Attendance & Punctuality Commitment Letter
Dear VCA Families,

At Victory Christian Academy, we believe that consistent attendance and punctuality are essential to both academic success and spiritual growth. The school day begins promptly at 7:15 AM, and maintaining a strong, focused learning environment depends on every student being present and on time. All students and families are asked to review and commit to the attendance and punctuality policy outlined below.

By signing this letter, you agree to the following:

Attendance & Punctuality Commitment
- Students will arrive at school on time, no later than 7:30 AM, daily.
- Students will not be tardy more than five (5) times per semester.
- Students will not exceed five (5) absences per quarter, whether excused or unexcused. This includes days missed due to suspension.
- Each student is expected to maintain a 98% attendance rate throughout the school year.
Tardy Turnaround Policy

Students who arrive to school after 10:15 AM will not be permitted to attend school for that day. Unless an excuse is provided. This policy exists to help each student maintain their 98% attendance rate and to ensure that students receive a full day of instruction — preparing them for testing and keeping them eligible for attendance-related recognitions and incentives, including Honor Roll.

Acceptable Reasons for Absence

The following are recognized as acceptable reasons for absence. All absences must be reported and, where applicable, approved by the school office in advance:
- Personal illness
- Death in the family
- Religious observance
- Impassable roads or extreme weather conditions
- Required court appearance
- Medical or health-related appointments
- Contagious or communicable illness
- Extended family travel, with prior approval and sufficient advance notice to the office
Absences not reported and approved in advance, or not falling within the categories above, may be recorded as unexcused and applied toward the quarterly absence limit.

Attendance Consequence Steps

Should a student not meet the attendance and punctuality commitment above, the following steps will apply:
- After three (3) unexcused absences in a quarter, the family will receive a warning call from a member of administration.
- After five (5) absences, whether excused or unexcused, the family will receive a letter from administration and enrollment and will be required to attend a meeting with administration, including the Principal and the Dean.
- If attendance concerns continue beyond this point, the family will be asked to sign a Personal Attendance Contract.
- Continued attendance issues after a Personal Attendance Contract is in place may result in the student being dropped from enrollment.

Cell Phone Policy — Bell to Bell, No Cell
Dear VCA Families,

This school year, Victory Christian Academy is implementing a Bell to Bell, No Cell policy for students in grades 5 through 8. This policy is designed to protect instructional time and support a focused, distraction-free learning environment for every student. Please review the policy below with your student.

1. Prohibited Devices

The following devices are not permitted on campus during the school day and must be turned in upon arrival:
- Cell phones
- Smart watches (Apple Watch, Samsung Watch, etc.) and any other electronic device capable of connecting to a cellular network
- Bluetooth headphones and AirPods
2. Device Drop-Off & Return Procedure
- Each grade level (5th–8th) will have an assigned phone locker located in the cafeteria.
- Students must turn in their phone, smart watch, and/or headphones upon arrival at school.
- Phone lockers will be locked at the end of the arrival period.
- Students who arrive late must turn their device in to the office, where it will be placed in their grade-level phone locker.
- Devices will be returned to students at the end of the school day.
3. Parent Acknowledgment

Devices may not be kept in a student's book bag, locker, or on their person during the school day. All devices must be turned in each morning following the procedure above.

4. Violations & Consequences
- 1st Offense: If a device is found in a student's possession during the school day, the student will receive a detention.
- 2nd Offense: The student will be suspended, and a parent meeting will be required before the student may return to school.
- Continued/Habitual Violations: The student will be placed on a behavior contract.

Camp Victory Extended Learning (CVEL)

Parent/Guardian Enrollment & Agreement Form
Dear Parent/Guardian,

Victory Christian Academy is excited to offer Camp Victory Extended Learning (CVEL) for families who need after-school care.

