NORTH FORK FARM CHRISTMAS MARKETVendor Agreement & TermsEvent Date: November 15, 2026Market Hours: 10:00 AM–2:00 PMVendor Setup: 8:30 AM–9:45 AMLocation: North Fork Farm Events, 43010 SE 79th St, Snoqualmie, WashingtonBy submitting an application, accepting a vendor space, paying a vendor fee, and/or participating in the North Fork Farm Christmas Market (“Event”), the vendor (“Vendor”) acknowledges that they have read, understand, and agree to the following terms and conditions.1. APPLICATION & VENDOR SELECTIONSubmission of a Vendor application does not guarantee acceptance into the Event.To provide customers with a diverse selection of products and avoid overrepresentation of any one product type, North Fork Farm will determine the number of available Vendor spaces within each product category.Vendor selection will be conducted randomly within each category from eligible applications received by the application deadline. Applying earlier does not increase an applicant’s chances of being selected.North Fork Farm may establish or modify product categories based on the applications received and may limit the number of Vendors offering the same or substantially similar products.If a category receives more eligible applications than available spaces, Vendors will be randomly selected from that category. Vendors who are not initially selected may be placed on a waitlist and contacted if additional space becomes available.North Fork Farm reserves the right to determine whether an application is eligible for the Event before it is entered into the random selection process. Applications that are incomplete, contain products or services that are not appropriate for the Event, do not meet Event requirements, or are received after the application deadline may be excluded from selection.Submission of an application, participation in the random selection process, or placement on a waitlist does not guarantee a Vendor space.A Vendor’s space is not officially confirmed until the Vendor has received an acceptance notice and all required Vendor fees have been paid by the stated deadline.2. VENDOR FEES & PAYMENTSVendor booth fees for the North Fork Farm Christmas Market are:Indoor Vendor Space: $100Outdoor Vendor Space: $35Vendor fees must be paid by the deadline provided in the Vendor’s acceptance notice.A Vendor’s space is not confirmed until the Vendor has been officially accepted and the applicable Vendor fee has been paid in full.Once payment has been made, Vendor fees are non-refundable and non-transferable, including if the Vendor later cancels, is unable to attend, or chooses not to participate.Vendor spaces may not be sold, transferred, shared, or assigned to another business or individual without prior written approval from North Fork Farm.Failure to submit payment by the required deadline may result in forfeiture of the Vendor’s space. North Fork Farm may then offer the space to another applicant or a Vendor on the waitlist.Payment of a Vendor fee applies only to the booth space assigned to the approved Vendor and does not guarantee any specific booth location, customer traffic, attendance, or sales.3. EVENT CANCELLATION OR CHANGESNorth Fork Farm reserves the right to modify Event hours, booth locations, setup procedures, Event layout, or other Event details when reasonably necessary.If circumstances beyond North Fork Farm’s reasonable control—including severe weather, natural disasters, power outages, government restrictions, emergencies, unsafe conditions, or other events outside North Fork Farm’s control—make it unsafe or impractical to hold the Event, North Fork Farm may postpone, modify, relocate, or cancel the Event.Except where otherwise expressly stated by North Fork Farm, Vendor acknowledges that North Fork Farm is not responsible for Vendor’s lost sales, travel expenses, inventory costs, staffing costs, lodging expenses, or other costs associated with participation in the Event.4. SETUP & CHECK-INVendor setup and check-in will take place from 8:30 AM–9:45 AM on the day of the Event.All Vendors must arrive, unload, move their vehicles to the designated Vendor parking area, and have their booth completely set up and ready for customers no later than 9:45 AM.All Vendor vehicles must be removed from the loading and market areas by 9:45 AM.Vendors arriving after 9:45 AM may not be permitted to drive into the market area to unload and may, at North Fork Farm’s discretion, forfeit their assigned booth space without refund.The Christmas Market opens to the public at 10:00 AM. The period between 9:45 AM and 10:00 AM is reserved for final Event preparations and safety checks.Vendors are encouraged to arrive early enough within the setup window to allow adequate time for unloading, parking, and completing their booth.5. MARKET HOURS & NO EARLY BREAKDOWNThe North Fork Farm Christmas Market will be open to the public from 10:00 AM–2:00 PM.Vendors are required to remain fully set up and actively operating their booth for the entire duration of the Event.Early breakdown