Parent/Guardian Duty of Full, Accurate, and Ongoing Disclosure
TechTots STEM Discovery Daycare & Out of School Care is committed to providing a safe, inclusive, respectful, and developmentally appropriate environment for all children. To support this responsibility, parents and guardians must provide full, accurate, current, and truthful information during waitlist, registration, enrolment, intake, funding, health, safety, behavioural support, transportation, custody, emergency contact, and ongoing care processes.
This duty applies to all information that may reasonably affect:
- the child’s health, safety, supervision, care, inclusion, or participation;
- the safety, health, or well-being of other children, staff, volunteers, families, or visitors;
- the facility’s ability to meet licensing, staffing, funding, emergency, transportation, or program requirements;
- the facility’s ability to develop appropriate care plans, support plans, medical plans, allergy plans, behaviour-support plans, transition plans, or accommodation plans;
- custody, guardianship, access, pick-up authorization, emergency contact, or court-order requirements.
Parents/guardians must disclose material information honestly and must not intentionally withhold, omit, minimize, misrepresent, falsify, or delay sharing information that TechTots reasonably requires to assess enrolment, plan safe care, provide appropriate supervision, meet legal or licensing obligations, or support the child’s needs.
This includes, but is not limited to, information about:
- allergies, medical conditions, medication, emergency plans, seizures, asthma, anaphylaxis, feeding or swallowing concerns, mobility concerns, or other health needs;
- developmental, communication, sensory, emotional, behavioural, or learning needs that may require planning or support;
- Family Support for Children with Disabilities, also known as FSCD, if applicable and relevant to care planning;
- professional reports, support recommendations, safety plans, inclusion plans, school plans, or strategies that are relevant to the child’s care;
- actions that may place the child, other children, staff, or the environment at risk, including running away, leaving a group or room without permission, unsafe climbing, unsafe use of materials, throwing objects, biting, hitting, kicking, scratching, pushing, self-injury, or other actions requiring additional supervision or planning;
- known triggers, trauma-related considerations, calming strategies, transition needs, or safety supports;
- custody restrictions, court orders, guardianship arrangements, parenting orders, protection orders, or pick-up restrictions;
- emergency contact information, authorized pick-up persons, and current parent/guardian contact information;
- funding, subsidy, attendance, registered hours, or documentation required for childcare administration.
Parents/guardians must promptly update TechTots in writing when any information changes or when new information becomes known. This includes changes that occur after the waitlist form is submitted, after registration, during enrolment, or during the child’s attendance at the program.
TechTots will collect, use, store, and disclose personal information only for reasonable childcare, licensing, safety, supervision, administrative, funding, emergency, and legal purposes, and in accordance with applicable privacy requirements.
Inclusive and Non-Discriminatory Application
TechTots STEM Discovery Daycare & Out of School Care is committed to providing an inclusive, respectful, safe, and developmentally appropriate childcare environment. TechTots does not refuse, suspend, withdraw, or terminate care solely because a child has a disability, diagnosis, developmental delay, FSCD involvement, behavioural support need, medical need, trauma history, cultural background, family status, language need, or other protected characteristic.
TechTots recognizes that every child is unique. The purpose of collecting information during waitlist, registration, intake, and ongoing care is to understand each child’s strengths, needs, routines, communication style, health requirements, supervision needs, support strategies, and safety considerations. This information allows TechTots to assess whether the program can safely, reasonably, and appropriately support the child within the childcare setting.
Where a child may require additional support or accommodation, TechTots will consider the child’s needs on an individualized basis and will work with the parent/guardian, and where appropriate with external professionals, schools, FSCD, inclusion consultants, or other support providers, to explore reasonable accommodation options.
Reasonable accommodation may include, where appropriate and available:
- gradual entry or transition planning;
- individualized care, safety, medical, or behaviour-support planning;
- visual supports, communication supports, sensory supports, or environmental adjustments;
- modifications to routines, transitions, or activities;
additional staff training, coaching, consultation, or planning;
- collaboration with parents/guardians and outside professionals;
- reasonable adjustments to supervision, classroom placement, or program participation.
However, enrolment or continued care is not guaranteed where, after an individualized review, TechTots determines that the child’s needs cannot be safely, reasonably, or appropriately supported within the program at that time, including after considering reasonable accommodation options.
In making this determination, TechTots may consider relevant factors such as:
- the child’s health, safety, supervision, developmental, communication, medical, sensory, emotional, or behavioural support needs;
- the safety, well-being, dignity, and rights of the child, other children, staff, volunteers, and families;
- the level of supervision required and whether it can be safely provided in a licensed group childcare environment;
- available staffing levels, staff qualifications, staff training, and staff capacity;
- whether specialized training, specialized equipment, one-to-one support, professional consultation, or external funding is required and whether it is available within a reasonable time;
- the physical layout, infrastructure, exits, washrooms, classroom design, outdoor space, equipment, and safety limitations of the facility;
- licensing requirements, child-to-staff ratios, health and safety obligations, emergency planning, and supervision requirements;
- the needs and safety of the classroom group as a whole, including whether the required support would significantly compromise the care, supervision, learning environment, or safety of other children;
- whether the required accommodation would create undue hardship, including serious health or safety risk, serious disruption to the program, or requirements beyond the facility’s reasonable capacity, resources, training, or infrastructure.
