    About Day Job
Day Job is a boutique creative studio with around 30 team members, recently named one of the most innovative companies in the world by Fast Company. We work across brand identity, advertising, digital experiences, web, and ongoing retainer-based creative production.

We’re a creative-first, fast-moving team that cares deeply about the work we make and how we work together. Our team is made up of designers, art directors, strategists, developers, producers, and creative leaders who collaborate across a wide range of projects.

We’re looking for a Project Coordinator to help keep that work moving. This is a great opportunity for someone early in their career who is highly organized, curious about creative work, and excited to learn how projects move through a creative studio.

    The Role
As a Project Coordinator, you’ll support our Creative Producers and project teams with the day-to-day organization and coordination of projects. You’ll help keep timelines, meetings, files, and project information organized so our creative team can stay focused on making great work.

You’ll work closely with Creative Producers, Resource Management, Operations, and our freelance Day Players to make sure everyone has what they need and projects stay on track.

This is a hands-on role where you’ll learn the ins and outs of creative project management while becoming an important part of how Day Job operates.

    What You'll Do

    Project Coordination

Help set up new projects once they kick off, including Google Drive folders, Slack channels, Figma files, project docs, and other project resources.
Keep project information, timelines, meeting notes, and deliverables organized and up to date.
Track project deadlines and follow up with team members when something is coming due or needs attention.
Help Creative Producers prepare for client meetings, presentations, and internal reviews.
Take notes during meetings and make sure action items and next steps are documented.
Help keep presentation files, links, and follow-up materials organized after meetings.

    Scheduling & Team Coordination

Help coordinate internal meetings, client calls, reviews, and project check-ins.
Keep calendars and invites accurate as projects move through different phases.
Work with the Resource Manager to help coordinate schedules for full-time team members and freelance Day Players.
Help make sure the right people are included in meetings without unnecessarily pulling the broader team in.

    Project Tracking

Maintain project timelines and phase information in Float.
Help keep project assignments and scheduling information accurate.
Track where projects are within their workflow—from kickoff and discovery through concepting, production, revisions, and delivery.
Flag potential scheduling issues, missing information, or upcoming deadlines to the Creative Producer.

    Studio Support

Help maintain organized project documentation and shared resources.
Support the onboarding of freelance Day Players by helping coordinate access to email, Slack, Figma, and project tools.
Help collect project feedback and evaluations on freelance and full-time talent.
Pitch in wherever needed to help the Day Job team stay organized and projects run smoothly.

    Who You Are

1–2 years of experience in project coordination, creative operations, production, or a similar role. We’re also open to recent graduates with relevant internship or studio experience.
You’re extremely organized and genuinely enjoy keeping things in order.
You have an interest in creative work, design, branding, advertising, or digital experiences.
You’re comfortable working across multiple projects and keeping track of lots of small details.
You’re proactive—you notice when something is missing and are comfortable asking questions or following up.
You communicate clearly and aren’t afraid to send the Slack message, update the doc, or remind someone about a deadline.
You’re comfortable working with different personalities and disciplines, from designers and developers to producers and leadership.
You’re curious and excited to learn. You don’t need to know everything coming in, but you should be willing to figure things out.
You’re comfortable with Google Workspace, Slack, and Figma. Experience with Float is a plus.

    Nice to Have

Internship or previous experience at a creative agency, design studio, production company, or similar environment.
    Familiarity with creative project workflows.
Experience using Float or another resource/project management platform.
Basic understanding of Figma and creative deliverables.
Experience coordinating freelancers or external partners.

    Compensation & Benefits

    Salary: $65K–$75K, based on experience.
After a successful 3-month contractor trial, full-time employment includes:

    Health insurance (100% employer-paid)
Unlimited PTO (scheduled with your supervisor)
