Crossroads Pickle Festival Vendor Agreement
By submitting this application and payment, I acknowledge that I have read, understand, and agree to the following terms and conditions for participation in the Crossroads Pickle Festival.
Event Information
Event Date: December 5, 2026
Location: Victoria Community Center Dome
2905 E. North St., Victoria, TX 77901
Vendor Setup: 8:00 AM – 10:00 AM
Festival Hours: 10:00 AM – 8:00 PM
After Party: 8:00 PM – 11:00 PM
There will be no early setup or early venue access. Vendors will not be permitted inside the Victoria Community Center Dome before 8:00 AM. Setup begins promptly at 8:00 AM, and vendors must be fully set up and ready to operate by 10:00 AM.
Early breakdown is not permitted. Vendors are required to remain fully set up and operational for the entire festival and may not begin breaking down, packing merchandise, removing displays, or leaving their assigned space before 8:00 PM.
There will be no exceptions or early breakdown approvals from festival management. Vendors who break down early may be prohibited from participating in future Crossroads Pickle Festival events.
Vendor Booth Options
Vendor spaces and fees are based on the option selected during registration:

- One (1) premium 10' × 20' end-cap booth space
- Three (3) tables
- Two (2) chairs
- Two (2) vendor admission vouchers
Hot Food Vendor – $200
- Designated 10' × 10' food vendor space
- One (1) table
- Two (2) chairs
- Two (2) vendor admission vouchers
Food Truck/Trailer – $250
- Designated food truck or trailer space
- Two (2) vendor admission vouchers
Unless specifically included above, vendors are responsible for supplying all additional tables, chairs, displays, extension cords, lighting, decorations, equipment, power sources, water, and other supplies necessary to operate their business.
Vendor Eligibility
The Crossroads Pickle Festival welcomes a variety of approved businesses and organizations, including but not limited to:
- Boutiques and retail vendors
- Farmers market vendors
- Handmade goods and crafts
- Jewelry and home décor
- Pickle-themed merchandise and products
- Packaged snacks and specialty foods
- Specialty drinks and beverages
- Local businesses
- Nonprofit and community organizations
- Hot food vendors
- Food trucks and trailers
- Other approved specialty vendors
All products, services, and menu items are subject to approval by festival management.
Food Vendor Requirements
Hot food vendors and food trucks must offer at least TWO (2) pickle-themed menu items during the festival.
Food vendors are responsible for:
- Obtaining all required health permits, licenses, and approvals
- Contacting the appropriate health department when required
- Providing all equipment necessary for food preparation and service
- Providing their own power and/or water when required
- Maintaining proper food safety and sanitation standards
- Submitting an accurate description of their menu and products
All food menus are subject to festival approval. The Crossroads Pickle Festival reserves the right to limit the number of vendors offering substantially similar primary menu items in order to provide variety for festival guests.
Prize Package Vendor Discount
Select retail booth categories may qualify for a $25 booth discount when the vendor agrees to donate a prize package to support a Crossroads Pickle Festival competition or activity.
Vendors selecting a discounted Prize Package Donation booth are committing to provide the agreed-upon prize donation as part of their registration.
Festival management will provide additional instructions regarding delivery or collection of donated prizes.
Pickle Theme & Booth Presentation
The Crossroads Pickle Festival encourages all vendors to participate in the festival atmosphere with creative pickle-themed decorations, displays, signage, or attire, even if the business does not sell pickle-related products.
Booth Awards will be presented during the festival for outstanding creativity and presentation.
All booth decorations, pipe and drape, backdrops, displays, signage, and merchandise must remain within the vendor's assigned space and may not block aisles, exits, neighboring booths, or other designated areas.
Sales Tax, Permits & Licensing
Each vendor is solely responsible for complying with all applicable federal, state, and local laws and regulations related to their business.
This includes obtaining any required:
- Sales tax permits
- Food or health permits
- Business licenses
- Certifications
- Vendor-specific permits or approvals
Vendors are responsible for collecting and remitting all applicable sales taxes.
Vendor Conduct
Vendors agree to conduct themselves professionally and respectfully toward guests, volunteers, sponsors, fellow vendors, performers, venue staff, and festival management.
The Crossroads Pickle Festival reserves the right to remove a vendor from the event without refund for reasons including, but not limited to:
- Unsafe booth conditions or practices
- Illegal activity
- Selling unapproved or prohibited items
- Misrepresentation of products, services, or menu offerings
- Disruptive, abusive, threatening, or inappropriate behavior
- Failure to follow venue or festival safety requirements
- Failure to follow festival policies or staff instructions
- Failure to meet required booth setup standards
- Breaking down or leaving before the official vendor closing time
Booth Assignment
All booth and food vendor locations will be assigned by Crossroads Pickle Festival management.
Vendors may indicate a preference for a center or wall location when applicable; however, booth placement requests are not guaranteed.
Premium booth purchases receive designated premium/end-cap placement according to the festival layout.
Festival management reserves the right to adjust booth assignments or the event layout when necessary for safety, operations, accessibility, traffic flow, or overall event needs.
Liability
Vendors understand that participation in the Crossroads Pickle Festival is at their own risk.
The Crossroads Pickle Festival, its organizers, volunteers, sponsors, venue partners, employees, contractors, and affiliates are not responsible for loss, theft, damage, injury, accident, or destruction involving vendor property, merchandise, equipment, vehicles, employees, volunteers, or guests before, during, or after the event.
Each vendor accepts responsibility for their booth, merchandise, equipment, operations, employees, volunteers, and representatives.
Photography & Media Release
Vendors grant the Crossroads Pickle Festival permission to photograph, film, and record their booth, products, signage, employees, representatives, and promotional materials during the event.
These photographs and recordings may be used for marketing, advertising, promotional materials, websites, social media, print publications, media coverage, and promotion of future Crossroads Pickle Festival events without additional compensation.
Weather, Schedule & Event Changes
The Crossroads Pickle Festival reserves the right to modify the event schedule, activities, vendor layout, booth assignments, venue, or event date when necessary because of weather, emergencies, safety concerns, government requirements, venue requirements, or other circumstances beyond the organizers' reasonable control.
Refund Policy
All vendor registration fees are non-refundable and non-transferable unless the Crossroads Pickle Festival cancels the event.
If the festival is postponed or rescheduled, vendor registrations may be transferred to the new event date at the discretion of festival management.
Failure to attend, failure to obtain required permits, failure to meet vendor or booth requirements, early breakdown, or removal from the event for violation of festival policies does not qualify the vendor for a refund.
Agreement
By signing or electronically acknowledging this agreement, I certify that the information submitted in my application is accurate and that the products, services, and/or menu items described accurately represent what I intend to offer at the event.
I have read and understand the Crossroads Pickle Festival Vendor Agreement and agree to comply with all festival rules, policies, venue requirements, booth setup standards, safety requirements, and directions provided by Crossroads Pickle Festival management.
I understand that failure to comply with these terms may result in removal from the event without refund and/or loss of eligibility to participate in future Crossroads Pickle Festival events.