is not permitted. Vendors may not pack merchandise, dismantle displays, remove tables or equipment, bring vehicles into the market area, or otherwise begin breaking down their booth before 2:00 PM.This policy is required for guest safety, traffic flow, and to maintain a complete and professional market experience for customers and other Vendors.Breakdown may begin at 2:00 PM, or when North Fork Farm staff announces that it is safe to begin.Any Vendor who breaks down early without authorization may be asked not to participate in future North Fork Farm markets and will not be entitled to a refund of any Vendor fees.In the event of a genuine emergency requiring a Vendor to leave early, the Vendor must notify North Fork Farm staff before dismantling or leaving their booth.6. BOOTH ASSIGNMENTSNorth Fork Farm determines all booth locations.Specific locations, neighboring Vendors, indoor/outdoor placement, entrances, traffic levels, or proximity to other attractions are not guaranteed.North Fork Farm reserves the right to move or reassign a Vendor before or during the Event when necessary for safety, operations, accessibility, traffic flow, or overall Event needs.Vendor booth assignments may not be traded or changed without prior approval from North Fork Farm.7. BOOTH EQUIPMENT & DISPLAYUnless otherwise specifically stated, Vendors are responsible for providing their own tables, chairs, displays, signage, extension cords, lighting, tents/canopies, weights, and other equipment required for their booth.All displays must remain within the Vendor’s assigned space and may not obstruct walkways, emergency exits, neighboring booths, doors, or customer traffic.North Fork Farm may require any unsafe or inappropriate display, decoration, sign, equipment, or merchandise to be removed.Vendors are responsible for ensuring their booth remains clean, safe, professional, and attended throughout the Event.8. OUTDOOR TENTS & CANOPIESAny Vendor using a tent or canopy must properly secure and weight the structure.Stakes may not be driven into the property unless specifically approved by North Fork Farm.Vendors are responsible for monitoring weather conditions and ensuring their tents, displays, signs, merchandise, and other equipment remain safe and secure.North Fork Farm may require a tent, canopy, display, or other equipment to be taken down if staff determines that weather or other conditions make it unsafe.9. ELECTRICITYElectrical access is available only when specifically approved by North Fork Farm.Vendors requesting electricity must disclose all equipment they intend to operate and the electrical requirements of that equipment.Vendors may not use unapproved heaters, cooking equipment, high-amperage appliances, generators, extension systems, or other electrical equipment.North Fork Farm does not guarantee uninterrupted electrical service and is not responsible for losses resulting from electrical interruptions or Vendor equipment failure.10. PRODUCTS & SERVICESVendors may only sell products or services disclosed in their application and approved by North Fork Farm.Because Vendors are selected by product category, Vendors may not substantially change or add product categories after being selected without prior written approval from North Fork Farm.This includes selling products on behalf of another business or allowing another unapproved business to sell from the Vendor’s booth.North Fork Farm reserves the right to require removal of any product that was not disclosed, is inappropriate for the Event, violates applicable law, creates a safety concern, infringes another party’s rights, or conflicts with Event policies.The sale of illegal, counterfeit, stolen, dangerous, recalled, or otherwise prohibited merchandise is strictly prohibited.11. FOOD & BEVERAGE VENDORSVendors selling, sampling, preparing, or serving food or beverages are solely responsible for determining and obtaining all licenses, permits, food worker cards, temporary food permits, health department approvals, and other authorizations required by applicable law.All food must be prepared, stored, transported, displayed, and served in accordance with applicable health and safety requirements.North Fork Farm’s acceptance of a food Vendor does not constitute confirmation that the Vendor has satisfied governmental permitting requirements.North Fork Farm may request copies of applicable permits or licenses before or during the Event.Failure to obtain required permits may result in the Vendor being prohibited from selling or serving food at the Event without refund of Vendor fees.12. BUSINESS LICENSES, PERMITS & TAXESEach Vendor is solely responsible for obtaining and maintaining any business licenses, permits, registrations, approvals, or certifications required to operate and sell its products.Vendors are solely responsible for collecting, reporting, and paying all applicable sales taxes and other taxes associated with their sales.North Fork Farm does not collect, report, or remit sales taxes on behalf of individual