  • Cohorts, Calendar, and Late Enrollment

  • Enrollment is cohort based and subject to available space. Specific cohort start dates, Board Prep dates, graduation dates, closures, and required completion dates are published in a DPOS-reviewed calendar or catalog addendum. The student's actual dates must be entered in the signed Enrollment Agreement. Late enrollment after a cohort begins is not permitted unless specifically approved and documented without reducing required instruction or hours.

  • The Academy may announce additional closures. Planned closures will be communicated in writing when practicable. Inclement-weather decisions generally follow Jefferson County Public Schools. Academy-initiated closures do not count as student absences; required instruction or hours will be rescheduled or completed through an approved delivery method.
  • THE BEAUTY COLLECTIVE ACADEMY ENROLLMENT AGREEMENT

  • Postponement of Start Date

  • Postponement of a starting date, whether at the request of the school or the student, requires a written agreement signed by the student and the school. The agreement must set forth: (a) whether the postponement is for the convenience of the school or the student, and (b) the deadline for the new start date, beyond which the start date will not be postponed. If the course is not commenced, or the student fails to attend by the new start date set forth in the agreement, the student will be entitled to an appropriate refund of prepaid tuition and fees within 30 days of the deadline in accordance with the school's refund policy and all applicable laws and Rules concerning the Private Occupational Education Act of 1981.
  • Distance Education

  • Testing, reading, workbook work, chapters, quizzes, and examinations may be completed through the Academy's approved online platform. Students receive an access code and must maintain reliable access to an internet-connected computer or tablet. Online work does not replace required in-person laboratory hours or internship hours. Identity, completion, time, and instructor-interaction requirements must be satisfied before credit is posted.
  • Admissions, Enrollment, and Previous Credit

  • Nondiscrimination

  • The Academy admits qualified applicants without unlawful discrimination based on sex, sexual orientation, disability, religion, age, color, gender identity, financial status, political beliefs, marital status, race, national origin, or ethnic origin. Reasonable accommodations are evaluated through an interactive written process. Accommodations do not waive essential safety, licensure, curriculum, clock-hour, or academic requirements.
  • Admission Requirements

    • Be at least 17 years old before attendance begins.
    • Complete an interview with the School Director.
    • Provide government-issued identification and any other documentation required by the approved admission policy.
    • Be able to read, write, and speak English; all instruction and testing are in English.
    • Maintain regular access to an internet-connected computer or tablet.
    • Pay the disclosed $1,400 books and materials deposit according to the signed agreement: $600 for books and $800 for materials, supplies, equipment, and kit. Online instructional access is included at no additional charge.
    • Maintain natural nails while enrolled so required skills can be taught and evaluated.
    • Demonstrate a reasonable likelihood of completing the training and working in the occupational field.
  • The Academy does not recruit or knowingly enroll a student who is currently attending or admitted to another school offering substantially similar occupational training unless the student has formally withdrawn or an authorized transfer arrangement exists.
  • Credit for Previous Education, Training, or Experience

  • A student requesting prior credit must submit an official transcript, hour certification, course description, and other verifiable documentation before signing the Enrollment Agreement. A referral letter by itself does not guarantee credit. The Academy will compare the completed instruction with the current approved curriculum and issue a written determination identifying accepted hours, remaining hours, any price adjustment, and the new required completion date. Prior credit is discretionary, is not guaranteed, and does not alter the Refund Policy.
  • Enrollment and Acceptance

  • An applicant is not enrolled until the Enrollment Agreement is complete, dated, and signed by the student and an authorized Academy agent before instruction begins. The Academy will provide the student a completed copy of the Agreement and the current DPOS-reviewed Catalog and effective addenda. No blank material term may be filled later without the student's written agreement.
  • Definitions and Rules of Interpretation

  • Definitions and Rules of Interpretation
    Defined term Controlling meaning
Absence / missed class Failure to attend a required scheduled in-person or synchronous class, or attendance for less than one-half of that scheduled class. One calendar class date is one absence occurrence unless the published schedule identifies separate required sessions.
Tardy Arrival more than 15 minutes after the scheduled start, or departure more than 15 minutes before formal dismissal without written instructor approval, when the student attended at least one-half of the class.
Scheduled class A required live, in-person, laboratory, practical, clinic, Board Prep, or synchronous session shown on the student's official cohort calendar or a written revised schedule.
Clock hour Verified time actually attended or completed through an approved method. Paying a fee does not create a clock hour.
Official communication Email sent to Enrollment@TheBeautyCollectiveAcademy.com or another address formally designated in writing. A same-day text may alert an instructor but does not replace required email or forms.
Written approval A dated email, form, agreement, or notice issued by the Director or authorized agent. Silence, a conversation, or instructor awareness is not approval.
Business day Monday through Friday, excluding Academy holidays and announced closures.
Official Completion Date The date the Academy documents completion of all required hours, curriculum, practical work, internship, and academic requirements. A ceremony date alone is not the Official Completion Date.
Available space A seat the Academy determines can be offered without exceeding approved capacity, displacing an enrolled student, reducing instruction, or disrupting the sequence of the future cohort.
Future cohort A later Nail Technician cohort offering the specific instruction or hours the student still needs. It is not necessarily the immediately following cohort.
  • IMPORTANT

