Warwick Rodeo Queen Quest

Conditions of Entry 2026

GENERAL

1.                  

Entrants in the Warwick Rodeo Queen and Warwick Rodeo Princess sections are required to represent the Warwick Show and Rodeo Society Inc. (“the Society”) at a minimum of five (5) functions – (Rodeo Week and hand-over presentation evening are compulsory) and attend as many Rodeo Queen Committee meetings as possible (minimum of 2) during their 12-month reign. These functions may also involve domestic travel. The Warwick Show and Rodeo Society Inc. Committee (“the Committee”) reserves the right to remove any Title and prizes awarded if an entrant fails to provide adequate reasoning for not meeting these requirements.

2.                  

Entry Form, signed Code of Conduct, signed Conditions of Entry and Entry fee are to be submitted to the Warwick Show and Rodeo Society Office by 3.00pm on Friday 11th September 2026 with the Release and Waiver of Liability to be signed at the compulsory Entrant Meet and Greet on Friday 25th September 2026. 

3.                  

Entrants must reside and either work or study within a 400 km radius of the Warwick Post Office.

4.                  

Entrants understand the Society shall have exclusive rights to all material deemed to be associated with the promotion and advertisement of the Queen Quest, Rodeo and Campdraft and other WSRS associated events. Entrants understand that photographs, videos, interviews and any other promotional content may be reproduced after the event for promotional purposes. Entrants are not entitled to any royalties or payment for these materials, neither during the quest nor in the future.

5.                  

All entrants, parents/guardians and family members must execute the Warwick Rodeo Queen Quest Code of Conduct and abide by the Warwick Show & Rodeo Society Inc. Code of Conduct. Failure to do so may, at the Committee’s discretion, result in the removal of any title the entrant holds and from participation in the Quest, future quests and/or society events.

6.                  

All successful entrant applicants over the age of 18 years of age must obtain a Queensland Working with Children Blue Card prior to Rodeo and Campdraft Week.

7.                  

As a representative of the Society and the community as well as the inherent work with at risk community members such as children, the elderly and disabled, it is a requirement that all entrants be of good character. Entrants will be considered immediately ineligible if they are the subject of an ongoing criminal investigation or have been convicted of an indictable offence. Should a criminal investigation arise after entry in the quest, the entrant is to immediately inform the Committee and withdraw/step down until such time as the investigation is resolved to the Committee’s satisfaction. 

 JUDGING DAY

8.                  

Entrants are to be judged in good, casual Western or Australian attire. Judging will be held at the Warwick Showgrounds; all entrants are required to attend an informal Meet and Greet on Friday night 25th September 2026 followed by horsemanship judging and interviews on Saturday 26th September 2026. The newly crowned Queen and Princess also need to be available the Sunday 27th September 2026 for their promotional photoshoot. Entrants will be notified closer to the day of times for each section of judging. All entrants are required to be on site half an hour prior to the commencement of their section. On completion of the horsemanship judging, individual entrants will be interviewed by the judges.

9.                  

To be eligible for a Title, all entrants must participate in every component of the judging process. Any entrant who has previously won an age category title is not permitted to compete in that age category again in future years.

10.              

Winners will be announced at the Warwick Rodeo Queen Quest Presentation Evening to be held on Saturday night 26th September 2026 at the Douglas Feez Pavilion, Warwick Showgrounds.

11.              

Entrants may be judged on such topics as general knowledge of Warwick and District, the Warwick Rodeo and Campdraft, Appearance, Personality and Horsemanship. Part of the judging will be on horseback, riding boots must be worn. It is compulsory for entrants under the age of 18 years to wear a helmet with chin strap securely fastened whilst mounted at all times. Supporters and interested spectators are more than welcome to view the horsemanship judging.

RODEO & CAMPDRAFT WEEK

12.              

It is encouraged that all title winners are available for the duration Rodeo and Campdraft week from Monday to Sunday for event promotional activities and presentations. Queen entrants are expected to make arrangements with their employers/educational facility to be available for the entire period of the event. Attendance at other events may also be required from Monday to Sunday but this will be advised closer to the date as schedules are collated in the lead up to the event.

13.              

All entrants must make themselves available to assist with the promotion of the Rodeo and Campdraft, leading up to and during the event. This may include selling raffle tickets, promotional school visits during Rodeo week (if available), attending Competitors’ barbecue during Rodeo week, Sponsor’s function and the Saturday Street Parade. All entrants may be required for the Grand Entry at the Rodeo on Thursday, Friday, Saturday and Sunday. 