A decision to decline enrolment, delay a start date, require additional planning, modify attendance, temporarily pause care, or terminate care will not be based on assumptions, stereotypes, labels, diagnosis, disability, FSCD status, or protected characteristics. Any decision will be based on the specific information available, the child’s individual needs, the facility’s current capacity, the ability to provide safe and appropriate care, and TechTots’ legal, licensing, health, and safety obligations.
TechTots may require additional information, documentation, meetings, professional recommendations, safety plans, care plans, medical plans, support plans, funding confirmation, or transition planning before confirming enrolment or continued care.
Where TechTots determines that it cannot safely or reasonably support a child at that time, TechTots will communicate the decision respectfully and, where appropriate, may identify what additional supports, documentation, funding, training, staffing, or environmental changes would need to be in place before the application or enrolment could be reconsidered.
Nothing in this policy limits TechTots’ ability to take immediate temporary action where necessary to protect the health, safety, or well-being of a child, other children, staff, or the facility. Immediate action may include requiring pick-up, pausing attendance, restricting participation in specific activities, or contacting emergency services or appropriate authorities where required or reasonably necessary.
Review Process for Inaccurate, Incomplete, or Withheld Information
If TechTots becomes aware that information provided by a parent/guardian may be inaccurate, incomplete, outdated, misleading, or withheld, TechTots may take one or more of the following steps:
- request clarification, updated information, or supporting documentation;
- meet with the parent/guardian to review the concern;
- request consent to speak with relevant professionals, agencies, schools, or support providers where appropriate;
- require a written care plan, support plan, safety plan, medical plan, transition plan, or behaviour-support plan before care begins or continues;
- adjust the child’s schedule, transition plan, room placement, supervision plan, or participation in specific activities where reasonably necessary;
- temporarily pause attendance if immediate safety planning is required;
- determine whether the facility can continue to safely and reasonably provide care.
Whenever reasonable and safe to do so, TechTots will provide the parent/guardian an opportunity to respond before making a final decision.
Consequences for Non-Compliance, Misrepresentation, or Failure to Update Information
Where a parent/guardian intentionally or materially provides false, incomplete, misleading, outdated, or omitted information, or fails to update important information, TechTots may apply consequences based on the seriousness of the situation.
Consequences may include one or more of the following:
- verbal or written reminder of the disclosure obligation;
- written warning;
- requirement to immediately provide corrected or updated information;
- requirement to attend a meeting with the Director or Operator;
- requirement to complete or update intake forms, medical forms, emergency forms, custody forms, support plans, or safety plans;
- requirement to provide relevant documentation before the child may attend or continue attending;
- temporary exclusion from specific activities, transportation, field trips, outdoor walks, or higher-risk programming until safety planning is completed;
- temporary suspension of care where continued attendance may create an immediate or unresolved safety, health, supervision, licensing, or legal concern;
- withdrawal of a waitlist offer, if the inaccurate or omitted information would have materially affected placement, staffing, safety planning, or enrolment approval;
- termination of the childcare agreement where the misrepresentation, omission, or failure to update is serious, repeated, intentional, or creates an unacceptable risk that cannot be safely managed through reasonable planning or accommodation;
- reporting to licensing, emergency services, public health, child intervention, law enforcement, or another appropriate authority where required or reasonably necessary for child safety, legal compliance, or emergency response.
Immediate Safety Action
TechTots may take immediate temporary action, including refusing drop-off, requiring immediate pick-up, pausing attendance, or contacting emergency services or appropriate authorities, if the facility reasonably believes that missing, false, incomplete, or withheld information creates an immediate risk to the child, another child, staff, or the facility.
Immediate action does not automatically mean permanent termination. TechTots will review the situation, request relevant information, and determine whether safe care can continue with appropriate planning, documentation, staffing, accommodation, or other reasonable measures.
Fees, Deposits, and Notice
Where care is suspended or terminated because of a serious or repeated breach of this disclosure obligation, parents/guardians remain responsible for all fees, charges, notice periods, deposits, and outstanding amounts as set out in the Parent Handbook, Registration Agreement, Fee Agreement, and Withdrawal Policy, except where prohibited by law or otherwise agreed in writing by TechTots.
TechTots may waive or adjust notice requirements where continued care would create an immediate safety, health, licensing, legal, or supervision concern.
Parent/Guardian Acknowledgement
By signing at the bottom of this WaitList Agreement, I/We understand that TechTots relies on truthful, complete, and current information to provide safe, inclusive, and appropriate childcare.
I/We agree to provide accurate information and to promptly update TechTots if my/our child’s health, medical, developmental, behavioural, emotional, sensory, custody, emergency, funding, or support information changes.
I/We understand that failure to provide truthful, complete, and current information may result in additional planning requirements, temporary suspension of care, withdrawal of an enrolment offer, termination of childcare services, and/or reporting to appropriate authorities where required or reasonably necessary.