Vendors unless specifically required by law.13. INSURANCEVendors are responsible for maintaining any insurance required by law or reasonably appropriate for their business and activities.North Fork Farm reserves the right to require proof of general liability insurance and/or additional insurance from individual Vendors based on the nature of their products, equipment, or activities.Food Vendors, Vendors conducting demonstrations, and Vendors whose activities present additional risk may be required to provide a certificate of insurance before participating.Failure to provide required proof of insurance may result in loss of the Vendor’s space without refund.14. ASSUMPTION OF RISKVendor understands that participation in an indoor or outdoor public Event involves inherent risks, including but not limited to slips, falls, weather conditions, interactions with members of the public, property damage, theft, equipment failure, and other foreseeable or unforeseeable circumstances.To the fullest extent permitted by law, Vendor voluntarily assumes the risks associated with Vendor’s participation in the Event and with Vendor’s own equipment, merchandise, employees, contractors, helpers, and activities.15. LIABILITY & INDEMNIFICATIONTo the fullest extent permitted by applicable law, Vendor agrees to defend, indemnify, and hold harmless North Fork Farm Events, the property owner, and their respective owners, members, employees, agents, representatives, and contractors from and against third-party claims, damages, losses, liabilities, costs, and reasonable attorneys’ fees arising out of or relating to Vendor’s negligence, willful misconduct, products, services, booth operations, employees, contractors, representatives, or violation of this Agreement.Nothing in this Agreement requires Vendor to indemnify any party for that party’s own negligence or willful misconduct to the extent such indemnification is prohibited by applicable law.16. PERSONAL PROPERTY, LOSS & THEFTVendors are solely responsible for their merchandise, cash, payment devices, displays, equipment, vehicles, and personal belongings.North Fork Farm does not provide security for individual Vendor property and is not responsible for theft, loss, disappearance, or damage to Vendor property except to the extent caused by North Fork Farm’s negligence or as otherwise required by law.Vendors should not leave cash, merchandise, electronics, or other valuable items unattended.17. DAMAGE TO PROPERTYVendor is responsible for damage to the venue, grounds, buildings, fixtures, furnishings, landscaping, electrical systems, or other property caused by Vendor or Vendor’s employees, contractors, helpers, equipment, or booth operations, excluding ordinary wear and tear.Vendor agrees to reimburse North Fork Farm for reasonable repair, replacement, or extraordinary cleaning costs resulting from such damage.18. CLEANUPEach Vendor must leave their assigned space in substantially the same condition in which it was received.All merchandise, boxes, decorations, signage, zip ties, tape, food waste, packaging, trash, and other Vendor materials must be removed at the conclusion of the Event.Vendors may be charged for extraordinary cleaning, disposal, or damage caused by their booth operations.19. VENDOR CONDUCTVendors and their representatives must conduct themselves professionally and respectfully toward guests, other Vendors, North Fork Farm staff, and the property.Harassment, threatening behavior, excessive profanity, intoxication, aggressive sales tactics, unsafe conduct, or disruptive behavior will not be tolerated.North Fork Farm reserves the right to require a Vendor or Vendor representative to leave the Event for unsafe, unlawful, disruptive, or materially inappropriate conduct.A Vendor removed for violation of Event rules will not be entitled to a refund.20. CHILDREN & ANIMALSVendors are responsible for the supervision and safety of any children accompanying them.Vendor pets or animals are not permitted unless specifically authorized by North Fork Farm or permitted as a service animal under applicable law.21. SMOKING, ALCOHOL & CONTROLLED SUBSTANCESVendors must comply with all North Fork Farm policies and applicable laws regarding smoking, vaping, alcohol, cannabis, and controlled substances.Vendors may not sell, distribute, or consume alcohol or controlled substances as part of their booth operations unless specifically authorized in writing and legally permitted.22. PHOTOGRAPHY & MARKETINGVendor understands that photographs and video may be taken during the Event.Vendor grants North Fork Farm permission to photograph or record Vendor’s booth, displays, products, and business signage during the Event and to use those images or recordings for North Fork Farm’s Event-related advertising, website, social media, promotional materials, and future market promotion without additional compensation.This permission does not transfer ownership of Vendor’s trademarks, copyrighted designs, or other intellectual property to North Fork