  • Terms have very important information in it regarding refunds, cancellations and more. It is the responsibility of the vendor to read these terms before committing to my events. I have policies and procedures that vendors must follow. I appreciate you reviewing these is advance.

    INSURANCE:

    Insurance is required by the site.

    Insurance must be in the amount of $2 million and naming as additional insured: Coastal Wave Markets, Albion Community Centre, MLE Training and Research Society, City of Maple Ridge, SD 42, Kathleen Jeffrey.   If you do not have a carrier, please follow the instructions that will be provided in the follow up email if you are accepted to the event.

    I agree to obtain the required insurance and submit if accepted by SEPTEMBER 15th.  If I fail to do so my space will be forfeited and I will lose my deposit.

    By acknowledging below and applying to be involved in Coastal Wave Markets you are agreeing to the following addtional terms and conditions

    Acceptance: 

    Submitting an application is not guarantee acceptance. Applications will be reviewed and acceptance will be made based on a number of factors including variety, quality, etc. The event has the right to limit the number of vendors in a particular category. Only accepted vendors will be notified usually within 1 week of application date

    Advertising:

    Professional large signs/banners on the ACC fence will be placed 1 week prior to the event. Paid advertising on Facebook/Instagram with event created.  Advertising on Local community groups. ACC will have the event on their Screen at the Centre and let surrounding schools know. 

    Marketing the event is a group effort. As a vendor, I will contribute to the promotion of the event through social media. I agree to let the market use images from my online sites, social media, as well as photos taken of me and my booth, display and products on the day of the show for the use of marketing & promotion.

    Payment:

    The cost of the table fee is above. If accepted, full payment will be required within 10 days. Vendors are required to provide payment by etransfer. If payment is not received by the specified date, the spot will be immediately given to the next person on the wait list.

    Cancellation Policy:

    If cancellation by vendor is received after September 1st, there is no refund. If the event needs to be cancelled by organizers, vendors will receive a refund in a timely manner.

    Vendors are NOT allowed to sell their tables/table space if they cannot attend.  The acceptance was for the specific vendor/a specific product.

    Assignment and Use of Space:

    Bring own set up - Vendor must supply own table/chair/set up etc.  - or -  rent a table and chairs. Please supply own covering for table.

    Table must not be vacated before the stated closing time of the event. Set up starts at 3:45 NO earlier (you will not be let in as table numbers place cards need to be put down). Market ends at 8pm and you have until 9:00 to pack up/leave the market.

    Specify if need electricty etc - first come/first served. 

    Facility Rules:

    ALL garabge MUST be removed by the vendors.

    Nothing may be pinned, nailed, stapled, or taped to the walls.

    SMOKING: in designated areas ONLY. 

    PARKING: when unloaded - move cars to the SCHOOL side. 

    BATHROOM: Unisex bathrooms available on site. 

    FOOD AND DRINK: Vending machines for  beverages. We hope to have a food truck. 

    Zero Tolerance Policy

    Prohibited Conduct
    Harassment includes, but is not limited to, the following examples:

    Public airing of complaints or conflicts between vendors or with customers. Verbal or physical abuse against the organizers or other vendors.
    All vendors are expected to uphold this policy and treat others with courtesy and respect. A positive and friendly attitude is important. Excluding a vendor from participating in the market is therefore not a legal matter of eviction if there is harassment of the organizer or undesirable behavior on the vendor’s part.

    Liability:

    a) I understand that the event and the organizers are not responsible for stolen or damaged merchandise while I am a vendor at the event. b) I understand that the event and the organizers are not responsible or liable for any injuries or accidents on site, transporting or removing of products. c) I am responsible for notifying the customer of potential health hazards surrounding my products, i.e. allergies pertaining to ingredients d) I am responsible for obtaining insurance for my work. e) The goods I am selling will be considered low risk, if the products are high risk I must obtain the proper papers and have them readily available if requested by Heath Authorities and by third parties

    I AGREE TO HOLD HARMLESS AND INDEMNIFY: COASTAL WAVE MARKETS, KATHLEEN JEFFREY, MLE TRAINING AND RESERACH SOCIETY, SD 42, ALBION COMMUNITY CENTRE, CITY OF MAPLE RIDGE, FROM ANY AND ALL LIABILITY FOR ANY LOSS, DAMAGE, INJURY OR EXPENSE TO ANY THIRD PARTY, RESULTING FROM THE USE OF THE VENDING AREA. BY SUBMITTING THIS FORM, I ACKNOWLEDGE THAT I HAVE READ AND AGREED TO BE BOUND BY TERMS AND CONDITIONS STATED ABOVE.
