PLEASE READ REQUIREMENTS CAREFULLY PRIOR TO SUBMISSION:

Insurance Requirements:

All vendors must provide a valid Certificate of Insurance naming Gettysburg Bike Week, Inc., PO Box 3333, Gettysburg, PA 17325 as an Additional Insured. A minimum general liability coverage limit of $300,000 is required.

Credit Card Requirement:

A valid credit card must be kept on file for all vendors.

A minimum cleaning fee of $100 will be charged if your vendor space is not left clean and free of all trash and debris at the end of the event. This includes, but is not limited to, zip ties, packaging materials, and other discarded items.

 

Vendor Wristband Policy:

In 2026, we distributed over 700 free vendor wristbands, valued at a total of $45,000. We will be less flexible with our vendor wristband policy in 2027. The number of complimentary vendor wristbands included with your vendor fee is based on the size of your purchased vendor space.

Example: A 10' × 10' vendor space includes 2 complimentary vendor wristbands.

Additional vendor wristbands may be purchased at the full retail price.  No exceptions.

Instances we encountered in 2026 in which we will not be providing additional or replacement wristbands in 2027:

The vendor wristbands for your booth went home with someone who is no longer at the rally so you don’t have access to them.

You lost your vendor wristbands.

You placed your vendor wristband on something other than your wrist (a backpack, jacket, etc.) and are now being asked to wear one on your wrist.

You did not put your vendor wristband on your wrist, exited the venue, and are attempting to return with no wristband on. 

Exclusivity:

Gettysburg Bike Week Sponsors have the right to exclusivity at our event. If your tent or display contains representation, logos, photos, or advertising for a company other than your own, please make sure to have your tent/display approved by a GBW staff member prior to setting up. For example, tents, bags, or displays containing Law/Attorney-related promotions are strictly prohibited (including but not limited to Law Tigers, Russ Brown, Rider Justice, etc.).  It is at the discretion of Gettysburg Bike Week staff as to whether or not your display will need to be altered to comply with our exclusivity policy for our valued sponsors. If we find that your setup violates this policy, we may ask you to cover up or replace your tents/displays to comply with this policy.

IMPORTANT MESSAGE:

Two 110 Electrical Outlets are included with vendor space. Only use Additional 110 Electric if you need more than two outlets. Quantity selected is the quantity you want in addition to the two included outlets, not the total number of outlets needed. 

BY SIGNATURE BELOW, I ACKNOWLEDGE THE FOLLOWING (READ BEFORE SIGNING, THIS INCLUDES A RELEASE)

 

1.     Venue is located at The Barn Resort, 75 Cunningham Road, Gettysburg, PA 17325

2.  NO STAKING OF TENTS - TENTS MUST BE SECURED AT ALL TIMES WITH WATER BARRELS, SAND BAGS, ETC.

3.     Opening hours for event:  Thursday, Friday and Saturday 10 am - ? Sunday 8 am until 12 noon.

4.     Vendors must be ready for business on Thursday, 7/9/27 by 9:30 am. Vehicles must be removed from the vendor village by this time.

5.     Vendors may not close or leave prior 12 noon on Sunday, except overnight.  Doing so will forfeit your privilege of setting up at future events.

6.     Vendors may not close prior to 8 pm Thursday, Friday and Saturday evenings. 

7.     Vendors accept full responsibility for their site and agree to hold Gettysburg Bike Week, Inc., its owners and hired staff non-liable. 

8.     NO use of the Gettysburg Bike Week trademarked wording or logo is permitted.

No vendor products may contain the Gettysburg Bike Week Logo, “GBW” or “Gettysburg Bike Week,” “Gettysburg Bike Rally”, “Gettysburg Motorcycle Rally” or anything specific to this event.  Enforcement of this regulation will be at the discretion of Gettysburg Bike Week Staff and failure to comply will result in removal of the vendor from the premises with forfeiture of all fees paid.  **GETTYSBURG BIKE WEEK AND ITS LOGO ARE TRADEMARKED AND ILLEGAL TO REPRODUCE IN ANY FORMAT**

9.     Vendors may only sell items listed on their application and may not share space with other vendors. Vendors ARE permitted to sell water, soda and Gatorade this year - however ALL beverages must be products of Pepsi ONLY!.  

