HOW IT WORKS
1. Submit Inquiry Form
2. Schedule Your 15-Minute Consultation
We’ll start with a complimentary 15-minute consultation to discuss your destination, travel dates, group size, accommodations, transportation needs, activities, and any additional services your group may require.
3. Submit the $50 Coordination Fee
Following your consultation, a $50 non-refundable coordination fee is required before any travel research or quote preparation begins.
This fee secures your travel request and allows us to begin researching options specifically for your group.
Your $50 coordination fee is credited toward your final group coordination fee.
4.We Research Your Trip
Next Level Planning Solutions will begin researching travel options based on your group’s needs, preferences, and budget.
5. Receive 3 Quote Options
You will receive three (3) quote options for your trip, giving you the opportunity to compare different travel arrangements and select the option that best fits your group.
6. Select Your Preferred Quote
You will have 7 business days from the date your quote options are provided to select your preferred option.
If a quote is not selected within 7 business days, quoted pricing and availability are not guaranteed and may change. Additional research or updated quotes may be required.
7. Final Coordination Fee due
Once your preferred quote has been selected, your remaining coordination fee balance is due before booking proceeds. You will have 7 days.
The initial $50 coordination fee will be applied toward your total coordination fee.

EXAMPLE
For a group of 25 travelers, the total coordination fee is $550.
Initial coordination fee: $50
Remaining balance after quote selection: $500

IMPORTANT INFORMATION
Coordination fees are separate from travel expenses.
Your coordination fee does not include the actual cost of:
Hotels and accommodations
Flights
Ground transportation
Meals and catering
Activities and excursions
Event tickets
Rental vehicles
Other travel-related expenses
Actual trip expenses are separate and are based on the rates and policies of the applicable travel providers.
Quote & Pricing Policy:
Travel prices and availability are subject to change until arrangements are confirmed and required payments are made to the applicable travel provider. Receiving a quote does not guarantee a specific price, room, seat, vehicle, or other travel arrangement.
Changes to Your Trip:
Changes made after research has begun—including changes to travel dates, destination, group size, accommodations, transportation, or requested services—may require additional research and/or fees.
Non-Refundable Fee Policy
The $50 initial coordination fee and all final coordination fees are non-refundable.
The coordination fee covers the professional time and services involved in researching, preparing, coordinating, and managing your group’s travel arrangements.
