    By registering for childcare services with Our Little Guests, parents/guardians acknowledge and agree to the following policies and procedures.
  • Pick Up Policy: A parent, legal guardian, or approved caregiver must sign children in and out of childcare services. At least one adult responsible for pickup must be sober and able to safely care for the child upon departure.
  • Late Pick Up Policy: Children must be picked up promptly at the end of scheduled childcare coverage. We allow a 5 minute grace period after scheduled pickup time. After that, late fees will apply as follows: 6 to 14 minutes late: $10 late fee 15 to 24 minutes late: $20 late fee. 25+ minutes late: $30 late fee. Late fees are charged to compensate our childcare team for additional time spent after scheduled coverage and help ensure timely pickups for both staff and event operations.
  • Behavior & Safety Policy: Our goal is to provide a safe, positive, and inclusive environment for all children. If a child repeatedly displays behaviors that place themselves, other children, or staff at risk including repeated physical aggression, unsafe behaviors, or refusal to follow safety instructions, parents/guardians may be asked to return to the childcare space and remove the child from care for the remainder of the event.
  • Illness Policy: For the health and safety of all children and staff, children may not attend childcare services if they have experienced fever, vomiting, diarrhea, contagious illness symptoms, or have otherwise been sick within the previous 24 hours.
  • Bathroom Policy: For child safety and staff accountability, Our Little Guests follows a “Rule of Three” bathroom policy whenever possible. Bathroom trips will include one childcare provider and at least two children present at all times to avoid one on one situations and maintain a safe environment for everyone involved.
  • Potty Training & Bathroom Assistance Policy: Parents/guardians are responsible for communicating their child’s potty training status during registration. Our team can provide reasonable bathroom reminders and assistance as needed, but children requiring extensive bathroom support should have this discussed in advance so we can ensure appropriate staffing and accommodations.
  • Diaper Changing Authorization: Our childcare team can provide diaper changing assistance only with parent/guardian authorization.
  • Medication Policy: Our Little Guests staff do not administer medications of any kind. If medication is needed during childcare hours, a parent or guardian must return to administer medication directly.
  • Allergy & Food Acknowledgement: Parents/guardians are responsible for disclosing any allergies, dietary restrictions, sensitivities, or medical conditions during registration. While Our Little Guests takes precautions regarding food and allergen awareness, we cannot guarantee an allergen free environment. Parents acknowledge responsibility for communicating all relevant allergy information prior to care.
  • Emergency Medical Authorization: In the event of a medical emergency, parents/guardians authorize Our Little Guests staff to seek emergency medical care for their child if a parent or emergency contact cannot be reached immediately. Parents/guardians understand they are responsible for any medical expenses incurred.
  • During the childcare program, age-appropriate screen time may occasionally be used as part of scheduled activities, quiet time, transition periods, or weather-related indoor accommodations.
  • If my child becomes tired, overstimulated, or needs a quieter environment, I authorize the childcare team to accompany my child to the designated movie or quiet room within the venue and provide age-appropriate television or movie programming during supervised quiet time.
  • I authorize my child to participate in supervised crafts, games, and outdoor activities conducted by the childcare team in designated venue areas. Children will remain under the supervision of the childcare team while participating in these activities.
  • I authorize the childcare team to accompany my child to designated areas within the wedding venue for supervised activities, including the reception room, outdoor craft or play areas approved by the venue or hosts, restrooms, and the downstairs movie or quiet room.
  • I understand that weather permitting, children may participate in supervised outdoor activities on resort property or in designated outdoor areas as part of the childcare program.
  • Our Little Guests will not provide sunscreen for outside activities. You will be asked to provide this if applicable.
  • Please send your child with a labeled backpack or diaper bag each day. To help us provide the best care possible, please ensure all personal items are clearly labeled with your child’s name. Recommended items include: Water bottle, snacks (if you prefer your child to have their own snacks), sunscreen (if needed), diapers, wipes, change of clothes, pull-ups (if applicable), comfort items (if needed). Please note that Our Little Guests is not responsible for lost or misplaced items that are not labeled.
  • Parent/Guardian Acknowledgement: By signing below, I acknowledge that I have read, understand, and agree to the policies and procedures outlined above.
  • Parents or guardians will remain on-site at the wedding venue throughout the event and retain primary responsibility for their child. The childcare team provides supplemental supervision, entertainment, and assistance within designated venue areas.
  • Liability: I understand that my child may participate in supervised play, crafts, games, and quiet-time activities during the wedding. I acknowledge that minor bumps, falls, and similar incidents can occur during normal childhood play. To the fullest extent permitted by law, I release and hold harmless Our Little Guests, its employees, and independent contractors from claims arising from ordinary negligence during these supervised activities, except for claims resulting from gross negligence or willful misconduct.