  • IMPORTANT: If two provisions appear inconsistent, applicable law controls first. The more specific provision controls the general provision. The Academy will not use an oral exception to change a written attendance, fee, refund, leave, completion, or payment term.
  • Tuition, Deposit, Payment, Interest, and Collections

  • Deferred Tuition Payment

  • The Academy permits students to receive education before paying all tuition. The required $1,400 books and materials deposit consist of $600 for books and $800 for materials, supplies, equipment, and kit. Online instructional access is included at no additional charge. The deposit is due according to the signed payment schedule and is non-refundable and non-transferable after the applicable three-business-day cancellation period, except when a refund is required by law. No portion of the deposit is a registration fee. Unless a different DPOS-reviewed written schedule is executed before instruction begins, all remaining earned tuition and other lawful charges are due on the Official Completion Date. The Academy will maintain a payment ledger showing charges, payments, credits, refunds, interest, and balance.
  • Post-Completion Interest

  • Subject to prior DPOS review and all applicable Colorado and federal consumer-credit and truth-in-lending laws, an unpaid principal balance begins accruing simple interest on the day after the Official Completion Date. The intended rate is 10% per month for calendar days 1 through 90 and 15% per month for calendar days 91 through 180. Interest does not compound and is not charged on interest, collection fees, attorney fees, court costs, or other fees.

The rate will never exceed the maximum lawful approved rate. If a stated rate is unlawful or has not received required approval, it automatically reduces to the highest lawful approved rate; if no interest may lawfully be charged, no interest accrues. Payments are credited when received and applied first to lawful accrued interest and then principal unless law requires another order.
  • Collections

  • At the end of 180 calendar days after the Official Completion Date, an unpaid balance may be referred to a third-party collection agency. A balance resulting from withdrawal, dismissal, or termination is due within 30 days after the written account calculation and may be referred thereafter as permitted by the signed agreement and law. The student is responsible for collection agency fees, attorney fees, court costs, and other recovery costs only when expressly authorized by law and actually incurred. The Academy may pursue lawful collection, small-claims, or other legal remedies. A credential released under a statutory exception does not forgive or reduce the debt.
  • THE BEAUTY COLLECTIVE ACADEMY ENROLLMENT AGREEMENT
  • IMPORTANT

  • IMPORTANT: No post-completion interest or financing term will be charged or enforced before confirmation of required DPOS review and delivery of any consumer-credit disclosures required by law.
  • All Fees, Fines, and Additional Charges

  • All Fees, Fines, and Additional Charges
Charge Amount Exact trigger Does not do
Cancellation charge $150 or 25% of contract price, whichever is less Cancellation after the three-business-day period but before instruction, and other circumstances allowed by the Refund Policy. Does not override a full-refund right.

Attendance fee - third absence $100 additional Third counted missed class. Does not excuse absence or award hours.
Attendance fee - fourth absence $100 additional Fourth counted missed class; administrative withdrawal also occurs. Does not permit continued enrollment.
Tardy fee - second tardy $50 Second counted tardy; first formal attendance write-up. No separate write- up fee for same conduct.

Tardy fee - fourth tardy $50 additional Fourth counted tardy; third attendance write-up and dismissal review. Does not guarantee dismissal; written review occurs.
Written disciplinary write- up $50 Each formal written disciplinary notice for a separate non-tardy policy violation. Not stacked with a tardy fee for same incident.
Late theory completion $150 150 theory hours not completed by end of Week 8, absent written accommodation/approved platform exception. Does not award theory credit.
  • THE BEAUTY COLLECTIVE ACADEMY ENROLLMENT AGREEMENT
Charge Amount Exact trigger Does not do
Late internship start $250 Approved internship not begun by end of Week 12, absent written Academy exception. Does not award internship credit.
Future Board Prep $250 per class Student is ineligible for scheduled Board Prep and reserves a seat in a later class; space required. Optional kit not included.
Optional Board Prep Kit $100 Student elects kit; due at the future Board Prep class. Not required if student supplies approved items.
Late-completion administrative support $500 one time Student misses scheduled class graduation and continued enrollment/support is approved in writing. Does not include additional clock hours.
Hours after completion deadline $20 per clock hour Approved required hours completed after scheduled graduation or seven-month deadline. Does not guarantee a seat or extension.
Re-enrollment after withdrawal/termination Actual disclosed replacement costs only Readmission approved; new online seat or replenished/replacement kit required as stated in the new agreement. No registration fee is charged. Not automatically charged for an approved leave return.
  • All charges are cumulative only when separate triggering conduct or services occur. The same incident will not be charged twice under two labels unless the written notice identifies two distinct violations. Fees are intended to recover disclosed administrative or instructional costs, not to purchase attendance credit or guarantee an exception. Every charge must appear on the student ledger.
  • Attendance and Absence Policy

