  • EXHIBITOR TERMS & CONDITIONS

  • Please read the following Terms & Conditions carefully and sign the declaration at the end of this form to confirm that you have read, understood and agree to them.

    1. Applications & Selection Applications close on 15 September 2026. All applicants will be notified whether they have been successful within five working days after the closing date of 15 September 2026. Submission does not guarantee a place. The organisers reserve the right to select exhibitors based on suitability, available space and maintaining a varied range of handmade crafts.

    2. Handmade Craft-Only Policy This is a handmade craft-only fair. Items must be handmade, designed, produced or substantially created by the exhibitor or their business. Bought-in products, wholesale goods, mass-produced goods intended for resale and general resale items are not permitted. The organisers may refuse or remove products that do not meet these criteria.

    3. No Food or Drink No food, confectionery, beverages or other edible products may be sold at this event.

    4. Fee & Confirmation The exhibitor fee is £25 per stall and includes one table. Payment instructions will be provided to successful applicants. A stall is not fully confirmed until confirmation has been issued and any required payment has been received.

    5. Cancellation & Refunds An exhibitor may cancel their confirmed booking. To receive a refund of the exhibitor fee, the organisers must receive at least 14 days' notice before the event date. Cancellations made with fewer than 14 days' notice will not receive a refund. If the organisers cancel the event and it cannot proceed, exhibitors will be advised regarding refunds.

    6. Reserve List Unsuccessful applicants may ask to be placed on the reserve list. If a confirmed exhibitor cancels, the organisers may offer the available space to a reserve-list applicant. This offer may be made at short notice. Reserve-list applicants are not required to accept an offered space and no place is guaranteed by joining the reserve list.

    7. Event Times The event takes place on Saturday 21 November 2026 and is open from 10:00am to 4:00pm. Exhibitor access for set-up begins at 9:00am. Stalls must be ready before opening and exhibitors are expected to remain set up until 4:00pm.

    8. Tables & Displays One table is included. Exhibitors must provide their own clean, floor-length table covering. Displays and equipment must remain within the allocated area and must not obstruct walkways, fire exits or neighbouring stalls. Nothing may be fixed to the venue without permission.

    9. Approved Products Exhibitors must accurately describe the products they intend to sell. Products displayed should correspond with the successful application and comply with relevant UK product safety, labelling and trading requirements.

    10. Insurance, Property & Liability Exhibitors are responsible for their stock, products, displays, equipment, cash and personal belongings. All property is brought into and left within the hall at the exhibitor's own risk. The organisers and venue accept no responsibility for loss, theft or damage except where liability cannot lawfully be excluded. Exhibitors are liable for damage caused by themselves, their helpers, displays or equipment and are responsible for arranging any insurance appropriate to their activities.

    11. Health, Safety & Electrical Equipment Exhibitors must keep stalls safe and routes unobstructed. Electrical access must be requested in advance, cannot be guaranteed, and equipment must be safe and in good working order. The organisers may refuse unsafe equipment.

    12. Fire Safety Fire exits, emergency routes and fire-fighting equipment must remain unobstructed. No naked flames, hazardous materials or significant fire risks may be introduced without prior permission.

    13. Stall Security & Conduct Exhibitors are responsible for supervising their stall, money and property. Exhibitors must behave professionally and respectfully. The organisers reserve the right to require an exhibitor to leave for serious unsafe, inappropriate or disruptive behaviour.

    14. Photography & Promotion The completed application form and 3-4 promotional product photographs must be submitted together by email. By supplying photographs, exhibitors give permission for those images, their business name and supplied promotional description to be used to promote the Christmas Craft Fair. Where a website or social media account has been provided, the organisers may also tag, mention or direct customers to the exhibitor's business as part of event promotion.

    15. Changes The organisers reserve the right to make reasonable changes to event arrangements where necessary and will communicate significant changes as soon as reasonably possible.
