These terms & conditions apply to our Creative Minds and Sports Groups. Our aim is to provide a fun, safe and inclusive environment where children can enjoy activities, make friends and develop their confidence.
By registering your child, you agree to the following terms & conditions.
Eligibility
- Sessions are open to children aged 5–12 years (primary school age).
- Places are limited to 20 children per session.
- Advance sign-up is required to secure a place.
Session Information
- Sessions take place from 3:30 pm to 4:30 pm only on the dates stated on the leaflet issued to parents.
- Please arrive on time.
- Children remain the responsibility of their parent/guardian until the session begins and immediately after it ends.
Parent/Guardian Supervision
- A parent or guardian must remain on the Kingswells Community Centre premises for the entire session.
- Parents are welcome to watch the session; however, we encourage them to relax in the coffee shop area where possible.
- Children must not be left unattended before the session starts or after it ends.
Payment
- You must pay for the first session of each activity up front
- Payment for the remainder of the sessions can be made in advance or immediately before the session by cash or card in the coffee shop.
- If your child is unable to attend, the payment can be transferred to the next available session.
- If the organiser cancels a session, parents may choose either a refund or a credit towards a future session.
- If your child has behaviour issues at the group, they may be asked to leave, and a refund will not be given for that session.
- If you have paid in advance and you decide that you and/or your child no longer wish to attend, refunds will not be issued for any unused sessions.
- If you pay per session and your child does not turn up for 2 weeks or more without a valid reason, their space may be offered to another child.
Health and Safety
- Parents/guardians must complete this booking form before their child attends.
- All art materials required for the session will be provided unless otherwise stated.
- Sports Group - Children should wear suitable sports clothing and trainers.
- Art Group - We recommend children wear old clothes or clothing suitable for arts and crafts, as some materials may stain.
- Every child should bring a bottle of water.
- Parents must inform the organiser of any relevant medical conditions or injuries before participation.
- Basic first aid will only be administered where parental consent has been provided.
- In a medical emergency, emergency services may be contacted if necessary.
Behaviour Expectations
- To ensure everyone enjoys the session safely:
- Children are expected to listen to the organiser’s instructions at all times.
- Children should behave respectfully towards staff and other participants.
- Bullying, aggressive behaviour or behaviour that places others at risk will not be tolerated.
- If behaviour becomes unsafe or disruptive, the child will receive an appropriate warning.
- If the behaviour continues, the parent/guardian will be asked to assist in helping the child understand the expectations.
- In exceptional circumstances where safety cannot be maintained, the organiser reserves the right to ask a child to leave the session.
Photography & Videos
- Photographs or videos may occasionally be taken for promotional purposes.
- Images will only be used where written parental consent has been provided.
Illness
- If your child is too unwell to attend school, they must not attend the sports session.
- Children should not attend if they have a fever (temperature of 38°C or above), vomiting, diarrhoea, or any contagious illness.
- Following vomiting or diarrhoea, children must be symptom-free for at least 48 hours before returning to the group.
- If your child develops a fever or becomes unwell during the session, the parent/guardian will be contacted immediately and asked to collect them.
- If you are unsure whether your child is well enough to participate, please keep them at home until they have fully recovered.
Personal Belongings
- Please avoid bringing valuables to sessions.
- The organiser and Kingswells Community Centre & Webster Park cannot accept responsibility for lost, stolen or damaged personal belongings.
Liability
- Every reasonable effort will be made to provide a safe environment for all participants.
- By allowing your child to participate, parents/guardians acknowledge risks and agree that the organiser will not be held responsible for injuries or losses except where caused by negligence.
Respect
- We ask all children, parents, guardians, staff and volunteers to treat one another with kindness and respect.
- Any abusive, threatening or inappropriate behaviour towards staff, volunteers or other families may result in participation being refused.