  • Clock-Hour Standard

  • Attendance is calculated by actual clock hour, not by units, months, weeks, or days. All 600 required hours and all curriculum components must be completed. Regular attendance is essential because the hybrid accelerated curriculum is sequential and compounding. In-person laboratory hours must be completed in person and properly verified. The Academy does not offer a separate make-up class on demand.
  • What Counts as an Absence

  • Except where law, a written accommodation, or an approved Leave of Absence requires different treatment, every missed scheduled class counts regardless of reason. Illness, emergency, work conflict, transportation problem, family obligation, vacation, childcare issues, and appointment are not separate categories and do not erase an absence. A student who attends less than one-half of a scheduled class is counted absent. One class date cannot be counted as both an absence and a tardy.
  • Absence Schedule

  • Absence Schedule
    Occurrence Required consequence
First missed class No attendance fee. Missed hours and work remain outstanding.
Second missed class $100 attendance fee. Missed hours and work remain outstanding.
Third missed class Additional $100 attendance fee. Written attendance warning and completion-plan review.
Fourth missed class Additional $100 attendance fee and administrative withdrawal from the program.
  • A student who reaches four absences owes a cumulative $300 in attendance fees and is administratively withdrawn. Payment of a fee does not restore an hour, cancel an absence, reserve a seat, change the refund calculation, or authorize continued enrollment.
  • Minimum Attendance Requirement

  • A student must maintain at least 85% cumulative attendance of scheduled hours while enrolled and may not reach four absences. All 600 hours must still be completed. The Academy does not use a separate discretionary attendance-probation status; the objective absence, tardy, no-contact, and withdrawal rules control.
  • Two Consecutive Classes Without Contact

  • A student who misses two consecutive scheduled classes without official email contact before the end of the second missed class is administratively withdrawn on the second missed class, even if fewer than four total absences have occurred. Contact does not erase either absence, remove fees, or restore hours. The Academy will document the dates and send written notice of the withdrawal and account calculation.
  • Future-Cohort Completion of Missed Hours

  • Because separate make-up classes are not offered, the Academy may allow an eligible student to complete missed instruction or hours with a future cohort only when the same content is offered, space is available, the student remains in good standing or is formally readmitted, and a written schedule is approved. No student may simply attend another cohort without written authorization. Post-deadline hours are billed at $20 per clock hour.
  • Tardiness, Early Departure, and Missed Work

  • Tardy and Early-Departure Definition

  • A tardy occurs when a student arrives more than 15 minutes after the scheduled start or leaves more than 15 minutes before formal dismissal without written instructor approval, provided the student attended at least one-half of the scheduled class. Credit is given only for verified time actually attended. Multiple late arrivals or early departures on the same class date count as one tardy occurrence.
  • Tardy and Early-Departure Definition
    Occurrence Required consequence
First tardy Documented verbal warning; no fee.
Second tardy $50 tardy fee and first formal attendance write-up.
  • THE BEAUTY COLLECTIVE ACADEMY ENROLLMENT AGREEMENT
    Occurrence Required consequence
Third tardy Additional $50 tardy fee and second formal attendance write-up.
Fourth tardy Additional $50 tardy fee, third formal attendance write-up, and written dismissal review.
  • A tardy-related write-up counts in the tardy progression. The separate $50 disciplinary write-up fee is not added for the same tardy unless a separate policy violation is identified in writing, such as falsifying a time record or disrupting class.
  • Missed Tests, Quizzes, Practical Work, and Submissions

  • A missed test, quiz, practical assignment, or required submission must be completed within seven calendar days after the original due date or by a different written deadline approved by the Director. Without a written accommodation, approved leave, documented platform failure, or written extension, uncompleted work receives a zero and unverified hours receive no credit. An opportunity to complete work is not a promise of a separate class and may be offered only through an approved delivery method.
  • Leave of Absence and Return to a Future Cohort