14.              

All entrants must understand that it is their personal responsibility to organise a suitable handler to prepare their horse for any Grand Entries, Presentations and/or Street Parade and that person will take responsibility of the horse following the Grand Entry/Presentations to ensure the entrant’s availability for other commitments as required.

15.              

The Quest Committee reserves the right to exclude any horse deemed unsuitable or unsafe for any event, and reserve the right to make this decision right up to the moment before horses are required to enter the arena. All efforts will be made to ensure decisions are made with sufficient notice in mind. If at any time there is an apparent risk to any rider, entrant or other persons within the arena/area due to any entrant’s horse’s behaviour, the Quest Committee reserves the right to immediately instruct that entrant to leave the arena/area in the interests of safety.

16.             

It is a mandatory requirement that Queen and Princess entrants must participate in arena based activities such as Grand Entries and Campdraft Presentations mounted on a suitable horse.

17.              

Entrants understand that the Quest Committee reserves the right to hold onto the entrant’s telephone or other personal belongings whilst they are performing official duties.  Phones will be placed into a secure bag held by the RQ Coordinator or WRQQ Committee member whilst the entrant is performing official duties. Entrants acknowledge that while all reasonable care will be taken to secure belongings, the Committee, (or any volunteer or member assisting) is not liable for any loss or damage to any private property held for an entrant during duties.  

FUNDRAISING

18.              

All entrants are eligible for the title of Overall Fundraiser and are encouraged to compete.

·         All fundraising activities are required to be communicated to AND approved by the WRQQ coordinators before being publicly announced.

·         A register of all fundraising activities will be maintained by the coordinators.

·         The Overall Fundraiser will be solely judged on their Financial Contribution to the Quest. 

19.              

Money raised and number of tickets sold to the Presentation Evening by entrants must be at the ‘Secretarial Office’ by 3.00pm on Thursday 17th September 2026. To be eligible to win any title, Queen entrants are required to fundraise a minimum of $1,000 and Princess entrants are required to fundraise a minimum of $500. Monies raised at any fundraising event must be banked into the Societies bank account within three (3) business days after the fundraising has occurred. Entrants under 18yrs of age are not to conduct fundraising on licensed premises and/or are not to be sponsored by licensed premises except under the following conditions: -

a)              the premises is considered a “family friendly environment”;

b)             active consumption of alcohol is not promoted at the event;

c)              no sale of alcohol is contributing to the fundraising efforts of the entrants (ie bar is run by the bowls club and they keep all the funds from sales);

d)             Images of alcohol consumption is avoided as best as possible, including but not restricted to games like beer pong, shoey, boat races or liquor promotional material or merchandise; and

e)             Patrons drinking at the venue are not actively pursued to purchase any fundraising items such as raffle tickets or $100 board tickets.

The decision of the Warwick Show and Rodeo Society Inc on all matters pertaining to or incidental to the Warwick Rodeo Queen Quest shall be final, conclusive and binding.

Warwick Rodeo Queen Quest

Code of Conduct 2026

GENERAL

1.             

I understand that when entering the Warwick Rodeo Queen Quest, if I am successful in being crowned either the Warwick Rodeo Queen or Warwick Rodeo Princess that I must attend a minimum of five (5) events (mandatory: Rodeo Week, hand over night) that would benefit the promotion of the Quest as well as a minimum of two (2) Rodeo Queen Committee meetings. Committee reserves the right to assess the retention of the role. 

2.             

I understand that as a participating entrant of the Warwick Rodeo Queen Quest, I am a representative of the Warwick Show and Rodeo Society Inc. I will conduct myself in such a manner as to suitably represent the Society to the best of my ability.

3.             

I will conduct myself in an appropriate manner throughout the year of my involvement in the Quest. This always includes behaving in a polite and gracious manner.

4.             

I will first direct all questions or issues to the Rodeo Queen Quest coordinator or nominated committee member.

5.             

When promoting the Rodeo and Campdraft in the community, I will comply with all reasonable requests and directions from the coordinator and/or appointed committee members.

6.             

I understand I must participate in all elements of the judging to be eligible for a Title.

7.             

I understand that all fundraising must be age appropriate. If I am unsure on what is classified as age-appropriate fundraising, I will check with the coordinator and/or committee members before proceeding with any fundraising event.

8.             

All judges' decisions are final and no communication or correspondence will be entered into. I will not approach the judges unless asked. I understand that this condition also applies to my parents/guardians/family members/associates and will communicate this condition to them. Feedback on your performance may be sought from the coordinator only unless expressed otherwise by the judges.

