1. Booking & Reservation
- Booking is confirmed once the required reservation fee/down payment has been secured.
- Booking slots are reserved on a first paid reservation basis.
- Reservation fees and down payments are non-refundable as they compensate the Service Provider for reserving the requested event date and declining other potential bookings. However, subject to the Service Provider's written approval and availability, payments may be transferred to a rescheduled event date or another client.
- The remaining balance must be paid in full one (1) day before the event, unless otherwise agreed in writing. The Service Provider may proceed with setup but will not commence services until full payment has been received. Delays due to late payment shall not extend the agreed service period.
- Failure to settle the remaining balance may result in delayed setup, suspension of service, withholding of outputs/files, or cancellation of service until payment is completed.
2. Changes & Modifications
- Any changes to event details must be communicated at least two (2) weeks before the event date.
- Requests to change the event date must be made at least thirty (30) days before the original event date.
- Date change requests made less than thirty (30) days before the event may incur a rescheduling fee of PHP 1,000, subject to availability and approval.
- Additional charges may apply for changes affecting logistics, manpower, transportation, venue access, setup requirements, or operating hours.
- All payments made are non-refundable in case of cancellation but may be converted into transferable service credit for approved rescheduling due to force majeure or unforeseen emergencies, subject to availability.
- Rescheduled bookings are valid for one-time rescheduling only unless otherwise approved by the Service Provider.
3. Service Period
- The agreed rental/service period (e.g., 3 hours unless otherwise stated in the booking confirmation) shall begin at the scheduled event time stated in the booking confirmation unless otherwise specified.
- Delays caused by the Client, venue, organizer, suppliers, guests, or program flow may reduce the actual operating time without refund or adjustment.
- Extensions beyond the agreed service period are subject to additional charges and availability and must be coordinated one (1) week before the event.
- Requests to temporarily suspend booth operations during the event are subject to approval and operational availability.
- Approved temporary suspensions shall not exceed thirty (30) minutes and shall extend the service end time accordingly.
- Program flow, speeches, meals, performances, games, or periods with low guest participation shall still be considered part of the service period if booth staff continue operating, preparing outputs/souvenirs, monitoring equipment, or maintaining booth operations.
4. Setup, Venue & Usage Requirements
- The Service Provider shall handle setup, operation, and assigned crew management during the event.
- The Client must provide a safe, dry, stable, and adequately sized setup area with accessible and reliable power supply.
- The Client is responsible for ensuring proper and respectful use of equipment and materials by guests.
- Unauthorized handling, moving, dismantling, or tampering with equipment by guests or third parties is strictly prohibited.
- The Service Provider reserves the right to temporarily suspend operations if venue conditions pose risks to equipment, materials, outputs, or staff safety.
5. Power, Technical & Weather Conditions
- The Client must inform the Service Provider during booking whether the event is indoor or outdoor to allow proper preparation of materials and equipment.
- For outdoor events, the Client must provide adequate overhead cover and weather protection for both guests and equipment.
- The Service Provider shall not be held liable for interruptions, delays, incomplete outputs, or reduced guest participation caused by power outages, unstable voltage, internet issues, poor signal, unsafe weather conditions, venue restrictions, booth placement, program flow, guest behavior, or other circumstances beyond reasonable control.
- Guest participation is voluntary, and actual output volume may vary depending on venue conditions, booth placement, and guest engagement.
- The Service Provider reserves the right to temporarily suspend operations or not proceed with setup during unsafe weather conditions to protect equipment, materials, and staff.
6. Crew Meals
- The Client agrees to provide one (1) crew meal for each crew member during the event coverage. This covers one meal only and does not apply to the entire day.
- If crew meals cannot be provided, a cash meal allowance of PHP 150, instead of meals shall be settled before the day of the event.
- Venue Restrictions: If the venue does not allow outside food, the Client must provide venue-approved crew meals during the event coverage.
7. Misuse, Damages & Fines
- The Client is responsible for any loss, theft, or damage to the equipment, materials, or supplies caused by improper use, negligence, or unauthorized handling by guests, child, organizer, venue staff or any person under the Client's supervision or attending the event during the rental period.
- In case of damage, the Client agrees to pay a repair or replacement fee, depending on the extent of the damage.
- The service provider will provide documentation or proof of the required repair or replacement cost if requested.
8. Consumables & Materials
(Applicable to Perfume Bar, Leather Live Stamping, Charms Bar, Flower Bar, Instax, Pick & Press, and similar services)
- Consumable items are allocated based on the agreed package inclusions.
- Specific scents, flowers, charms, colors, packaging, decorations, and materials may vary depending on stock and supplier availability.
- Once consumable items are used during the event, they are considered final and non-returnable.
- Excessive or intentional wastage of materials may result in additional charges.
9. Data Delivery
(Applicable to Video/Audio Guestbook and digital files)
Google Drive: Files will be uploaded and shared within 5 - 7 days after the event.
USB Drive: If requested, files will be saved on a USB drive and shipped within 5 - 7 days after the event. Shipping fees shall be shouldered by the Client.
- Digital files shall only be released upon full settlement of all outstanding balances unless otherwise agreed upon in writing.
- The Client is encouraged to download and back up all delivered files promptly. The Service Provider is not obligated to retain digital files indefinitely after delivery.
- The Service Provider will make reasonable efforts to deliver complete and usable files.
10. Client Protection – Data Loss or Non-Delivery
- In the event that files are lost or not delivered solely due to the proven fault or negligence of the Service Provider, the Client may be entitled to a full refund if the affected service is a standalone paid service.
- If the affected files are part of a complimentary inclusion or freebie, the Client may be entitled to a partial goodwill refund of up to five percent (5%) of the total package fee.
- No refund or compensation shall be provided if data loss or file damage is caused by the Client, guests, venue personnel, or any third party.
11. Ownership & Usage Rights
- Upon full payment, the Client shall own the final deliverables produced specifically for the event. The Service Provider retains ownership of all business processes, templates, software settings, branding materials, designs, and other proprietary materials used in performing the services.
- The Service Provider shall not publicly post, share, or use event outputs for promotional purposes without the Client’s prior consent.
- The Service Provider commits to respecting the Client’s privacy and handling event content responsibly.
12. Out-of-Town Fee & Parking
- Events outside the Service Provider’s standard service area may be subject to additional transportation or out-of-town fees, including but not limited to fuel, toll, delivery, accommodation, parking, and travel-related expenses.
- For venues requiring extended travel time (generally more than six (6) hours total travel time or similar operational conditions), additional charges may apply for lodging, meals, extended manpower hours, additional crew compensation, or other necessary operational expenses.
- Parking fees, entrance fees, permits, loading/unloading fees, and venue access charges required during setup or event coverage shall be shouldered by the Client.
13. Force Majeure
- The Service Provider shall not be held liable for delays, interruptions, incomplete outputs, missed recordings, or failure to perform services due to circumstances beyond reasonable control, including but not limited to natural disasters, severe weather conditions, accidents, transportation disruptions, supplier delays, government restrictions, power outages, internet interruptions, emergencies, pandemics, or force majeure events.
- The Client understands that actual event conditions, guest behavior, venue restrictions, technical limitations, and booth placement may affect guest participation, recording quality, and overall outputs.
14. Acceptance of Terms
- By submitting the booking form and/or making any payment, the Client confirms that they have read, understood, and agreed to these Terms & Conditions.