  • IMPORTANT
IMPORTANT: A Leave of Absence is a written, approved 90-calendar-day interruption. It is not an excused absence, an informal pause, a guaranteed seat, or permission to remain inactive indefinitely.
  • Eligibility and Request

  • A student may request one 90-calendar-day Leave of Absence by submitting the Academy Leave of Absence Form and supporting documentation requested by the Director. The request must identify the reason, requested first day, current contact information, and acknowledgment of the return conditions. It must be submitted before the leave begins unless an emergency makes advance notice impracticable; in an emergency, the student or representative must contact the Academy as soon as reasonably possible and complete the form within five business days unless law requires additional flexibility.
  • Approval or Denial

  • A leave is not automatic. Only the Director may approve it, and approval must be in writing. The approval identifies the first day, the 90th calendar day, the student's status, effect on attendance and charges, outstanding work, financial balance, anticipated future-cohort placement process, and revised completion-date method. If the request is denied, unapproved missed classes are counted under the Attendance Policy.
  • Status During the 90 Days

    • The student does not attend, log hours, submit work for credit, begin or continue internship, or use a cohort seat unless the written leave agreement expressly authorizes a limited administrative action.
    • Scheduled classes occurring during the approved leave are not counted as absences and do not create attendance fees.
    • Existing charges and earned tuition remain on the account; the leave does not erase a balance, fee, warning, write-up, or completed-hour record.
    • The student must keep email, phone, and mailing information current and monitor Academy communications.
    • The student remains responsible for safeguarding and replenishing issued equipment, supplies, books, and online access.
  • Return Through a Future Cohort

  • The student does not automatically return to the original cohort. Return occurs only by joining a future cohort at the point the Academy determines is educationally appropriate, and only if there is available space. The Academy is not required to displace another student, exceed approved capacity, repeat a class outside its normal sequence, create an individual class, or guarantee the immediately following cohort.

    1. No later than calendar day 60 of the leave, the student must email the Academy confirming the intent to return and requesting placement.
    2. The Academy reviews verified completed hours, grades, attendance, conduct, unpaid charges, curriculum sequence, and future cohort capacity.
    3. If a suitable seat is available, the Academy issues a written Return Offer stating cohort, return date, remaining hours and curriculum, revised completion date, schedule, and any lawful disclosed replacement or continuation costs.
    4. The student must accept the Return Offer in writing within five business days and sign the required amendment or new enrollment agreement before attending.
    5. The student must report on the stated date with required materials and access. Failure to accept, sign, or report is treated as failure to return.
  • No Space, Delayed Cohort, or Failure to Return

  • If no appropriate seat is available, the Academy will document that fact and may offer the next suitable future cohort if permitted by the leave agreement, the approved program schedule, and Colorado law. A student may not remain inactive indefinitely. If the student cannot be returned, rejects the available placement, does not respond, or does not report, the Academy will terminate enrollment no later than the deadline required by 8 CCR 1504-1, including the requirement that an inactive student be terminated within 30 days of the next available start date. The official termination date is the earlier of the date the Academy determines the student is not returning or the day after the expected return date, and the Refund Policy is then applied.

  • Hours, Price, and Materials Upon Return

  • Verified previously completed hours are evaluated in writing and are not automatically forfeited. The student must complete the remaining approved curriculum and hours. No registration or re-enrollment registration fee is charged for return from an approved leave; however, the student is responsible for actual disclosed costs of replacing expired online access, consumed or missing supplies, damaged equipment, or a required replacement kit when stated in the signed Return Offer. Hours completed after the revised deadline are $20 per clock hour.

  • Academic Progress, Theory, and Board Prep

  • Grading and Satisfactory Progress

  • Grading and Satisfactory Progress
    Score Grade Evaluation
    96-100 A Excellent
    86-95 B Above Average
    76-85 C Average
    66-75 D Below Average
    Below 66 F Unsatisfactory
  • Students must maintain a cumulative academic average of at least 75%. Progress is measured through online chapters, quizzes, examinations, practical assignments, instructor evaluations, and verified completion records. Students can review scores and progress through the student portal and may request clarification in writing.
  • Academic Probation

  • A student below 75% receives written notice and a 30-calendar-day academic probation. The notice identifies deficiencies, required remediation, deadlines, and the review date. At the end of probation, the Director issues a written decision returning the student to good standing, extending probation only when permitted, or terminating the student for unsatisfactory progress. Readmission after academic termination requires written application, evidence that the cause has been resolved, available space, and a new written agreement.
  • Theory Deadline

  • All 150 theory hours, including assigned textbook/online chapters, quizzes, and examinations, must be completed by the end of Week 8. Failure to do so results in a $150 administrative fee unless a written accommodation or documented Academy-platform exception applies. The fee does not award theory hours or eligibility for Board Prep.
  • Board Prep Eligibility

