  • Stafford County Holiday Market Vendor Application

  • Stafford County is excited to launch a new Holiday Market experience at this year's Tree Lighting event. Vendors will help create a festive holiday destination filled with seasonal décor, twinkling lights, unique gifts, and holiday spirit. With an estimated attendance of 3,000 guests, this event offers a unique opportunity to showcase your products while helping create a memorable holiday experience for the community.

  • Event Information

    Date: Saturday, November 21, 2026
    Time: 4:00 p.m. – 8:00 p.m.
    Location: Stafford County Government Center; 1300 Courthouse Road, Stafford, VA 22554

     

  • Holiday Market Purpose: The Stafford County Holiday Market is designed as a festive holiday shopping destination featuring unique gifts, seasonal products, and specialty foods. Vendor selection will prioritize businesses offering retail merchandise that attendees can purchase and take home during the event.

    Eligible Businesses: Businesses selling products or merchandise, including vendors selling prepackaged food, operating from a standard booth space.

    Ineligible Businesses: Service-based businesses, and promotional or lead-generation businesses. Food trucks or vendors preparing food on-site of any kind must register using a different form located HERE

  • Vendor Requirements:

    • Applications will be accepted through October 21 or until all spaces are filled.
    • Vendors must arrive no later than 2:00 p.m. Vendors must be fully set up, with all vehicles removed, by 3:30 p.m.
    • Each vendor space is approximately 10' x 10'.
    • A $50 vendor fee is required upon acceptance. Payment must be received within 14 days of approval to secure and finalize your space. Unpaid spaces will be offered to vendors on the waitlist.
    • Vendors will receive their assigned booth space and additional event instructions via email approximately one week prior to the event.
    • Changing assigned booth spaces is not permitted unless approved by Stafford County Government staff.
    • All vendor booths must be decorated with holiday-themed lighting and décor to help create a festive market atmosphere.
    • Vendors must provide their own tent, tables, chairs, displays, lighting, extension cords and décor.
    • All tents are required to be properly secured with tent weights.
    • Tables must be skirted or covered to the floor on all exposed sides using professional-looking table coverings. Booth spaces must be maintained in a neat and orderly manner throughout the event.
    • Power will be available; vendors must provide their own extension cords.
    • Vendors may not sell, transfer, or sublet their assigned booth space to another individual or business.
    • Vendors are expected to conduct themselves in a professional and respectful manner toward fellow vendors, event staff, and attendees. Failure to comply with event rules may result in removal from the event and exclusion from future Stafford County Government events.
    • Vendors must comply with all applicable state and local fire, health, and safety regulations. Vendors who fail to meet these requirements or fail required inspections will not be eligible for a refund.
    • Early breakdown is not permitted.
    • Vendors are responsible for cleaning their booth area prior to departure, including bagging and stacking all trash for disposal.
    • No-shows and vendors who break down early will not be considered for future Stafford County Government events. Vendor fees are non-refundable in the event of a no-show or cancellation within 45 days of the event.

  • Vendor Waiver and Releases

  • By signing this form, I desire, consent, and voluntarily choose to participate as a vendor at the Stafford County Holiday Market and Tree Lighting event. Knowing the material risks and appreciating, knowing, and reasonably anticipating that injury, illness, property damage, loss, and other unforeseen incidents are possibilities, I assume all risks normally incident to participation in the event, including but not limited to setup, operation, and breakdown of my vendor booth. I agree that neither the Stafford County Department of Economic Development & Tourism nor the County of Stafford, Virginia, will be responsible for any damages, losses, or injuries resulting to me, my employees, representatives, property, merchandise, equipment, or displays.

    I further understand and agree that there is a risk associated with participation in a public event, including potential exposure to communicable illnesses. Therefore, having read and understood this waiver, and in consideration of my acceptance as a vendor at the Stafford County Holiday market and Tree Tree Lighting event, I, on behalf of myself, my business, employees, agents, and representatives, waive and release the County of Stafford, Virginia, and its officers, staff, volunteers, sponsors, and representatives from all claims or liabilities of any kind arising out of or related to my participation in the event, including setup, operation, and breakdown of my vendor booth.

  • Photo and Media Release

  • I do hereby grant permission to the County of Stafford, Virginia, and the Stafford County Department of Economic Development & Tourism to use photographs, video, or other recordings of me, my employees, representatives, booth, products, and displays in promotional materials, including but not limited to brochures, marketing collateral, websites, social media platforms, advertisements, newsletters, and other publications, as is normal and customary.

  • Application Review & Booth Assignment

  • Due to limited space, vendor participation cannot be guaranteed for all applicants. Booth assignments will be determined based on product offerings, vendor requirements, logistical considerations, and the overall needs of the event. All booth assignments are made at the sole discretion of Stafford County Holiday Market and Tree Lighting Event management.

    Priority consideration may be given to vendors offering unique or complementary products in order to maintain a diverse and well-balanced market experience. Stafford County Holiday Market and Tree Lighting Event management reserves the right to accept or reject any application at its discretion.

  • Should be Empty:
