  • Role Responsibilities

  • Regional Director
    The Regional Director holds final accountability for the governance, compliance, and operation of the region.

    As Regional Director, you will:

    • Report to the Executive Director.
    • Lead regional governance and remain accountable for regional operations, including establishing an Islamic, healthy, and collaborative team culture.
    • Appoint, onboard, supervise, and, when necessary, remove regional organizers.
    • Maintain an accurate and current organizer roster.
    • Ensure required contracts, training, and checks are completed before personnel begin service or receive system access.
    • Plan and host the regional tournament within timelines established by the Executive Leadership Team.
    • Attend and/or assign delegates dedicated to attending all mandatory meetings from the Executive Leadership Team, including but not limited to MELT Touchpoints, Tournament Operations tri-weekly check-ins, functional debriefs, townhalls, etc. through the entirety of the term.
    • Ensure compliance with official competition, registration, judging, scorekeeping, safety, and accessibility requirements.
    • Retain final accountability for the integrity of competition operations, including compliance with national standards and the accuracy of all awards, rankings, and official results. 
    • Maintain documented succession and continuity plans to ensure smooth transition during any leadership changes
    • Oversee regional finances and use only approved banking and financial processes.
    • Assume personal financial responsibility for losses, penalties, or unapproved expenditures arising from negligence, willful misconduct, or non‑compliance, including any actions that reasonably create significant financial, legal, or operational risk for the organization.
    • Provide timely reports and requested records to the Executive Leadership Team.
    • Delegate responsibilities to Associate Directors while retaining final accountability.

  • Associate Director
    The Associate Director supports the Regional Director and exercises only the authority assigned to them.

    As Associate Director, you will:

    • Report to the Regional Director.
    • Complete duties delegated by the Regional Director or Executive Leadership Team.
    • Help supervise organizers, compliance, tournament planning, and operations.
    • Promptly report concerns, incidents, and incomplete requirements to the Regional Director.
    • Refrain from independently binding MIST, making final appointments, removing personnel, opening accounts, signing contracts, or committing funds unless expressly authorized.
    • Temporarily exercise Regional Director duties only when designated by the Regional Director or Executive Leadership Team.

  • Financial Stewardship and Organizational Property

  • Directors must safeguard MIST funds, accounts, records, credentials, and property.

    • Approved systems: Use only MIST-approved accounts, banking arrangements, and payment methods.
    • Accurate records: Maintain complete financial records and retain required receipts and supporting documentation.
    • Separation of funds: Never commingle MIST funds with personal funds.
    • No personal reimbursements: Directors may not personally front or self‑fund tournament or regional expenses, nor permit team members to do so. All expenditures must be made through approved MIST accounts and processes; personal reimbursements are not permitted under any circumstances unless approved by the Director of Finance and/or the Executive Director.
    • Authorized commitments: Do not enter unauthorized contracts, borrowing arrangements, reimbursements, purchases, or other financial commitments.
    • Immediate reporting: Promptly report suspected loss, fraud, misuse, overdrafts, or unauthorized access.
    • Budget compliance: Follow approved budgets and spending rules. Any adjustments to regional budgets, including reallocations, increases, or new spending line items, require written approval from the Finance Leadership Team and/or the Executive Director.

  • Training, Personnel Compliance, and Safety

  • Directors are responsible for maintaining a compliant team and responding appropriately to personnel and safety concerns.

    • Personal compliance: Complete all assigned training, agreements, and other requirements by the established deadlines.
    • Accurate rosters: Maintain current and accurate personnel rosters.
    • Access control: Restrict or remove noncompliant personnel from service and MIST systems.
    • Team compliance: Ensure organizers, volunteers, judges, speakers, coaches, and other covered personnel complete all applicable requirements.
    • Emergencies: For emergencies or immediate threats, contact emergency services first when appropriate, then notify designated MIST leadership as soon as safely possible.
    • Immediate escalation: Immediately report suspected abuse, Youth Protection violations, harassment, serious safety concerns, or legal threats to the Director of Human Resources through the designated process.
    • Other incidents: Submit other reportable personnel incidents within 24 hours.
    • Record preservation: Preserve relevant messages, records, and evidence. Sharing permitted with authorized personnel only.
    • Proper handling: Do not retaliate, suppress reports, promise absolute confidentiality, or conduct unauthorized investigations.