    • At least 575 verified total hours by the scheduled Board Prep class.
    • All 150 theory hours completed.
    • Cumulative academic average of at least 75%.
    • Good standing under attendance, conduct, and academic policies.
  • An ineligible student may not attend the scheduled Board Prep class. The student may request a seat in a future cohort's Board Prep class. Attendance is subject to available space, a $250 fee per class, and the optional $100 kit due at class. The final 25 hours must be completed between Board Prep and graduation as scheduled. Board Prep attendance does not waive any remaining requirement.
  • Completion Deadline and Extended Completion

  • All 600 hours must be completed by the earlier of the scheduled graduation date or seven months after the official start date, unless a written approved leave, amendment, or readmission changes the date. Missing class graduation triggers a one-time $500 continued-support administrative fee only if continued enrollment is
  • approved in writing. Required hours completed after the deadline are $20 per clock hour. The student must submit and receive approval of a written completion schedule before attending a future cohort.
  • Internship / Externship

  • The 112-hour internship/externship is a required educational component of the 600-hour Nail Technician Program. It may be paid or unpaid, but it may not be used to replace theory or laboratory hours or to create hours beyond the approved 112. The student is not a graduate and no completion credential is earned until the internship is satisfactorily completed.

    • Placement responsibility: The student must identify a proposed site by Week 6. The Academy does not guarantee placement or employment.
    • Eligibility: Internship may begin only after 300 verified program hours and Academy approval.
    • Start deadline: The approved internship must begin by the end of Week 12 or a $250 administrative fee is charged, absent a written Academy exception.
    • Site: The salon/spa must be properly registered or licensed as required and agree to the Academy educational plan.
    • Supervisor: The on-site supervisor must hold an active Colorado Nail Technician or Cosmetology license and have at least two years of professional experience.
    • Academy oversight: A designated qualified Academy instructor coordinates and evaluates the educational component and verifies hours.
    • Employee replacement: The intern may not replace a regular employee.
    • Limits: No more than 8 internship hours per day, 40 per week, or five consecutive internship days. A day off is required after five consecutive days, including when locations are split.
    • Documentation: Only hours supported by required time, supervisor, evaluation, and Academy records are credited.
    • Site rules: The student must follow lawful site safety, sanitation, client, scheduling, confidentiality, and conduct rules. A salon may end placement; the student must promptly notify the Academy and obtain approval before continuing elsewhere.
  • Student Responsibilities, Communication, and Hour Logging

  • Adult-Learning Responsibility

    • Track and accurately log hours, grades, theory progress, practical requirements, fees, payment balance, Board Prep eligibility, and completion deadline.
    • Bring all required tools, equipment, supplies, books, and charged devices to every class.
    • Read email and portal notices and ask questions before a deadline expires.
    • Secure internship placement on time and submit all approvals and verification.
    • Maintain copies of submissions, notices, receipts, approved forms, and correspondence.
    • Immediately report errors in hours, grades, charges, or attendance in writing with supporting records.
  • Communication Rules

  • Formal communications concerning absence, tardy, accommodation, leave, hours, grades, charges, withdrawal, complaint, internship, or policy exception must be emailed to Enrollment@TheBeautyCollectiveAcademy.com. Text messages may be used for immediate operational notice but must be followed by email when a record or decision is required. The Academy may rely on the most recent contact information supplied by the student. Failure to read a properly sent notice does not cancel a deadline.
  • Hours Logging

  • Students must submit each hour entry within 72 hours after completion. The instructor or Director verifies and approves hours. Late, unsupported, duplicate, altered, or inaccurate entries may be denied or corrected after written review. Falsifying hours is serious misconduct and may result in immediate dismissal.

Approved off-site or supplemental work must include all required evidence, including three time-stamped photographs (start, midpoint, and end), a written service description, assigned work product, and any supervisor verification. A submission missing a required component receives no credit. "Extra credit" does not mean extra clock hours beyond the approved curriculum.

  • Conduct, Appearance, Safety, and Clinic Rules

  • Professional Conduct

    • Treat clients, students, instructors, staff, guests, and internship personnel courteously and professionally.
    • Follow lawful instructor directions and do not obstruct, disrupt, or take over another student's instruction.
    • Do not harass, threaten, bully, fight, retaliate, use abusive language, spread targeted rumors, or create an unsafe or hostile environment.
    • Do not steal, damage property, forge or alter records, cheat, plagiarize, falsify hours, misuse documents, or assist another person in a violation.
    • Do not possess weapons, explosives, illegal drugs, or alcohol, and do not attend while impaired by any substance that creates a safety risk.
    • Do not enter restricted areas, use equipment without authorization, or remove Academy property, client information, tests, or documents.
  • Appearance and Dress

  • Students must wear clean, neat, safe clothing and maintain a professional, well-groomed appearance suitable for laboratory and client services. Closed-toe or other safety-appropriate footwear may be required for specified activities. A student given an opportunity to correct appearance must do so before returning to class. Time missed while correcting a violation is not credited and may create a tardy or absence under the objective definitions.

  • Sanitation, Clinic, and Client-Service Rules

    • Clean and disinfect implements, equipment, station, pedicure area, and work surfaces before and after use as instructed and required by law.
    • Perform assigned sanitation duties and dispose of products and chemicals through approved procedures; no prohibited chemicals or materials may be placed in drains.
    • Do not refuse an assigned service or sanitation duty without a documented safety, health, accommodation, or instructor-approved reason.
    • Never leave a client unattended when supervision is required. Obtain instructor approval before beginning, modifying, or ending a service.
    • Use only approved products and follow labels, Safety Data Sheets, infection-control rules, and instructor directions.
    • Immediately report injury, exposure, allergic reaction, equipment failure, client complaint, spill, or safety concern.
  • Phones, Recording, Privacy, Food, and Property

    • Phones and personal devices must be silent and put away during instruction and client services unless the instructor authorizes educational use.
    • No recording, photographing, livestreaming, copying tests, or photographing records, clients, staff, or students without advance authorization and required consent.
    • Food and open drinks are restricted to designated areas; approved closed beverages must be kept away from chemicals and equipment.
    • Smoking, vaping, and tobacco use are prohibited inside and in prohibited surrounding areas.
    • The Academy is not responsible for lost, stolen, or damaged personal property or vehicles except where law provides otherwise. Students are responsible for safeguarding their belongings.
  • Safety and Chemical Notice

  • Training involves professional tools, chemicals, electrical equipment, dust, adhesives, and hands-on services. Safety Data Sheets are maintained and instruction includes safe use, sanitation, disinfection, personal protective equipment, ventilation, and incident reporting. Students must disclose a needed accommodation through the written process and must never perform a procedure they have not been authorized or trained to perform.
  • Write-Ups, Discipline, Dismissal, and Appeals

  • Progressive Discipline and Three-Strike Write-Up System

  • Progressive Discipline and Three-Strike Write-Up System
    Level Notice and consequence
Documented verbal warning Informal corrective notice recorded in the student file. No write-up fee.
First written write-up Formal notice describing conduct, facts, policy, required correction, deadline, and $50 fee when not already charged as a tardy.
Second written write-up Formal notice and remediation plan; additional $50 fee for a separate violation when applicable.
Third written write-up Grounds for dismissal after written review; additional $50 fee for a separate violation when applicable.
Immediate action Serious misconduct may result in removal from class, suspension pending review, or immediate dismissal without prior strikes.
  • Write-ups may be issued for attendance or tardy progression, missed academic or theory deadlines, late or false hour logs, unprofessional conduct, refusal to follow safety or sanitation rules, disruption, failure to communicate after a formal direction, or another material policy violation. Each notice identifies whether it counts toward the three-strike system. Multiple facts from one event are ordinarily one write-up unless separate conduct occurred.
  • Serious Misconduct

  • Violence, credible threats, harassment, retaliation, theft, intentional property damage, falsification of hours or records, cheating involving protected tests, weapons, controlled substances, deliberate safety violations, client abuse, or conduct creating an immediate health or safety risk may result in immediate dismissal. The Academy may contact law enforcement, licensing authorities, a site, or emergency services when appropriate.
  • Written Review and Student Response

  • Before non-emergency dismissal based on progressive discipline, the Academy provides written notice of the grounds and effective date. The student may submit a written response with supporting documentation within five business days. Unless the Director stays the action in writing, an automatic attendance withdrawal or immediate safety dismissal remains effective while reviewed. The Director issues the final internal decision in writing. This internal process does not restrict or extend the DPOS complaint right.
  • Withdrawal, Termination, Readmission, and Financial Responsibility

  • Voluntary Withdrawal

  • A student choosing to withdraw must submit the signed Academy Withdrawal Form by email to Enrollment@TheBeautyCollectiveAcademy.com. An email clearly communicating intent to discontinue is notice even if the form is not completed; the missing form does not postpone the official date or refund calculation. Verbal notice alone is not the preferred documentation. The Academy will confirm receipt and calculate the account under the Refund Policy.
  • Administrative Withdrawal and Termination

    • Fourth counted absence.
    • Second consecutive missed class without timely official contact.
    • Failure to return from an approved Leave of Absence.
    • Failure to accept or report to an approved future-cohort placement within the stated deadline.
    • Failure to satisfy academic, conduct, safety, disciplinary, financial, internship, or completion requirements after required notice, when applicable.
    • Inactive status continuing beyond the period permitted by 8 CCR 1504-1.
  • Official Date

