Vendor and Participant Disclaimer
By participating in or attending the Central Texas BBQ Roundup (CTBR) and Healing Heart Rescue Roundup, each vendor, exhibitor, participant, and volunteer (“Participant”) agrees to the following terms:
1. Assumption of Risk
Participant understands and acknowledges that involvement in animal adoption, exhibition, or handling activities may involve inherent risks, including but not limited to bites, scratches, allergic reactions, and other injuries. Participant voluntarily assumes all risks associated with participation.
2. Indemnification and Hold Harmless
Participant agrees to defend, indemnify, and hold harmless the Central Texas BBQ Roundup, Healing Heart Rescue Roundup, their officers, directors, volunteers, sponsors, and affiliates from and against any and all claims, damages, losses, liabilities, costs, or expenses, including attorney fees, arising out of or resulting from any act, omission, or negligence of the Participant, its agents, employees, animals, or volunteers.
3. No Aggressive Animals
Aggressive or dangerous animals are strictly prohibited. Any animal displaying aggression or posing a threat to the safety of others must be removed immediately upon request of event staff.
4. Vaccination Requirement
All animals brought onto the premises must have up-to-date vaccinations as required by Texas law. Copies of vaccination records must be maintained by the Participant and made available upon request.
5. Personal Injury and Property Damage
Participant agrees that CTBR and Healing Heart Rescue Roundup are not responsible for any injury, loss, or damage to persons, animals, vehicles, equipment, or other property that may occur before, during, or after the event.
6. Booth Setup, Cleanup, and Animal Waste
Participant is responsible for setting up and dismantling their booth space and maintaining the cleanliness of their area throughout the event. All trash, supplies, and animal waste must be properly cleaned up and disposed of before leaving the event grounds.
7. Participant Contact Information
Participants are responsible for providing a working email address and phone number with their registration and for monitoring those contact methods for event communications.
CTBR and Healing Heart Rescue Roundup will use the contact information provided during registration for event instructions, updates, and other important communications. Event organizers are not responsible for locating, researching, or obtaining alternate contact information when the information provided is incorrect, incomplete, or not monitored by the Participant.
8. Move-In and Setup
Animal Rescue participants may drive to their indoor booth location through the North Entry Gate during designated move-in periods.
Participant move-in and setup times are:
Friday, March 19: 9:00 a.m. to 9:00 p.m.
Saturday, March 20: 7:00 a.m. to 10:00 a.m.
Event Opens: 11:00 a.m. Saturday
All booths must be fully set up and ready for the public before the event opens.
9. Vehicle Removal and Parking
DO NOT PARK INSIDE THE EVENT VENUE.
Vehicles may enter the designated venue area during approved move-in periods for unloading and setup only. All Participant vehicles must be removed from the event venue no later than 10:30 a.m. Saturday.
Any vehicle remaining inside the event venue after 10:30 a.m. may be relocated to the East Parking Lot and secured with wheel chocks at the vehicle owner's expense. Participant accepts responsibility for all costs associated with the relocation or securing of a vehicle that is not removed by the required deadline.
10. Community Partnership and Conduct Commitment
The Healing Heart Rescue Roundup Adoption Event is founded on the belief that every rescue, shelter, animal advocate, vendor, volunteer, and supporter plays an important role in improving the lives of animals and strengthening our community.
Our mission is to foster a welcoming, family-oriented, and supportive environment where organizations work together toward a common goal: promoting animal welfare, responsible pet ownership, adoption, rescue, education, and community engagement.
By participating in this event, all rescues, shelters, animal-related vendors, advocates, volunteers, and representatives agree to conduct themselves in a professional, respectful, and collaborative manner. Participants are expected to support and encourage fellow organizations, treat attendees with courtesy and respect, and contribute positively to the overall success of the event.
Healing Heart Rescue Roundup does not tolerate conduct that is disruptive, hostile, discriminatory, harassing, intentionally divisive, or detrimental to the mission and spirit of cooperation the event seeks to promote. Participants who engage in behavior inconsistent with these expectations may be asked to correct the issue or, if necessary, may be removed from the event at the sole discretion of event management.
Together, we are stronger. By supporting one another and working as a unified community, we create greater opportunities for animals, rescues, shelters, advocates, and the families we serve.
Acceptance of Terms
By signing below, submitting registration, or entering the event grounds, Participant acknowledges that they have read, understand, and agree to comply with the above terms and conditions.
