By submitting a vendor application and participating in the festival, all vendors agree to the following rules and regulations:
Vendor Setup & Breakdown
- Vendors must arrive during the designated setup time and be fully set up before the festival opens.
- Booths must remain open, staffed, and operational during all festival hours.
- Early breakdown or departure is not permitted without approval from festival management.
- Vendors are responsible for removing all merchandise, displays, equipment, and trash from their booth space at the conclusion of the event.
Tents & Booth Safety
- All tents, canopies, and temporary structures must be properly weighted and secured at all times.
- Stakes are permitted only with prior approval from festival management.
- Vendors are responsible for the safety and stability of their booth and equipment.
- Festival management reserves the right to require corrections or remove any booth deemed unsafe.
Approved Merchandise
- Vendors may only sell the items listed and approved on their vendor application.
- Any additions or changes to merchandise must receive prior approval from festival management.
- The sale of unapproved items may result in removal of those items or dismissal from the event without a refund.
Licenses, Permits & Insurance
- Vendors are solely responsible for obtaining any required business licenses, permits, tax registrations, health department permits, or other approvals required by local, state, or federal regulations.
- Vendors are responsible for maintaining any insurance required for their business and assume all responsibility for their products, equipment, employees, and customers.
Vendor Conduct
- Vendors are expected to conduct themselves professionally and respectfully toward guests, staff, volunteers, fellow vendors, and festival personnel.
Harassment, offensive behavior, excessive noise, or disruptive conduct will not be tolerated.
- Festival management reserves the right to remove any vendor whose behavior is deemed inappropriate or who fails to comply with festival rules.
Booth Cleanliness
- Vendors are responsible for keeping their booth area clean, organized, and free of trash throughout the event.
- All trash, boxes, and waste must be properly disposed of before leaving the festival grounds.
Rain or Shine
- The festival is a rain or shine event.
Vendors should come prepared for changing weather conditions.
- The event will only be canceled by festival management due to severe weather or other emergency conditions.
Refund Policy
- All vendor booth fees are non-refundable.
- No refunds will be issued due to weather, low attendance, scheduling conflicts, vendor cancellations, or removal for violation of festival rules.
No-Show Policy
- Vendors who fail to notify festival organizers and do not attend the event (no-shows) may be prohibited from participating in future festivals or events.
- Repeated no-shows may result in a permanent ban from future vendor opportunities.
Liability & Damages
- Festival organizers are not responsible for loss, theft, damage, or injury involving vendor property, merchandise, equipment, employees, or customers.
- Vendors participate at their own risk and assume responsibility for their booth and operations.
- Vendors are responsible for any damage caused by themselves, their employees, agents, or equipment to festival property, facilities, or the property of others.
- Vendors agree to reimburse the festival for any costs associated with repairing or replacing damaged property resulting from their participation.
Compliance
- Vendors must comply with all festival rules, local, state, and federal laws, and instructions provided by festival staff.
- Failure to comply with these rules may result in removal from the event without a refund and may affect eligibility for future events.