  • The official date of termination or withdrawal is determined under 8 CCR 1504-1: (1) the date on which the Academy is notified to be the student's last date of actual attendance; (2) the date on which the student violates a published policy providing for termination; or (3) for failure to return from leave, the earlier of the date the Academy determines the student is not returning or the day following the expected return date. A no-contact withdrawal occurs on the second consecutive missed class.
  • Readmission After Withdrawal or Dismissal

  • Readmission is not automatic. The student must submit a written request explaining the reason for departure, how the cause has been resolved, and the requested return period. The Academy reviews prior hours, grades, attendance, conduct, account status, curriculum currency, and available space. If approved, the student signs a new Enrollment Agreement identifying accepted hours, price, new completion date, schedule, and conditions. No registration or re-enrollment registration fee is charged. The student must obtain a new online seat when required and replenish or replace the kit at actual disclosed cost. Verified prior hours are evaluated; they are not automatically forfeited solely because fewer than 200 hours were completed.
  • Financial Responsibility After Separation

  • Withdrawal, administrative withdrawal, termination, or dismissal does not eliminate earned tuition or properly assessed fees. The Academy issues a written refund/account calculation. Any balance is due within 30 days. Unpaid balances may be referred to collections and may incur only the interest and costs authorized by the
  • signed agreement and law. The student remains entitled to statutory credential-release exceptions and complaint rights.
  • Cancellation and Refund Policy

  • IMPORTANT

  • IMPORTANT: All refunds are calculated from the official date of termination or withdrawal and made within 30 days of that date. The policy below applies to the 600-hour Nail Technician Program; a stand-alone course agreement must state its applicable period and calculation.
    1. A student not accepted by the Academy is entitled to a refund of all monies paid.
    2. A student may cancel by midnight of the third business day after signing the Enrollment Agreement and receive a full refund of all tuition, fees, books, supplies, and equipment charges paid.
    3. After the three-business-day cancellation period but before instruction begins, the student receives any refund required by Colorado law, less a cancellation charge of $150 or 25% of the contract price, whichever is less. The separately disclosed $1,400 books and materials deposit ($600 books and $800 materials, supplies, equipment, and kit) is non-refundable and nontransferable, except when a refund is required by law.
    4. After instruction begins, earned tuition is based on the percentage of the 600 contact hours completed as of the official date. The cancellation charge is added where applicable. The separately disclosed $1,400 books and materials deposit ($600 books and $800 materials, supplies, equipment, and kit) remains non-refundable and nontransferable, except when a refund is required by law.
  • Progress at official date Hours Student owes
Within first 10% 0-60 10% of $7,800 tuition ($780) plus applicable cancellation charge.
After 10% through 25% 61-150 25% of tuition ($1,950) plus applicable cancellation charge.
After 25% through 50% 151-300 50% of tuition ($3,900) plus applicable cancellation charge.
After 50% through 75% 301-450 75% of tuition ($5,850) plus applicable cancellation charge.
After 75% 451-600 100% of tuition ($7,800); cancellation charge does not apply if tuition is paid in full.
  • Additional Refund Rules

    • Any refund of tuition or fees paid by a sponsoring agency or other person on behalf of the student is returned to that payer.
    • Credit granted for prior training does not alter the Refund Policy.
    • If the Academy discontinues a program or stand-alone course within a period in which the student could reasonably have completed it, the Academy provides the refund or other remedy required by Colorado law, except where a separate school-closure rule controls.
    • No student will remain inactive in violation of school policy without written consent. An inactive student will be terminated within 30 days of the next available start date and refunded appropriate prepaid tuition and fees as required by 8 CCR 1504-1.
  • Graduation, Completion, Credentials, and Licensure

  • Academic Completion Requirements

    • Complete 600 verified clock hours: 150 theory, 338 laboratory/practical, and 112 internship/externship.
    • Complete every required curriculum component, practical assignment, evaluation, and approved internship requirement.
    • Maintain a final cumulative academic average of at least 75%.
    • Satisfy Board Prep eligibility and any required remediation.
    • Resolve falsified, unsupported, duplicate, or disputed hour entries.
  • Graduate Status and Ceremony

  • A student is not a graduate and no educational credential is earned until all academic and program requirements are successfully completed. Participation in a ceremony does not establish academic completion, waive a balance, create a credential, or change the Official Completion Date. Completion does not guarantee passage of the State Board examination, licensure, transfer of credit, internship employment, or employment.

