1. Acceptance & Placement: Food Vendor participation is by application and approval. LPVBF reserves the right to accept or decline an application and to determine vendor placement. Submission of an application does not guarantee acceptance or a particular location. 2. Approved Menu: Food Vendors may prepare, display, and sell only the food and beverage items approved as part of their application. Changes or additions to the approved menu require advance approval from LPVBF. 3. Permits, Licenses & Insurance: Food Vendors are responsible for maintaining all permits, licenses, vehicle registrations, insurance, and other documentation required by LA County, Exposition Park, LPVBF, the fire authority, and all other applicable agencies. All required documentation must remain current throughout the duration of the event. Commercial General Liability insurance is required for all participants, with Leimert Park Village Book Fair, Inc. named as an additional insured. The Certificate of Liability Insurance must be submitted before the participant may enter the venue, set up, or participate in the Book Fair. Insurance requirements will be provided with complete instructions. 4. Health & Fire Safety: Food Vendors must comply with all applicable food-handling, sanitation, health, fire-safety, propane, cooking-equipment, and fire-extinguisher requirements. LPVBF may prohibit any equipment or activity that does not satisfy event or venue safety requirements. 5. Setup, Event Hours & Breakdown: Accepted Food Vendors must arrive during their assigned load-in period, complete setup before the Book Fair opens, and remain operational throughout the designated event hours. Early breakdown or departure is not permitted without prior authorization. 6. Utilities, Equipment & Waste: Unless specifically approved in writing, LPVBF does not provide electricity, water connections, tables, chairs, canopies, storage, or additional vending space. Food Vendors are responsible for their equipment and for properly containing and disposing of trash, wastewater, grease, and cooking materials. Nothing may be poured or discarded on the grounds or into storm drains. 7. Sales, Taxes & Property: Food Vendors are responsible for conducting their own sales, collecting and reporting applicable taxes, and complying with all applicable laws. Food Vendors retain the proceeds from their sales and are responsible for their vehicles, equipment, products, supplies, and personal belongings. LPVBF is not responsible for loss, theft, or damage. 8. Photography & Publicity: Food Vendors grant LPVBF and its authorized representatives permission to photograph, film, record, or otherwise capture the vendor, its representatives, vehicle, products, display, and participation during the Book Fair. LPVBF may use these images and recordings for legitimate promotional, publicity, archival, and event-related purposes. 9. Cancellation & Refund Policy: The Book Fair takes place rain or shine. Once an application has been accepted and payment has been processed, all fees are final and nonrefundable. No refunds will be issued if a Food Vendor cancels, fails to attend, arrives late, or leaves the event early. 10. Event & Venue Requirements: Food Vendors agree to comply with all LPVBF and Exposition Park rules, safety requirements, operational procedures, and event policies. Failure to comply may result in removal from the event without a refund.
