• 2026 Virtual Conference Poster Proposal Form

    Posters for the 2026 HAPS Virtual Conference be hosted by an app called Virtual Poster Session. If your proposal is accepted, you will receive an invitation to upload you poster to the Virtual Poster Session website. You will have the option of including a brief video of yourself talking about your poster if you want (2-3 minutes).

    Synchronous conversations with conference attendees will take place on Tuesday 10/13/26 from 4-5pm ET. HAPS will host a Zoom session and each poster presenter will have their own breakout room. Please plan on arriving to the Zoom room 30 minutes early so we can troubleshoot any issues. 

    Poster proposals will be evaluated as they are received. You will be notified of acceptance by 8/17/2026 (at the latest).

    All presenters must be registered for the conference by August 29, 2026, or the poster will be canceled. Note that only professional quality posters are acceptable.

  • All potential conflicts of interest must be disclosed at this time. COI might include being a consultant, developer, or author for a company that sells in the A&P market. Another example might be that you are working on developing a tool that you plan to sell at a later date. Please see https://www.hapsweb.org/page/Sponsored for further clarification.*
  • Does your poster or abstract mention any product by name, whether it is available either for a cost or free? OR alternatively, is it focused on a single product, named or unnamed? This might include any online resource, any published resource like a book, any manufactured product, or things like apps.*
  • Can you present your poster without mentioning the specific product’s name?  For example,  if you are talking about using free on-line resources for your class in your poster, consider if you can do this poster without mentioning a specific product.
  • Please modify your poster abstract proposal to remove specific mention of any products or to refocus it away from a specific product before uploading it to this application.  Proposals focused on or mentioning a product will not be accepted unless they are sponsored by a vendor. Please note that we may need to limit the number of vendor sponsored posters to one per vendor, and that not all sponsored posters may be accepted.

  • If your poster mentions any specific product, then it is either a sponsored poster (requiring both that it be presented by a vendor and also that the $75 sponsored poster fee is paid) or is not appropriate for presentation at the HAPS Virtual Conference. See the HAPS website for additional information.
  • Free products are defined by HAPS as products that are made available to HAPS members in their full, unrestricted form, at no cost, in perpetuity. HHMI is a good example of an organization providing this type of free resource. "Free" apps are not good examples - they are typically owned by groups intending to make money from the app. If they do not charge for their services, they typically collect data from users and sell that data. HAPS does not consider this "free."
  • You will be uploading your poster to the Virtual Poster Session website for people to view for the duration of the conference. During the poster presentation time (Tuesday October 14, 2025 from 4-5pm ET), you will host a Zoom breakout room where participants can join and ask you questions. Are you able to accommodate this?