  • Financial Hold and Statutory Exceptions

  • Except when C.R.S. § 23-5-113.5 or another law requires release, a student with tuition currently due and payable will not receive the routine graduation packet, official transcript, Record of Completion, certificate, or diploma until the account is paid in full. A payment plan or ceremony does not waive the hold. Release under a statutory exception does not forgive, reduce, or satisfy the debt.

    • Job application
    • Transfer to another postsecondary institution
    • Application for state, federal, or institutional financial aid
    • Military or National Guard opportunity
    • Another postsecondary opportunity

A transcript will be supplied after completion within a reasonable time not exceeding 45 days. Upon request, an official transcript will be provided within seven days to a student who has satisfied currently due financial obligations or qualifies for a statutory exception. A certificate/diploma will be provided within a reasonable time not exceeding 60 days under the same financial-obligation and exception rules. If an exception request is denied, the Academy provides a written explanation within seven business days. The statutory exception does not apply to a foreign student present in the United States on a nonimmigrant visa.

Requests and supporting documents must be emailed to Enrollment@TheBeautyCollectiveAcademy.com. No enrollment or course-registration holds are imposed for these requests. Complaints concerning the financial-hold law may be submitted to the Colorado Student Loan Ombudsperson at CSLSA@coag.gov.

  • Student Records, Privacy, and Data Release

  • Student Record Retention

  • The Academy maintains a student record in electronic format for every enrolled student. Enrollment agreements, payment/refund records, attendance, progress notes, grades, completion/termination information, grievances and resolutions, recruitment/enrollment/placement correspondence, and related records are maintained for at least six years after last attendance. Transcripts, certificates, diplomas, Records of Completion, and other educational credentials are retained permanently as required by 8 CCR 1504-1.

  • Student Access and Corrections

  • A student must report an alleged record error promptly in writing and identify the entry, date, requested correction, and supporting evidence. The Academy reviews the audit history and issues a written decision. A student may not alter a record directly or direct another person to falsify it. The Academy may correct clerical errors without awarding unverified credit.
  • Privacy and Data Release

  • The Academy maintains confidentiality of student records and releases information only with student consent, to a person or agency with a lawful authorized need, or as otherwise permitted or required by law. Students may not photograph or distribute another person's record, client information, protected test, or private communication. The Academy may share necessary internship and safety information with an approved site consistent with law and the educational purpose.
  • Complaints and Grievances

  • IMPORTANT
IMPORTANT: A student or guardian may file a complaint directly with DPOS within two years after the student's last date of attendance or at any time before training begins. Internal resolution is encouraged but is not required, does not extend the filing deadline, and does not permit retaliation.
  • DPOS Filing Information

  • Division of Private Occupational Schools, Colorado Department of Higher Education, 1600 Broadway, Suite 2200, Denver, CO 80202 | (303) 862-3001 | https://highered.colorado.gov/dpos
  • Internal Grievance Procedure

    1. Email Enrollment@TheBeautyCollectiveAcademy.com with the facts, dates, people involved, relevant policy, supporting documents, and requested resolution.
    2. The Academy acknowledges and responds in writing within five business days when practicable, reviews relevant records, and may request additional information.
    3. The Director issues a written outcome. The student may request reconsideration within ten business days by identifying new information or a material error.
    4. The Academy will not impose punitive action because a student filed a good-faith grievance or complaint.
  • Placement Assistance and Transferability

  • Placement Assistance

  • The Academy may provide employment assistance consisting of job-lead referrals, resume or interview guidance, and job-skills development. The Academy does not guarantee placement, employment, compensation, clientele, business success, State Board passage, or licensure. Current law prohibits guaranteeing job placement as an inducement to enroll.
  • Transferability

  • The Academy does not guarantee the transferability of its credits or hours to another institution. Acceptance is determined solely by the receiving institution unless the Academy has a current written articulation agreement
  • stating otherwise. A student should obtain written confirmation from the receiving institution before relying on transfer.
  • Final Acknowledgment and Signatures

  • Receipt, Understanding, and Agreement

    • I received this current Catalog and any effective addenda before signing the Enrollment Agreement.
    • I received a completed copy of my Enrollment Agreement when it was executed.
    • I reviewed the program price, payment schedule, additional charges, refund table, attendance table, tardy table, write-up system, Leave of Absence policy, future-cohort conditions, internship, completion deadline, graduation-document hold, and complaint rights.
    • I understand that no oral promise changes these written terms and that amendments must be signed and reviewed by DPOS when required.
    • I understand that training involves professional tools, chemicals, electrical equipment, dust, adhesives, client services, and practical procedures. I will follow safety instructions and promptly report concerns. Nothing in this acknowledgment waives a right or liability that cannot lawfully be waived.