  • Confidentiality, Data, and Intellectual Property

  • Directors may receive sensitive information and access to organizational systems that must be protected.

    • Confidential information: Protect student, parent, organizer, judge, volunteer, donor, financial, credential, internal, investigation, and prerelease competition information.
    • Authorized use: Access and use MIST information only for legitimate and authorized MIST purposes.
    • Account security: Use approved systems and never share credentials or permit unauthorized access.
    • Security reporting: Immediately report suspected data breaches, compromised accounts, or lost devices containing MIST information.
    • Return or deletion: Return or securely delete MIST information when directed.
    • MIST work product: Work product, records, accounts, domains, materials, and content created within the scope of the role belong to MIST unless otherwise agreed in writing.
    • Protected reporting: Nothing in this agreement prohibits lawful reporting to government authorities or protected good-faith reporting.
  • Conflict of Interest

  • Directors must disclose circumstances that could affect—or appear to affect—their impartial judgment on behalf of MIST.

    • Continuing disclosure: Disclose actual, potential, or perceived conflicts when appointed and whenever circumstances change.
    • Covered relationships: Disclosures include relevant family, household, employment, vendor, gift, financial, and organizational relationships.
    • Recusal: A conflicted person must not participate in related decisions unless directed otherwise by disinterested MIST leadership.
    • Cooperation: Provide complete information and cooperate with any review or conflict-management plan.

  • Resignation, Suspension, Removal, and Transition

  • Leadership transitions must protect MIST participants, operations, information, funds, and property.

    • Resignation: A director may resign by providing written 4-week notice.
    • Protective suspension: MIST may immediately suspend access or duties when reasonably necessary to protect participants, personnel, funds, data, systems, or an investigation.
    • Removal: MIST, at the discretion of the Executive Director, may remove a director for misconduct, policy violations, inactivity, failure to perform, failure to complete compliance requirements, loss of eligibility, or organizational needs, subject to applicable MIST procedures.
    • Urgent action: Serious misconduct or urgent safety concerns may result in immediate action as determined by the Director of Human Resources and/or Executive Director.
    • Transition duties: Upon departure, the individual must stop representing MIST and promptly transfer all accounts, funds, records, credentials, property, and unfinished work.
    • Continuing obligations: Confidentiality, data protection, intellectual property, record-return, and cooperation duties survive departure.

  • Shared Leadership Standards

  • Regional and Associate Directors are expected to model responsible, respectful, and mission-aligned leadership.

    • Policy compliance: Follow MIST Bylaws, Policies & Procedures, Youth Protection Policy, competition rules, financial policies, and approved amendments.
    • Professional communication: Communicate respectfully, constructively, and within expected response timelines.
    • Inclusion and accessibility: Provide respectful, nondiscriminatory, and accessible programming.
    • Regional residency: Reside within the region for more than 60% of the term.
    • Organizational cooperation: Cooperate with all audits, reviews, investigations, and requests for records.
    • Responsible stewardship: Protect and properly use MIST accounts, equipment, intellectual property, records, and funds.

  • Purpose, Appointment, and Term

  • The signer is appointed to support MIST’s educational and Islamic mission. The 2026–2027 term begins when this agreement is executed or at the conclusion of the 2026 Leadership Summit, whichever is earlier, and ends at the conclusion of the 2027 Leadership Summit unless ended earlier. This is unpaid volunteer service and does not create employment, wages, benefits, partnership, agency, or authority to bind MIST except where expressly authorized in writing. The appointment is not automatically renewed. MIST may adjust summit dates without extending the appointment beyond the appointment of a successor.

  • Entire Agreement and Signature

  • This agreement, incorporated MIST policies, and any written appointment-specific addendum constitute the agreement for the role. Policies may be updated during the term and notice will be provided. If a provision is unenforceable, the remainder continues. Electronic signatures are accepted.
