without coercion or undue influence. This release applies to my participation before, during, and after The BIG Plant Expo, including all volunteer activities associated with the event.
