• You pay by Interac e-Transfer: send it within 24 hours of booking, or we may release your time.
• You proceed with an engagement (engagement letter signed within 30 days of the consultation): credited in full against your first invoice.
• You don't proceed: kept as the fee for the consultation.
• You reschedule more than 48 hours before the consultation: no penalty; deposit carries forward.
• Your first late change (within 48 hours) or no-show: you may rebook once; deposit carries forward.
• A second late change or no-show: deposit forfeited.
• You cancel without rebooking, or don't rebook for a date within 30 days of the original consultation: deposit forfeited.
• We reschedule, cancel, or decline to proceed: never counts against you; full refund if we cancel or decline.
1. The Consultation
1.1 The consultation is a preliminary call to understand your situation and discuss how we may be able to help. The date, time, and length of your consultation are shown when you book or, if you ask us to arrange a time with you, confirmed by email.
1.2 Booking a consultation does not engage us to perform any work. We are engaged only when you and we both sign an engagement letter setting out the scope, fees, and terms of that work.
1.3 Anything discussed during the consultation is general in nature and based on the limited information available at the time. It is not professional advice and should not be relied on. Decisions you make before an engagement letter is signed are your own responsibility.
2. The Deposit
2.1 A deposit of $250 CAD is payable when you book, by credit card or Interac e-Transfer. Your booking is confirmed only once we receive payment.
2.2 If you proceed: if you sign an engagement letter with us within 30 days after your consultation, the full deposit is credited against the first invoice for that engagement, applied to the invoice total including GST.
2.3 If you don't proceed: if no engagement letter is signed within 30 days after your consultation, we keep the deposit as the fee for the consultation. The retained amount includes GST.
2.4 If you pay by Interac e-Transfer: send $250 to ar@stevenalexander.cpa within 24 hours of booking, with your business name in the message. We hold your time until then. If we haven't received it, we may cancel the booking and release the time.
3. Rescheduling, Cancellations, and No-Shows
3.1 To reschedule or cancel, email us at hello@stevenalexander.cpa. Notice is measured from when we receive your email.
3.2 You may reschedule without penalty if we receive your request more than 48 hours before the scheduled start time.
3.3 A "late change" is a request to reschedule or cancel received within 48 hours of the scheduled start time. A "no-show" is not joining the consultation within 15 minutes of its scheduled start time.
3.4 You are allowed one late change or no-show per deposit, including any rebooked consultations. After the first, you may rebook once and your deposit carries forward.
3.5 If a second late change or no-show occurs, your deposit is forfeited and your booking is cancelled.
3.6 Your deposit is also forfeited if you cancel without rebooking, or if you do not rebook for a date within 30 days of your original consultation date. If we cannot offer a time within that 30-day window, you may book the first available time we offer after it.
3.7 A forfeited deposit includes GST.
4. If We Reschedule, Cancel, or Decline
4.1 If we need to reschedule, it never counts against you and your deposit carries forward. If none of the alternative times we offer suit you, we will refund your deposit in full.
4.2 We may decline to hold your consultation, for example because of a conflict of interest or because your needs fall outside the services we provide. If we decline or cancel, we will refund your deposit in full.
4.3 Refunds are made to your original payment method within 10 business days.
5. Payment
5.1 Card payments are processed securely by Stripe. We do not receive or store your full card details. Interac e-Transfers are deposited directly to our business bank account.
6. Confidentiality and Privacy
6.1 We keep the information you share with us confidential, in accordance with the professional obligations that apply to us as Chartered Professional Accountants.
6.2 We collect the personal information you provide when booking, such as names, contact details, billing details, and information about your business, to schedule and prepare for your consultation, assess whether we can help, process payment, issue invoices and receipts, and keep business records. We handle it in accordance with British Columbia's Personal Information Protection Act.
6.3 Our service providers, including our form, scheduling, payment, and accounting software providers, may store or process this information outside Canada, where it may be subject to the laws of those jurisdictions.
6.4 For questions about your information, contact us at hello@stevenalexander.cpa.
7. Your Confirmations
7.1 You confirm that you are authorized to accept these terms on behalf of the business named in your booking, and that the information you provide is accurate and complete.
8. Limitation of Liability
8.1 To the maximum extent permitted by law, our total liability arising from your booking or the consultation is limited to the amount of the deposit you paid. This does not apply to work performed under a signed engagement letter, which is governed by the terms of that letter.
9. General
9.1 These terms are governed by the laws of the Province of British Columbia and the federal laws of Canada that apply there.
9.2 These terms are the entire agreement between you and us about your booking and consultation. Any engagement that follows is governed by its engagement letter.
9.3 We may update these terms from time to time. The version in effect when you book applies to that booking.
