  • Travel Conditions and Policies

DOCUMENTS REQUIRED: You must present a Real ID Driver's License to board any flight within the US. When traveling internationally, you will be expected to present a PASSPORT that is valid for at least 9 months beyond the end of your trip. If a VISA is required, you will need to make those arrangements directly with the Consulate or Embassy in advance. It is best to obtain your visa before departure; only a few countries allow purchasing a visa upon arrival. Kola Nut Travel will provide visa details upon completion of the registration form and deposits/payments. In most situations, your air carrier may deny boarding if the necessary VISA is not provided upon boarding the aircraft.

Contact the Embassy or Consulate for your desired destination to determine the entry requirements. Not all entry requirements are the same; they are based on your citizenship. No refund will be made to any passenger whose participation is limited or denied due to failure to obtain the required passport or visas in a timely manner. All non-US Passport holders must contact the Consulate/Embassy for entry requirements prior to registering for your Kola Nut Travel program. There will be no refunds for lack of proper documentation; this is your responsibility

TRAVEL RESERVATION FORM: When completing your Kola Nut Travel Reservation form for international travel, include your PASSPORT NAME and not your DRIVER LICENSE NAME. You will be financially responsible for any changes due to incomplete or inaccurate names on airline tickets.

HEALTH REQUIREMENTS: All passengers are expected to check with their local health officials to determine any immunizations and medications that might be required for travel to an international destination. No traveler will be refunded any money if they are denied entry into the country for failing to comply with that country's health entry requirements.

Please note that health requirements, whether domestic or international, must be obtained from your health provider. During Orientation Zoom Meetings, Kola Nut Travel will provide a list of travel instructions to ensure your journey is smooth and uncomplicated.

INSURANCE: is based on age and cost of the trip. If you have pre-existing health issues (i.e., hypertension, prior medical procedures, injuries, etc.) purchase your policy within 14 days of making your deposit. It is always best to consult your physician. East Africa Safaris require mandatory travel insurance. This is not the same as their Flying Doctors coverage. Travel insurance covers the cost of your tour with acceptable explanations. Some policies also offer cancel-for-any-reason coverage. Different policies cover similar items, the more expensive, the policies cover more. Read the fine print. IF YOU CANCEL YOUR TRIP, YOU WILL NOT BE REFUNDED THE COST OF THE INSURANCE.

CANCELLATIONS: In addition to any cancellation fees imposed by hotel/ground operators and air carriers, all cancellations will be subject to an administrative fee of $50.00 per person, regardless of the nature of the cancellation. International group reservations require a minimum $500 non-refundable deposit. Standard cancellation fees, unless otherwise indicated, are as follows: 90-60 days, 25% of the total tour; 59-31 days 50% and 30 days or less, 100%.

Travel to Africa & a select few other countries requires that all payments are nonrefundable. Once all ground arrangements have been made on your behalf.

RATES AND INDIVIDUAL RESPONSIBILITIES: If fewer than 10 persons are traveling, the tour program will be re-evaluated. If the tour is canceled due to insufficient participation, all monies will be refunded. If the group participants decide to continue with the travel program, each traveler will be assessed additional monies to cover the added expenses. All rates are guaranteed only upon full payment and are subject to change without notice due to fluctuations in domestic currency rates, airline increases, fuel surcharges, and government fees. In some destinations, the Government may increase the rates prior to arrival. You will be advised if this occurs.

AIRLINE TICKETS: If you request the lowest possible airfare or are traveling on a group ticket, you generally will not be able to reserve advance seating or purchase seats (this can vary by carrier). Unless you request a fully refundable airline ticket, your ticket will be nonrefundable, and no changes are allowed. The Main Cabin is in the coach cabin; it just means that you can obtain advanced seating.  You also have the option of purchasing your own airline ticket All tours start at a specific time with airport transportation. Arrival time should be approximate, or you will be responsible for securing your transportation to the hotel property. Group participants who choose to arrive outside the specified arrival date will be financially responsible for their own transportation to the hotel. This applies to the return flights as well.
