    Please note that filling out this form does not secure your booking, it enables us to consider your requirements and do our very best to meet your needs. Please ensure to fill in all the fields within the enquiry form where possible. Failure to do this may result in your form being rejected or returned to you.

  • Will you be playing music that you do not have the copyright for?*
  • If yes, please note that for paid ticketed events, a supplementary payment of 4.2% will be taken off your ticket sales or otherwise added to your room hire bill to be paid as set by the PRS licensing authority. For free events, this fee will be dependent on the audience attendee total.

    If you select no, and are using copyrighted music, then as the hirer of this event you will be liable for any fees or fines that are incurred.

    • The Boiler House is a black box space with 360 blackout curtains
    • There is no raised stage or fixed seating
    • There are no dressing rooms inside the Boiler House but you are welcome to hire an additional room for this purpose. There is a small lobby at the back of the room
    • Technical equipment is rigged bottom to top when looking at the tech spec
    • The maximum capacity inside the Boiler House is 70 (this includes cast and crew)
  • Capacities for reference:

    • Full Stage: 480 + access (suitable for dance, drama, concert, lecture etc.)
    • Half Stage: 549 + access (suitable for standup comedy & Q&A)
    • Banquet: *140 (suitable for wedding receptions, conferences etc.)

     *subject to change based on furniture, equipment, dance floor space etc.

  • Doors will open to the public 30 minutes prior to the performance start time. Please factor this into your Get In time.

  • As part of your hire, the Elliott Hall's 4 small dressing rooms are included from Get In to Get Out. They can collectively hold up to 20 people.

  • Please note: 

    • As part of the Boiler House hire, we generally provide a portable bar service 30 minutes pre-show and during the interval at our team’s discretion, unless inappropriate to the event or financially unfeasible. The decision as to whether the bar is opened for your event lies with HAC management 
    • All beverages must be purchased through the Harrow Arts Centre
  • Please note:

    • Wet food can only be taken into the auditorium if you have selected a banqueting layout. If you have selected a theatre layout, you will be required to hire an additional room for food service. No cooking or large electrical equipment is permitted in our rooms.
    • All beverages, including those provided to audience members must be purchased through the Harrow Arts Centre bar.
    • You/your caterers will not be permitted to bring any alcoholic drinks onto site or sell any alcohol yourself. You may buy alcohol from HAC prior to the booking - please speak to your HAC contact in advance about such requests.)
    • Where an event engages members of the public, food must be shop bought and pre-packaged, or sourced by a registered catering company. We require a copy of your caterer’s name, Public Liability Insurance and Food Hygiene Level 2 or 3 at least two weeks prior to your event.  

     

  • Section 6: Ticketing

  • Is your event to be ticketed?*
  • If yes, the HAC Box Office will print and sell tickets on your behalf.

    The Box Office will sell tickets on your behalf, on the HAC website 24/7, and in person/over the telephone (Monday-Friday 10am-5pm, excluding bank holidays). This service is compulsory and comes included in the hire package, unless the event is for invited guests only and does not require any tickets.

     

    The Box Office will also be open on the day of your event from 1 hour prior and 30 minutes into the performance start time for on-the-door sales and ticket collection. A 1.4% ticketing credit card fee will be deducted from your final sale settlement, set by the Spektrix ticketing system and paid to them.

    • Hirers are not permitted to sell any portion of tickets using third party ticketing platforms
    • Hirers are not permitted to purchase tickets and resell them externally
    • Only free events for private invited guests should remain unticketed.
    • If your event is unticketed, you will need to provide us with a guestlist and keep within the set capacity for the space
  • We offer two options for Boiler House Ticketing, due to its intimate capacity:

    1) The hiring company can administer, create, and manage their own ticketing and marketing.

    2) The hiring company can use HAC’s in house ticketing and marketing service at £36 per performance. This includes the printing of your tickets and Box Office sales service (Mon-Fri 10am-5pm) and via our website (24 hours a day, 7 days a week). Your FOH staff member will also check and sell tickets on the door. An additional 1.4% ticketing commission fee will be deducted from your final sales settlement. This is a credit card fee as set by the Spektrix ticketing system. With this option, hirers are not able to take a portion of tickets to sell themselves.

     

    Only free events for private invited guests should remain unticketed.
    If your event is unticketed, you will need to provide us with a guestlist and keep within the set capacity for the space.  