Program Information
- Days: Monday through Friday
- Time: 3:15 PM – 4:15 PM
- Cost: $10.00 per family per day
Students participating in CVEL will enjoy:
- A light afternoon snack
- Designated homework time
- Supervised group activities in a safe, positive environment
Late Pick-Up Policy

To ensure the safety of all students and to respect staff schedules, the following late pick-up fees will be strictly enforced:
- Students must be picked up by 4:15 PM.
- After 4:20 PM: An additional $15.00 per family will be charged.
- After 4:35 PM: An additional $1.00 per minute will be charged until all student(s) have been picked up.

Student Locker Policy
Dear VCA Families,

Lockers are assigned to students as a privilege, not a right. Students who choose to use a school locker are expected to follow the policies, expectations, and procedures outlined below.

1. Locker Care & Cleanliness
- Lockers must be kept clean and organized at all times.
- Food may not be stored in lockers.
- Lockers must be kept free of trash.
- Materials not intended for educational use are not permitted and may result in detention or further disciplinary action.
2. Locker Inspections
- Lockers may be checked or inspected by staff at any time while students are on school property.
- Students should not expect privacy when using a school locker.
3. Locks & Security
- Lockers must remain locked at all times using the lock assigned by the school.
- Removing or loosening the assigned lock will result in a $25 replacement fee.
- If the fee goes unpaid by the end of the school year, it will be billed to the student's parent/guardian and may result in the withholding of important school documents, including records, diplomas, and completion certificates.
4. Student Responsibility
- Students are responsible for the contents of their locker and for securing their belongings.
- Sharing lockers or locker combinations is strictly prohibited, including with family members or significant others.
- Victory Christian Academy is not responsible for items lost or stolen from a locker due to improper use or neglect of the locker.
5. Reporting Issues
- If a locker is damaged or malfunctioning, students must report it immediately to a teacher or office staff.

Parent-Principal Commitment

We fully commit to Victory Christian Academy in the following ways:
1. Make the school a safe and orderly environment by supporting the Academy as it enforces the Academy’s code of conduct, as found in the Parent / Student Handbook. I have received an electronic copy of the Parent/Student Handbook.
2. Ensure that my child arrives at school on time. Early dismissal is discouraged and only for urgent circumstances. We have read the attendance policy in the Parent / Student Handbook and understand the school’s policy regarding lateness, absences and drop-off/pick up.
3. Ensure that my child wears the appropriate school uniform daily, as explained in the Dress Code and Uniform Standards section of the Parent / Student Handbook. Consequences will be enforced for students violating the policy.
4. Communicate regularly with my child’s teachers regarding my child’s academic and behavioral performance and attend the August Orientation, a minimum of two parent conferences, and any specifically requested conferences. Additional conferences with my child’s teacher will occur before or after school hours. It is understood that if I do not make my Parent Teacher Conference appointment (September & April), I must reschedule with the teacher. Over-the-phone conferences are acceptable.
5. Ensure my child completes homework assignments on time and follows all procedures established by the classroom teacher.
6. Parents / legal guardians will be required to take full responsibility for any fees, liabilities or penalties charged by Victory Christian Academy.
7. Permission is granted to have my child’s (ren’s) picture taken at school or school events and for it to appear in school booklets, brochures, videos, newspapers, websites, social media, or television.
8. We will allow our child/ren to go to the designated after-school care in the event we are unable to pick them up by dismissal. I understand that a fee will be assessed and will follow the payment guidelines and procedures.
9. Parents/legal guardians are highly encouraged to serve 20 hours of volunteer time during the academic school year, i.e., Bake Sale, Classroom Helper, Tutoring, etc.
Failure to comply with these guidelines will result in a corresponding consequence and possibly dismissal from Victory Christian Academy.
Student Commitment
I fully commit to Victory Christian Academy in the following ways:
1. I will always work, think, and behave in the most proactive and best way I know how. I will do whatever it takes for my fellow students and me to learn. This also means that I will complete all my homework every night to the best of my ability, and I will raise my hand and ask questions in class if I do not understand something.
2. I will always make myself available to my parents, all teachers and staff, and any concerns they might have. If I make a mistake, this means I will tell the truth to my teachers and accept responsibility for my actions.
3. I will always behave to protect the safety, interests, and rights of all individuals in the classroom. This also means that I will always listen to all my Victory Christian Academy teammates and give everyone my respect.
4. I am responsible for coming to school every day.
5. I will follow the Victory Christian Academy dress code.
6. I will do everything in my power to arrive promptly at Victory Christian Academy.
7. I am responsible for my own behavior, and I will follow the teachers’ directions. Failure to adhere to these commitments will cause me to lose various privileges and could lead to being sent home from school.