10.  Vendors may not sublet their vendor space.

11.  Vendors may only use the space they have purchased.  They cannot park vehicles in the vendor village unless space is purchased to do so.

12.  Vendors will not be able to drive into the vendor PARKING area after 9:30 am each day due to safety regulations.  After 9:30 am, you will be expected to park in the general car parking area and walk in.  Please do not ask for exceptions nor harass the parking staff!

13.  Vendor wristbands must be WORN ON THE WRIST at all times.

14.  Vendor trash & cardboard recycling dumpsters are available for your use.  They are located in the area between the paved vendor area & the grass vendor area, directly behind the food vendors.  Any vendor spot left with trash (including zip ties!) & recycling when you leave will be assessed a $100 surcharge.  

 

RELEASE:

 

The undersigned (on my own behalf and on behalf of my heirs, personal representatives, successors and assigns), for and in consideration of the opportunity to participate as a vendor in the “Gettysburg Bike Week event” (hereinafter referred to as EVENT(S)) which is sponsored and conducted by Gettysburg Bike Week, Inc. and their officers, employees, agents (hereinafter referred to as “RELEASED PARTIES”) releases and holds harmless the “RELEASED PARTIES” from any and all claims and demands, rights and causes of action of any kind whatsoever which I now have or later may have against the “RELEASED PARTIES” in any way resulting from, arising out of or in connection with the performance of their duties and my participation in any said EVENT(S).

 

This release extends to any and all claims I have or later may have against the “RELEASED PARTIES” resulting from or arising out of their performance of their duties whether or not such claims result from negligence (except willful neglect) on the part of any or all of the “RELEASED PARTIES” with respect to the EVENTS(S) are conducted or from any other cause. I UNDERSTAND THAT THIS MEANS THAT I AGREE NOT TO SUE ANY OF ALL OF THE “RELEASED PARTIES” FOR ANY INJURY RESULTING TO MYSELF OR MY PROPERTY ARISING FROM, OR IN CONNECTION WITH THE PERFORMANCE OF THEIR DUTIES IN SPONSORING, PLANNING, OR CONDUCTING THE EVENTS.

 

I am experienced and familiar with the operation of a vendor at a motorcycle rally and I fully understand the risks, dangers and responsibilities that are inherent to being a vendor at such an event. I hereby hold harmless, release and indemnify the “RELEASED PARTIES” from any liability which shall be asserted against me. If the “RELEASED PARTIES” become involved in a suit in a court of law, I hereby agree to be responsible for the defense of the “RELEASED PARTIES” on account of any actions alleged against myself. I assume the entire risk of any accident or personal injury, including death, which I may be responsible for as a vendor at this EVENT.

 

By signing this, I certify that I have read this Release and fully understand it and that I am not relying on any statements or representations made by the “RELEASED PARTIES”.

We cannot control weather, we cannot control people buying or not buying.  We have poured our heart and soul into planning this event.  Our goal is for you to have a pleasant, profitable time with us.  We will do everything in our power to make sure that happens. 

Gettysburg Bike Week staff WILL NOT tolerate any kind of derogatory, demeaning, or rude behavior toward any of our Staff.  Doing so will result in a security escort off the property. 

PLEASE NOTE THAT ANY BUSINESS REQUIRED BY LAW TO HAVE A GAMES OF CHANCE LICENSE WILL BE REQUIRED TO PROVIDE PROOF OF SUCH PRIOR TO SET UP! 

A CERTIFICATE OF INSURANCE IS REQUIRED FROM EVERY VENDOR, LISTING GETTYSBURG BIKE WEEK, INC AS AN ADDITIONAL INSURED AND HAVING A MINIMUM OF 300,000 LIABILITY INSURANCE.
