  • Vendor Information

  • Format: (000) 000-0000.
  • Vendor Booth Selection

  • Vendors must select the applicable category and receive organizer approval before selling food, beverages, or any regulated product.
    Early Bird Discount: Receive $50 off vendor fees through August 15, 2026. Food trucks receive $100 off.

    • 10x10 space for crafts, merchandise, services, or non-food sales.
    • 10x10 space - Limited availability; assigned at organizer's discretion.

    • 10x10 space - Sealed or pre-packaged food only; no cooking, heating, sampling, or open food unless approved.

    • 10x20 space- Hot food, beverage, dessert, or sampling vendor with approved health/fire paperwork.

    • 10x20 space- Higher-risk cooking category requiring fire review, extinguishers, and propane/equipment approval.

    • Requires vehicle/trailer space approval, valid health permit, insurance, and fire safety clearance.

  • Note: Food vendors are priced higher because they require additional review, permits, insurance verification, sanitation controls, fire-safety checks, and event-day inspection coordination.

    Cooking, propane, grilling, frying, heating, or generator use Fire Department approval when required; equipment list; propane tank information; 2A:10BC extinguisher at booth; K-Class extinguisher for fryers/oil cooking; outdoor-rated cords only; no overloaded power strips.
    Food trucks / trailers / mobile food facilities Current mobile food facility permit/health permit; vehicle/trailer layout approval; proof of insurance; fire-safety clearance when required; generator and propane details if used.
    Insurance requirement Commercial General Liability insurance naming Fil-Am Association of SCV, Inc., its officers, directors, volunteers, members, representatives, agents, and the venue/City as additional insureds where required. Minimum suggested coverage: $1,000,000 per occurrence / $2,000,000 aggregate. Certificate of Insurance must be submitted before approval.
    Indemnity and compliance Vendor is responsible for obtaining and maintaining all permits, licenses, insurance, approvals, and inspections required for its booth, products, services, employees, helpers, equipment, and operations.
  • Submission Requirements and Payment

  • The completed form, required documentation, and payment must be submitted to Fil-Am Association of SCV, Inc. at filam.scvinc@gmail.com no later than September 26, 2026. Applications are not approved until payment and required documents are received and confirmed by the organizer.

  • 1. Liability Release & Indemnification
    Vendor agrees to indemnify, defend, and hold harmless Fil-Am Association of SCV, Inc., its officers, directors, volunteers, members, representatives, and agents from any and all claims, damages, losses, injuries, liabilities, or expenses, including attorney fees, arising from or related to vendor products, services, food, equipment, merchandise, actions, employees, helpers, subcontractors, participants, accidents, injuries, or damages occurring in or around the vendor booth. Fil-Am Association of SCV, Inc. assumes no responsibility for vendor property, equipment, products, food, or merchandise.
  • 2. Compliance With Laws, Safety, and Venue Rules
    Vendor agrees to comply with all local, county, state, and federal laws; Newhall Community Center and/or venue requirements; City and County requirements; fire, electrical, health, and safety regulations; and all written or verbal organizer instructions. No smoking or vaping is permitted.
  • 3. Booth Assignment & Event Rules
  • Booth locations are assigned solely at the discretion of Fil-Am Association of SCV, Inc. Vendors must follow all setup, parking, loading, unloading, and cleanup instructions. Tables, tents, canopies, signs, displays, cords, and products must stay within the assigned area and may not block walkways, exits, fire lanes, ADA routes, or neighboring booths.
  • 4. Set-Up and Breakdown

  • Vendor setup time and arrival instructions will be provided before the event. Vendors must complete setup before the event begins and may not dismantle or remove the booth before closing time without organizer approval. Vendor is responsible for removing all trash, grease, food waste, boxes, and equipment and restoring the booth area to its original condition.
  • 5. Restrictions & Prohibited Activities

  • Vendor may not sell or distribute illegal, unsafe, counterfeit, unapproved, or inappropriate items; sell or sample food unless explicitly approved in writing; engage in political campaigning or distribute political materials; use amplified sound without permission; or conduct any activity that disrupts the event or creates safety concerns. The Association may remove any vendor for misconduct, noncompliance, missing documentation, unsafe conditions, or rule violations without refund.
  • 6. Cancellation & Refund Policy

  • All vendor fees are non-refundable. No refunds will be issued for vendor cancellation, no-shows, incomplete documentation, permit denial, weather, emergencies, venue restrictions, event changes, or removal due to rule violations. The event will proceed rain or shine unless canceled by the organizer or authorities.
  • 7. Photo & Media Release

  • Vendor authorizes Fil-Am Association of SCV, Inc. to use photos, videos, promotional images, or recordings of the booth, products, staff, signage, and activities for event coverage, marketing, and social media without compensation.
  • 8. Vendor Code of Conduct

  • Vendors agree to maintain a professional and respectful attitude toward volunteers, attendees, staff, and other vendors; avoid harassment, discrimination, disruptive behavior, or unsafe conduct; and follow all verbal or written instructions from organizers. Failure to comply may result in immediate removal from the event.

  • By signing below, Vendor acknowledges that they have read, understood, and agree to all terms and conditions of this Vendor Agreement and that all information and documentation submitted is true, current, and complete.
