LPVBF 2027 Author Application

The Book Fair is an outdoor, rain-or-shine event

Applicants must be at least 18 years old or have an authorized adult representative

Submitting this application does not require payment and does not guarantee acceptance. If your application is approved, you will receive an acceptance notice with your participation fee ($300), payment instructions, and a deadline to confirm participation. Approved participants may pay by Zelle (online), money order by mail, or cashier's check by mail. The Zelle recipient and mailing address will be included in your acceptance notice. Application Deadline: February 12, 2027.

Additional equipment or electrical service is not included. Special requests must be approved in advance and may require an additional fee.

Author Participation Fee: $300

1. Acceptance & Placement: Author participation is by application and approval. LPVBF reserves the right to accept or decline an application and to determine author placement. Submission of an application does not guarantee acceptance or a particular location. 2. Approved Books & Merchandise: Authors may display, promote, and sell only the books, literary works, and related merchandise approved as part of their application. Any additional or substantially different items require advance approval from LPVBF. Unapproved or unrelated commercial merchandise may not be displayed or sold. 3. Displays: Authors are responsible for safely arranging and securing their books, signage, merchandise, and display materials within their assigned space. Displays may not obstruct walkways, neighboring participants, emergency access, or extend beyond the assigned footprint. Oversized displays, structures, or unusual installation requirements must receive advance approval. 4. Setup, Event Hours & Breakdown: Accepted authors must be completely set up before the Book Fair opens and maintain their assigned space throughout the designated event hours. Early breakdown or departure is not permitted without prior authorization. 5. Sales, Permits & Taxes: Authors are responsible for conducting their own sales, collecting and reporting applicable sales taxes, maintaining any required seller's permit or business documentation, and complying with applicable laws. Unless otherwise stated in writing, authors retain the proceeds from their individual sales. 6. Property, Liability & Insurance: Commercial General Liability insurance is required for all participants, with Leimert Park Village Book Fair, Inc. named as an additional insured. The Certificate of Liability Insurance must be submitted before the participant may enter the venue, set up, or participate in the Book Fair. Insurance requirements will be provided with complete instructions. 7. Photography & Publicity: Authors grant LPVBF and its authorized representatives permission to photograph, film, record, or otherwise capture the author, their books, merchandise, display, and participation during the Book Fair. LPVBF may use these images and recordings for legitimate promotional, publicity, archival, and event-related purposes. 8. Cancellation & Refund Policy: The Book Fair takes place rain or shine. Once an application has been accepted and payment has been processed, all fees are final and nonrefundable. No refunds will be issued if an author cancels, fails to attend, arrives late, or leaves the event early. 9. Event & Venue Requirements: Authors agree to comply with all LPVBF and Exposition Park rules, safety requirements, operational procedures, and event policies. Failure to comply may result in removal from the event without a refund.

Author agrees to indemnify, defend, and hold harmless the Leimert Park Village Book Fair, Inc., venue host Exposition Park, its event sponsors, representatives, employees, agents, and other entities as required by the event venue from claims, liabilities, damages, costs, or expenses arising from the Author's participation in the event, subject to the final requirements established for the 2027 Book Fair.