Farm.23. SALES & CUSTOMER TRANSACTIONSAll transactions are between the Vendor and the customer.Vendor is solely responsible for its pricing, payment processing, refunds, returns, warranties, product claims, and customer disputes.North Fork Farm is not a party to transactions between Vendors and customers.24. NO GUARANTEE OF SALES OR ATTENDANCENorth Fork Farm may advertise and promote the Christmas Market; however, no particular attendance, customer traffic, sales volume, revenue, or profitability is guaranteed.Vendor acknowledges that Vendor fees are for participation in the Event and are not dependent upon Vendor’s sales performance.No refund or credit will be issued because of Vendor sales, attendance levels, weather, customer traffic, or Vendor dissatisfaction with booth location.25. COMPLIANCE WITH LAWSVendors must comply with all applicable federal, Washington State, county, and local laws, regulations, permits, and health and safety requirements applicable to their activities.Vendor is solely responsible for determining which laws and requirements apply to Vendor’s business, products, employees, and activities.26. RIGHT TO REFUSE OR REMOVE VENDORNorth Fork Farm reserves the right to deny participation or require a Vendor to discontinue an activity or leave the Event if the Vendor materially violates this Agreement, applicable law, or reasonable Event safety instructions.This includes, but is not limited to, unauthorized products, unsafe displays, inappropriate conduct, failure to follow setup or breakdown requirements, or failure to comply with instructions from North Fork Farm staff.Removal for a Vendor’s violation of this Agreement does not entitle the Vendor to a refund.27. RELATIONSHIP OF PARTIESVendor participates as an independent business and is not an employee, partner, agent, joint venturer, or representative of North Fork Farm.Nothing in this Agreement creates an employment, partnership, franchise, or agency relationship between the parties.Vendor is responsible for its own employees, contractors, assistants, and representatives.28. EVENT-DAY INSTRUCTIONS & SAFETYVendor agrees to follow reasonable Event-day instructions provided by North Fork Farm staff regarding safety, parking, loading and unloading, booth placement, emergency procedures, customer access, traffic flow, and venue operations.In an emergency or unsafe situation, instructions from North Fork Farm staff must be followed promptly.29. GOVERNING LAW & SEVERABILITYThis Agreement will be governed by the laws of the State of Washington, without regard to conflict-of-law principles.If any provision of this Agreement is determined to be invalid or unenforceable, that provision will be interpreted or limited to the extent necessary, and the remaining provisions will remain in full force and effect.30. ENTIRE AGREEMENTThis Agreement, together with the Vendor’s application, acceptance notice, invoice, and any written Event-specific requirements provided by North Fork Farm, constitutes the agreement between the parties concerning Vendor’s participation in the Event.Any exception or modification must be approved in writing by North Fork Farm.VENDOR ACKNOWLEDGMENT & AGREEMENTBy signing electronically or checking the agreement box below, I acknowledge and agree that:I have read and understand the entire North Fork Farm Christmas Market Vendor Agreement & Terms.The information provided in my Vendor application is accurate to the best of my knowledge.I understand that submitting an application does not guarantee acceptance.I understand that Vendor selection is random within each product category from eligible applications and that applying earlier does not increase my chances of selection.I understand that North Fork Farm determines the number of available spaces within each category in order to maintain a diverse Vendor mix.I understand that my booth is not confirmed until I have been selected, notified of acceptance, and all required Vendor fees have been paid.I understand that the Vendor fee is $100 for an indoor space and $35 for an outdoor space.I understand that Vendor fees are non-refundable and non-transferable once my space has been confirmed.I understand that Vendor setup is from 8:30 AM–9:45 AM and my booth must be completely set up and ready by 9:45 AM.I understand that the Christmas Market is open from 10:00 AM–2:00 PM and early breakdown is not permitted.I agree to remain completely set up and operating until 2:00 PM unless a genuine emergency occurs and North Fork Farm staff has been notified.I understand that I am responsible for obtaining all licenses, permits, insurance, approvals, and certifications applicable to my business.I am responsible for my booth, merchandise, equipment, employees, assistants, and business operations.I agree to comply with this Agreement and all reasonable Event-day safety and operational instructions from North Fork Farm.Required AgreementI have read, understand, and agree to the North Fork Farm Christmas Market Vendor Agreement & Terms in its entirety.