9.             

I understand that Parents/Guardians and any family members or those closely associated with any entrant of the Quest, will act appropriately, and direct any questions or concerns to the coordinator and/or committee members. 

10.         

I understand to be eligible to win any title, Queen entrants are required to fundraise a minimum of $1,000 and Princess entrants are required to fundraise a minimum of $500.  Monies raised at any fundraising event must be banked into the Societies bank account within three (3) days of completion of the fundraising event.

11.         

If under 18 years of age, my parent/guardian will deliver me to and collect me from the appointed meeting locations and provide emergency contact details for the day to the current the coordinator or appointed Committee member, together with any special requirements or early leave details (if required).

12.        

If under 10 years of age, my parent/guardian will accompany me to school promotional visits and the street parade and will ensure I have adequate supervision over the week/weekend of the Rodeo and Campdraft.

PERSONAL APPEARANCE & PRESENTATION

13.        

As an entrant, I will not consume any alcohol at any functions whilst representing the Warwick Show & Rodeo Society Inc. Failure to abide by this may result in action being taken by the committee and/or the Warwick Show & Rodeo Society Management committee. If I wish to enter the licenced/bar area throughout any event after completion of official duties, I must remove Crown and/or sash. Excessive consumption of alcohol is considered not appropriate for an entrant of the WRQQ.

14.        

I will always take the best of care with my sash (fair wear and tear excepted). If my sash is damaged in any way and needs to be replaced, the coordinator or nominated committee member must be contacted as soon as possible. I understand that my sash must be worn in its original state and no alterations are permitted to be performed on it.

15.        

I will always take the best of care with my Crown. If my Crown is damaged in any way or lost and needs to be replaced, the coordinator must be contacted as soon as possible. The replacement of a damaged or lost Crown is the financial responsibility of the title holder (extenuating circumstances considered), and I will coordinate with the coordinator or appointed committee member to arrange for its replacement. I understand that my Crown must be worn in its original state and no alterations are permitted to be performed on it.

16.        

I acknowledge that the Rodeo Queen Quest Committee requires that all dresses and skirts must be no shorter than knee length to ensure the modesty of entrant.

HORSEMANSHIP & HORSE PRESENTATION

17.        

I will always present myself and my horse in a neat and well-groomed manner. The horse will always be handled appropriately. Any display of anger or aggression when handling a horse will not be acceptable. Entrants are not permitted to ride stallions. Entrants under the age of 18 years will, at all times, wear a helmet whilst on horseback.

18.        

As an entrant, I understand that it is my sole responsibility to ensure that I have a suitable horse available for the Horsemanship Judging. As a Rodeo Queen and/or Princess entrant, I understand that it is my sole responsibility to ensure that I also have a suitable horse available for all Grand Entries, Presentations and Street Parade throughout the entire Rodeo and Campdraft week to fulfil my role and duties. I further understand that the committee shall not be responsible to locate or supply a horse for any part of the horsemanship judging or Rodeo and Campdraft Week.

SOCIAL MEDIA, PUBLIC PROMOTIONS & COMMUNICATIONS

19.        

I will always act responsibly and in the best interests of the Society when using social media ie Facebook, Instagram, Snapchat, TikTok etc.  I understand that social media is a public forum and open to public access, and I will not use inappropriate language, make derogatory, abusive or harassing remarks, or make any comments that may be deemed inappropriate by the committee. If any post/comment on social media is deemed to be inappropriate, the committee will demand that the post be removed immediately. The Warwick Show and Rodeo Society Inc. will not tolerate any offensive or inappropriate behaviour. I understand that parents/guardians/family members are also bound by this condition. I undertake to inform my parents/guardians/family members of this condition.  The Rodeo Queen Committee and Management Committee reserves the right to remove any title and prizes awarded if an entrant fails to abide by this condition.

20.        

I understand that as a representative of the Warwick Rodeo Queen Quest and Warwick Show and Rodeo Society Inc. I may be observed in my private capacity outside of events, on social media and within the Community whilst not on official duties. I understand that this is unavoidable at times. The Queen Quest Committee will endeavour to support the Queen Quest participants to be able to live and socialise freely without public scrutiny, however the committee requests that all attempts are made by participants to ensure there is no inappropriate public attention brought upon themselves.

21.        

I understand that the Queen Committee reserves the right to hold onto my telephone whilst I am performing official duties. Phones will be placed into a secure bag held by my coordinator or nominated committee member whilst I am performing official duties.
