The AI Vibeathon Builder Experience is a one-day, beginner-friendly event where high school students will work in teams to explore AI tools, develop an idea, build an AI-powered project, and share what they created during a public Community Showcase.

Students will participate in hands-on activities throughout the day and interact with other students, mentors, volunteers, community professionals, and event partners.

No prior coding or AI experience is required.

By signing this form, I consent to the student's participation in the AI Vibeathon Builder Experience and its associated activities, either as the participating student (if age 18 or older) or as the student's parent/legal guardian (if the student is under 18).

I understand that participation may include:

• Team-based brainstorming and project development
• Use of computers and internet access
• Use of AI tools and other third-party technology platforms
• Interaction with mentors, volunteers, professionals, and other students in open, group-based event settings
• Meals, snacks, and beverages
• Movement throughout the event venue
• Presenting or demonstrating a student project
• Participation in the public Community Showcase

I understand that students are expected to follow event and venue rules, use technology appropriately, treat others respectfully, and follow reasonable instructions from event staff and volunteers.

Students may use third-party websites, software, and AI-powered platforms during the event.

I understand that these platforms may have their own terms of service, privacy policies, account requirements, and age requirements. Students should not enter sensitive personal, confidential, financial, medical, or other private information into AI tools or student projects.

Where a platform requires parent/guardian authorization based on the student's age, any required authorization must be provided before the student uses that platform.

Students will work individually and/or collaboratively to create projects during the Vibeathon and may demonstrate or discuss their work during the public Community Showcase.

Students should not include private, confidential, copyrighted, or sensitive personal information belonging to themselves or others in their projects.

The AI Vibeathon Builder Experience and its organizers do not claim ownership of student projects or student-created work. Projects created using third-party AI tools, software, or platforms may be subject to the respective platform's terms of service, including any terms related to ownership, licensing, or use of content.

By participating in the Community Showcase, the student gives event organizers permission to display and demonstrate the project as part of the event.

Unless explicitly communicated otherwise in writing, students and/or their participating school or organization are responsible for transportation to and from the event.

Students attending with a school or organized group may also be subject to that organization's transportation, supervision, arrival, and departure procedures.

Students may not leave the event outside of their established school/group departure process or approved individual pickup/departure arrangement.

Students are expected to:

• Treat students, volunteers, mentors, staff, and guests respectfully
• Follow event and venue safety instructions
• Use technology and AI tools appropriately
• Remain within designated event areas
• Respect the property of the venue and other participants
• Avoid behavior that could create an unsafe or substantially disruptive environment

If a student's behavior creates a safety concern or substantially disrupts the event, event organizers may remove the student from an activity and contact the student's parent/guardian, school, or designated adult to determine appropriate next steps.

Photography and video recording will take place during the event. Approved photos and recordings may be used for event documentation, recaps, social media, websites, promotional materials, reports, and communications related to the AI Vibeathon Builder Experience and its impact.

Declining photo/video permission does not prevent the student from participating in the Vibeathon.

I understand that participation in the AI Vibeathon Builder Experience involves activities that may carry ordinary and reasonably foreseeable risks, including but not limited to participation in group activities; use of computers, electronic equipment, internet-based services, and third-party technology platforms; movement throughout the event venue; consumption of food and beverages; and interaction with other participants, mentors, volunteers, and guests.

I acknowledge these risks and voluntarily choose to participate in, or permit my student to participate in, the event.

To the fullest extent permitted by Oklahoma law, I release and hold harmless Breakroom Buddha Services LLC, its event organizers, officers, representatives, employees, volunteers, and agents from claims belonging to me arising from ordinary negligence in connection with participation in the AI Vibeathon Builder Experience.

For a participant under age 18, this provision is intended only to release claims that a parent or legal guardian may lawfully release and is not intended to waive or release any right or claim of the minor participant that cannot legally be waived by a parent or guardian under Oklahoma law.

Nothing in this agreement is intended to release liability that cannot lawfully be released, including liability arising from gross negligence, willful or wanton misconduct, or intentional misconduct to the extent prohibited by applicable law.

I understand that participants may choose to bring laptops, phones, chargers, and other personal property to the event. Participants are responsible for keeping track of their belongings.

To the fullest extent permitted by law, I agree that the released parties are not responsible for loss, theft, or damage to personal property arising from ordinary negligence in connection with participation in the event.

I understand that participants may use third-party websites, software, artificial intelligence tools, internet services, or other technology platforms during the event. Third-party platforms anticipated for use during the event include Base44, Canva, and Gamma. These services are operated by third parties and may be subject to their own terms of use, privacy policies, age requirements, and service availability.

To the fullest extent permitted by law, I understand that the event organizer does not control and is not responsible for the independent acts, omissions, availability, content, privacy practices, or performance of third-party technology providers.

If any provision of this agreement is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.

Food, snacks, and beverages may be provided during the event.

If the student becomes ill or is injured during the event, event organizers will make reasonable efforts to contact the parent/guardian or emergency contact listed on this form.

If the parent/guardian or emergency contact cannot be reached and immediate assistance is reasonably believed to be necessary, I authorize event personnel to contact emergency medical services on the student's behalf.

I understand that the parent/guardian remains responsible for any medical expenses incurred on behalf of the student.

I acknowledge that I have had an opportunity to review this agreement and ask questions before signing it. I understand that this document contains provisions affecting legal rights.

By signing below, I confirm that:

• I am the parent or legal guardian of the student identified above.
• I have reviewed the information contained in this form.
• I give permission for the student to participate in the AI Vibeathon Builder Experience.
• I have provided accurate emergency contact and relevant accommodation information to the best of my knowledge.
• I understand the expectations and acknowledgments described in this form.
