  • Hub Liaison Role Description

    • Openings: 2–3 in-person positions
    • Location: SEG Hub, 10 Davol Square, Suite 100, Providence, RI 02903
    • Schedule: Approximately 15-20 hours per week, scheduled in shifts between 8:30 a.m. and 4:30 p.m., Monday through Friday, with occasional evening and weekend availability required for events.
    • Compensation: $20–25/hour
    • Supervision: This position reports to the COO. You'll receive ongoing guidance, training, and support as you learn the Hub's systems, processes, and routines.

    About the Role


    You'll be surrounded by founders building real solutions to real problems, and your work helps create a space where they feel welcomed, supported, and excited to come to work.

    As a Hub Liaison, you'll be the primary front-desk team member and first point of contact for members, guests, prospective members, and vendors at the SEG Hub. You'll help make sure the space feels welcoming and runs smoothly day to day, while providing friendly, responsive support to the people who use it.

    This is a hands-on, service-oriented role that combines hospitality, member support, and day-to-day Hub operations. You'll follow established processes and checklists, but you'll also need to use good judgment, notice what needs attention, and step in when something isn't working.

    You'll work closely with the COO, who will provide guidance, training, and support as you learn the role. As you become more confident and demonstrate strong performance, there may be opportunities to take on additional responsibilities and increase your hours and compensation following an initial 90-day period.

    Team Structure & Growth: 
    We are hiring 2–3 Hub Liaisons who will work as a shared front-desk and Hub operations team. The associates will share core responsibilities and coordinate coverage to ensure the Hub is welcoming and well supported throughout the week. In time, we expect to designate one team member as the Lead Hub Liaison, with increased responsibility, hours, and compensation.


    What You'll Do

    Welcome & Support Our Members

    • Warmly greet and check in members, guests, day-pass users, prospective members, and vendors.
    • Learn members' names, ventures, and missions and help create a community where people feel known and welcomed.
    • Answer phones, emails, and chats and respond to routine questions about memberships, amenities, room credits, and pricing within approved guidelines.
    • Give tours to prospective members and log leads and opportunities in Nexudus.
    • Support member onboarding and offboarding, including move-in and move-out coordination.
    • Help members navigate conference rooms, Wi-Fi, AV technology, printing, and other Hub amenities.
    • Coordinate meeting room bookings and support member and event requests.
    • Listen to member feedback and concerns, respond with care, and follow through until the issue is resolved or appropriately escalated.


    Keep the Hub Running Smoothly

    • Complete daily opening and closing checklists, as well as recurring weekly and monthly checklists, so the Hub is fully ready before opening.
    • Conduct regular walkthroughs of reception, conference rooms, common areas, kitchens, and other shared spaces to make sure they are clean, organized, stocked, and ready for members and guests.
    • Keep the Hub welcoming, orderly, and presentation-ready throughout the day.
    • Prepare and maintain the coffee and beverage station and keep hospitality supplies stocked.
    • Monitor office, kitchen, janitorial, snack, and beverage inventory and submit order requests as needed.
    • Manage and organize incoming mail and packages.
    • Procure signage and materials for member offices and shared spaces.
    • Coordinate event rentals from start to finish, including coordinating logistics with renters, completing pre- and post-event walkthroughs, helping prepare the space, and providing event coverage as needed.
    • Notice when something needs attention and take action rather than waiting to be asked.


    Solve Problems & Keep Things Moving

    • Intake maintenance, IT, and operational issues and make sure they are logged and followed up on.
    • Troubleshoot basic printing, Wi-Fi, payment/portal, Zoom, Google Meet, and Kyocera issues within the scope of the role.
    • Use Nexudus for check-ins, bookings, ticket requests, and basic member account support.
    • Maintain accurate records and consistent follow-up on front-desk tasks.
    • Escalate more complex billing, contract, technical, or member-service issues to the COO.
    • Learn SEG Hub's systems, policies, services, and day-to-day operations so you can confidently assist wherever needed.
    • Work collaboratively with our small team and pitch in across Hub operations when the team or space needs support.

    What You'll Bring

    • Experience in hospitality, reception, coworking, sales, customer service, office operations, or a related role preferred.
    • Excellent verbal, written, and interpersonal communication skills.
    • Strong organizational skills, attention to detail, and follow-through.
    • Basic computer skills and confidence using Google Docs and Google Sheets.
    • Comfort learning new software and technology; experience with workplace management software such as Nexudus is a plus, but not required.
    • The ability to problem-solve independently while also knowing when to ask for help or escalate an issue.
    • Dependability, accountability, empathy, and good judgment.
    • An interest in entrepreneurial communities and SEG's mission.


    Physical Requirements
    This role involves regular movement throughout the SEG Hub, including standing, walking, bending, reaching, and using stairs. The role may also require lifting and carrying packages and supplies, moving furniture and equipment, and transporting materials between floors, including to and from the basement.