     

  • Would you like the Box Office to sell and market your tickets (£36 per performance)?*

  • Ticket Prices:

    • The below prices are based on Premium being the most expensive, and Economy being the cheapest
    • Please ask HAC for available seating plan presets. These presets offer up to 3 price bands in various fixed areas of the theatre. 
    • If preferred, you can opt to price your tickets at one Standard rate. We often reccomend this, as none or our seats have restricted viewing. 
    • If your ticketing is to remain unallocated, pricing is limited to Standard and Standard Concession rates only
  • Which Concessions (if any) would you like to offer?
  • Please note: Boiler House Hire

    • You may choose whether to offer concessionary ticket prices for your event.
    • In line with HAC's Access Policy, a Disabled ticket type and wheelchair accessible area will always be available. These tickets do not need to be offered at a concession rate
    • However, where an eligible patron requires the assistance of a carer to attend, HAC will provide a complimentary carer ticket in accordance with our Access Policy. HAC partners with Nimbus Disability to verify eligibility for complimentary carer tickets. Further information is available on our website. 
      Access/wheelchair seats are only available to purchase via phone or over the counter transactions
    • All children above the age of 18 months require an allocated ticket to gain entry into the auditorium, even if the ticket is free. Children under 18 months must sit on their parent/guardian’s lap. 
    • All children under 12 must be accompanied by an adult
  • Please note:

  • Please note: 

     

    • As default, HAC Technical staff will provide a 1-hour technical equipment tutorial on the day of the event (£49). 
    • Following this introduction, companies are required to manage their own tech unless a HAC technician has been agreed/paid for in advance. We are happy to discuss the set up that may work best for you  

     

     

  • Please note:

     

    • We will aim to meet these requirements to the best of our ability
    • As part of our Elliott Hall hire package, 1x technician is included to assist with either your lighting or your sound. If you require a second technician, an additional hourly fee will apply. Please view our rate card for more details.
    • If you are bringing your own technical team for both lighting and sound, the HAC technician booked for your event will be available to oversee the safe use of HAC equipment and/or the safe integration of your technical equipment. Your technicians will be expected to run your show
    • For insurance purposes, HAC technicians are only able to operate HAC in-house equipment, however they can assist the safe integration of external equipment 
    • If you are running your own tech, we kindly ask that you bring your own equipment where possible
  • Section 8: Safeguarding & Prevent

  • Below are basic guidelines to follow when on site. A copy of our venue tech spec, prices and hire terms and conditions can be downloaded here. 

     

    • Our building is Grade II listed and as such we do not permit the use of sticky tape, blue tack, glue, nails, screws and pins on the walls or floors
    • We do not permit the use of helium balloons as they are likely to set off our fire alarms. However, many balloon shops will be able to advise you on suitable alternatives such as non-helium, free standing arches. 
    • We do not permit the use of any items that require a naked flame
    • Food preparation must only take place in the kitchen area and we require a copy of your caterer’s Public Liability Insurance and Food & Hygiene Certificates two weeks prior to your event.
    • We ask all hirers to ensure that their caterers cover the warmers with foil before using them. We also ask that they ensure the kitchen is left clean when they have finished.
    • No cutlery or crockery is supplied by HAC and must be provided by your caterer
    • We do not permit the use of any additional gas or large electrical appliances in the kitchen or any of the rooms.
    • Due to licensing regulations under no circumstances must hirers bring or sell alcohol provided by a third party. Alcohol and all other beverages can be purchased from HAC prior to the booking.
    • Hirers who wish to use haze or smoke machines in the venue must obtain written permission from the HAC team prior to the event. Please note that where this request can be fulfilled. Charges may apply.
    • Please ensure that the venue is left clean and all rubbish is placed in black bags and put into the big metal bins located in our car park. Please do not use any products that contain bleach.
    • Our neighbours are very close to us so we request that you respect this and leave the site quietly, particularly late at night

  • Thank you for your interest in booking with Harrow Arts Centre. Once submitted, your form will be discussed and we will be in touch to follow up in due course.

     

    Please note that your booking is not confirmed and should not be advertised until we issue you with a confirmation email, hire statement and have received a £250 part payment deposit. This £250 holds your date and will come off of your final bill.

     

    The remainder of your hire bill will be due the week of your event. Late payments of 30+ days will be charged a late payment fee of 15%. Harrow Arts Centre reserves the right to refuse any booking and to request such information from prospective hirers as is reasonable to enable them to reach a decision on any application.
