LEGACY OF THE HORSE 2027
TRADE EXHIBITOR TERMS & CONDITIONS
By submitting a Trade Exhibitor Booking Form for Legacy of the Horse 2027, the exhibitor acknowledges and agrees to the following Terms & Conditions.
1. BOOKINGS & PAYMENT
Submission of a booking form does not automatically guarantee or confirm a Trade Site.
Following receipt and approval of your booking, an invoice will be issued by The Australian Cowgirl Co.
Your Trade Site is not confirmed until payment has been received.
Where an exhibitor is also a Legacy of the Horse sponsor, any applicable sponsorship discounts or complimentary Trade Show inclusions will be applied when invoicing.
2. SITE ALLOCATION
Trade Site numbers and locations are allocated by the Legacy of the Horse event team.
Site allocation will take into consideration exhibitor requirements, site size, power requirements, safety, access and the overall Trade Show layout.
While every effort will be made to accommodate requests, specific site locations cannot be guaranteed.
Legacy of the Horse reserves the right to alter site allocations where reasonably required for operational, safety or event management purposes.
3. PREMIUM & VEHICLE TRADE SITES
Premium and Vehicle Trade Sites are subject to availability and approval.
Exhibitors requesting these sites must provide accurate dimensions and details of their proposed display.
Vehicles are only permitted to remain within the Trade Show area where they form an approved part of the display. All other vehicles must be moved to designated parking areas following bump-in.
4. TWO-SITE BOOKINGS
Exhibitors may request two adjoining Stable Trade Sites to create a larger display area, subject to availability.
Where removal of a dividing stable wall is required, an additional wall removal and replacement fee will apply.
No walls, fixtures or permanent structures may be removed or altered by exhibitors without prior approval from event management.
5. EXHIBITOR INSURANCE
All exhibitors must hold appropriate insurance for their business and activities conducted at the event, including current Public Liability Insurance.
A valid Certificate of Currency must be supplied prior to the event.
Exhibitors are responsible for ensuring their insurance adequately covers their products, equipment, staff, activities and participation at Legacy of the Horse.
6. SITE SAFETY & RESPONSIBILITY
Exhibitors are responsible for ensuring their Trade Site is maintained in a safe, tidy and professional condition throughout the event.
Displays, stock, signage, electrical leads and equipment must not obstruct walkways, emergency exits, access points or neighbouring Trade Sites.
Exhibitors must comply with all reasonable safety directions issued by Legacy of the Horse, The Australian Cowgirl Co., Tatura Park or relevant authorities.
Any damage caused to the venue, stable, site or facilities by an exhibitor, their staff or equipment may be charged to the exhibitor.
7. ELECTRICAL EQUIPMENT & POWER
Exhibitors requiring power must book this prior to the event.
All exhibitor-owned electrical equipment, extension leads, power boards and appliances used onsite must be Tested & Tagged and compliant with applicable requirements.
Equipment that does not meet the required safety standards may not be permitted to be used.
8. STAFF PASSES
Each Trade Site includes two (2) Staff Passes.
Additional Staff Passes may be purchased for $65 per person.
Staff passes are for authorised personnel working within the exhibitor's Trade Site and must not be transferred or provided to members of the public.
9. BUMP-IN
Trade Exhibitor bump-in will commence:
Wednesday 14 April 2027 – after 4:00pm, unless otherwise arranged with event management.
Exhibitors participating in the 4-Day Trade Show must be fully set up and ready to trade prior to opening on Thursday.
Exhibitors participating in the 3-Day Trade Show will be provided with relevant access and setup information prior to the event.
10. BUMP-OUT
Bump-out will commence following the completion of the Finals on:
Sunday 18 April 2027 – approximately 4:00–5:00pm, or Monday morning by prior arrangement.
For public and participant safety, no early vehicle movement or bump-out is permitted within the Trade Show area without approval from event management.
11. CAMPING
On-site camping may be booked as part of the Trade Exhibitor registration.
Camping is charged at $40 per night, plus the applicable $20 one-time camping facility fee.
Exhibitors camping onsite must comply with Tatura Park and event camping requirements.
12. DEMONSTRATIONS
Approved Trade Exhibitors may request an opportunity to conduct a demonstration, educational presentation or product showcase as part of the event program.
There is no additional charge for approved demonstrations.
Demonstration opportunities and times are subject to approval, suitability and event scheduling. Event management reserves the right to alter or cancel demonstration times where required.
13. PRODUCTS & SERVICES
Exhibitors may only promote, display or sell products and services appropriate to their business and those disclosed as part of their Trade Show booking.
The sale or display of illegal, unsafe, offensive or inappropriate products is prohibited.
Event management reserves the right to require the removal of any product, display, signage or promotional material considered unsafe or inappropriate for the event.
14. CANCELLATION BY THE EXHIBITOR
All exhibitor cancellations must be made in writing to The Australian Cowgirl Co.
Where cancellation occurs sufficiently prior to the event, any refund offered will be at the discretion of event management and may be less any reasonable administration costs or non-recoverable expenses already incurred in relation to the booking.
Cancellations made close to the event may not be eligible for a refund where the Trade Site cannot reasonably be resold.
Trade Site bookings may not be transferred or resold to another business without prior written approval.
15. EVENT CANCELLATION, POSTPONEMENT OR CHANGES
Legacy of the Horse and The Australian Cowgirl Co. reserve the right to make reasonable changes to the event program, timetable, Trade Show layout or operating arrangements where required.
If the event is postponed, exhibitor bookings will, where reasonably practicable, be transferred to the rescheduled event.
If the event is cancelled and not rescheduled, exhibitors will be advised of the applicable refund or credit arrangements, taking into consideration payments received and any unrecoverable costs already incurred.
16. WEATHER & UNFORESEEN CIRCUMSTANCES
Legacy of the Horse is an equine event and may be affected by weather, venue requirements, animal welfare considerations, emergencies or circumstances outside the reasonable control of event management.
Event management reserves the right to alter schedules, locations, activities or operating arrangements where reasonably necessary for the safety and successful operation of the event.
17. SECURITY & PERSONAL PROPERTY
Exhibitors are responsible for the security of their own stock, equipment, cash, displays and personal property.
While reasonable care will be taken in managing the event, The Australian Cowgirl Co. and Legacy of the Horse are not responsible for loss, theft or damage to exhibitor property except to the extent required by law.
18. PHOTOGRAPHY, VIDEO & LIVESTREAM
Legacy of the Horse will be photographed, filmed and may be livestreamed.
By participating as an exhibitor, you acknowledge that your Trade Site, signage, products and staff may appear incidentally in event photography, video, livestream coverage and promotional content.
19. EVENT MANAGEMENT
Exhibitors, their staff and representatives are expected to conduct themselves professionally and respectfully throughout the event.
Legacy of the Horse event management reserves the right to address behaviour, displays or activities that create a safety issue, significantly disrupt the event or adversely affect other exhibitors, participants or spectators.
Serious or repeated breaches of these Terms & Conditions may result in an exhibitor being required to cease trading or leave the event.
20. ACCEPTANCE OF TERMS
By submitting this booking, the exhibitor confirms that the information provided is accurate and that they have read, understood and agree to comply with these Legacy of the Horse 2027 Trade Exhibitor Terms & Conditions.