Student ID Policy
Dear VCA Families,

Student ID badges are a required part of our daily school routine and help us maintain a safe, accountable campus for every student. All students in grades 5 through 12 are expected to wear their school-issued ID at all times while on campus. Please review the policy below with your student.

1. Purpose of the Student ID
- IDs are used to accurately record attendance.
- IDs may be required to access certain areas, check out materials, or participate in school activities.
- Wearing your ID ensures safety and accountability across campus.
2. ID Badge Expectations
- IDs must be worn and visible at all times during the school day.
- Students must present their ID when requested by any school staff member.
- Failure to have your ID when needed will result in detention.
- Students are not permitted to cover the picture on the ID.
- Nothing other than the ID badge may hang on the school-issued lanyard.
3. Lost or Damaged IDs
- A $25 replacement fee will be charged for lost or damaged ID cards.
- Replacement IDs can be requested through the main office.
- The fee must be paid prior to receiving the replacement Student ID.
- Unpaid fees will be billed at the end of the year and can prevent the release of important school documents.
4. No Sharing of IDs
- Students may not be in possession of anyone else's ID for any reason.
- If you find a lost ID, please turn it in immediately to the main office or a teacher.
- Misuse or possession of another student's ID may result in disciplinary action.
5. Accountability
- IDs are linked to your attendance and meals.
- Students are responsible for keeping their ID in good condition and ready to use.
Failure to comply with this policy may result in disciplinary action. By receiving a student ID, students agree to follow all guidelines listed above.

Student Media Release Form
At Victory Christian Academy, numerous events are held in which we may wish to post, use photographs and/or videos, and/or audio recordings of your child for the purpose of obtaining positive publicity about school activities or student achievement. These reproductions could be used to disseminate or promote the school through its own media productions (district website, social media, print and/or online brochures, reports, promotional videos, etc.) or through commercial media (television, radio, internet, or print).

Please understand that failure to return this release form will constitute approval of the above-mentioned applications and will waive any right of inspection and/or approval of the final product, thereby releasing Victory Christian Academy from any liability arising from distortion by the process. I further agree that these elements may be used for publication, dissemination or reproduction without limitation, reservation, or charge.

Permission Form and Responsibility Agreement

Computer Networks, Internet, and Electronic Mail & Device Usage
As the parent or legal guardian of the minor student(s) attending VCA, I grant permission for my child(ren) to access networked computer services such as electronic mail, data processing, and the Internet. I understand that individuals and families may be held liable for violations of federal or state regulations and applicable laws as well as for anything purchased by my child. I understand that some materials on the Internet may be objectionable; but I accept responsibility for the guidance of Internet use - setting and conveying standards for my child to follow when selecting, sharing, or exploring information and media.

Students are expected to use technology responsibly and respectfully. Any misuse—such as accessing inappropriate content, using another’s password/accounts, violating copyright laws, or harassing others—may result in loss of access and further disciplinary or legal action.

I understand and agree that this device is a loan by Victory Christian Academy and will be used by my child only for the purpose for which the equipment was manufactured and intended. The term of this Lease shall commence for the current school year. If a device is lost, defaced, damaged, or stolen, I understand that I will be held responsible and will need to pay for the device to be replaced/repaired. Victory Christian Academy asserts that all software installed is legally owned and licensed.

Violations will result in a loss of access and may result in other disciplinary or legal action.
