  • Market Vendor Information, Guidelines, and Policies

Policies and guidelines vendors must adhere to include but are not limited to the following:
  • Participation Process:

To secure a vendor spot, an online application must be submitted. Incomplete applications will be declined. Please be sure to complete all questions in the application form and submit all requested photos, etc.

In order to maintain a nice variety of quality vendors, with little to no duplicates, the Art League of Baytown market application process is juried. This means that not everyone who applies will be approved for participation. The Art League of Baytown volunteers who are coordinating the markets will review applications in the order they are received. Submission does not guarantee a vendor spot. Preference will be given to Art League of Baytown members and vendors selling original artwork or hand-crafted items. Vendors offering manufactured products must submit photos for approval to ensure a diverse selection for shoppers. This policy helps limit the number of similar vendors, fostering a varied shopping experience.

In addition, to further provide a variety for shoppers, vendors will only be approved to participate in a maximum of 2 of the markets.

A list of merchandise categories is available in the application and once these categories are filled, applicants will be informed if their participation in the market cannot be accommodated. (Food and beverage sales are prohibited.)

The Art League of Baytown does not guarantee that you will be the only vendor selling a certain product. We do try to discourage duplicate products, but it is not a
guarantee and no money will be refunded as a result of this.

Approximately 8-12 vendors will be selected for participation.

Vendor spaces are allocated on a first-come, first-served basis, meaning that the earliest applicants who are approved and also complete their payment will secure their spots.

  • PAYMENT:

    • Booth Fee is $40 for the Harvest Market and $50 per market for the other markets.
    • Upon approval, vendors will receive an email confirming their participation, along with payment instructions.
    • Payment must be received within 72 hours of receiving your approval email.
    • Cancellations by Vendor: Booth fees are refundable up to 2 weeks prior to the market. After that, booth fees are non-refundable, unless the market is cancelled by the Art League of Baytown, or the committee approves a refund for a last minute cancellation due to an emergency.
    • If a vendor decides to cancel less than 2 weeks prior to the market date and/or before the event is officially canceled, no credit or refund will be issued.
    • In order to setup your booth and participate in the market(s) 2026 vendors must submit a completed electronically signed application, and paid the invoice for booth fees; no exceptions will be made.
  • VENDOR SPACE DETAILS

    • All vendor spots are 4 x 6-foot table spaces and are located in the Art Center of Baytown downstairs classroom area. (There are no larger vendor booths available for these events. ONLY table spaces!)
    • The Art League of Baytown will provide each vendor with a 6-foot table, covered in a black, stretch (fitted) tablecloth, and 2 chairs.
    • It is the responsibility of each vendor to supply any additional display fixtures, etc.
    • If you wish, you can set up the allocated 4 x 6-foot vendor space without the 6 foot table and provide your own displays instead. Please note this preference in the vendor application section below.
    • Vendors are required to showcase all products, displays, banners and signage on their own table, and no items may be affixed to any part of the facility through nails, screws, tape or other means.
    • All displays must not exceed a height of 6 feet and should remain within the designated booth area.
    • Canopies and Canopy frames are prohibited.
    • Each vendor table is designated for a single business, however we will allow a maximum of 2 businesses to share a vendor table. Both businesses must complete an application and indicate in the "Additional Comments" section the name of the vendor you will be sharing a table with. If both vendors are approved, we will invoice each of the 2 vendors $25 each.
  • Wi-Fi Service:

The Art League of Baytown will provide vendors with the login for Wi-Fi. However, we cannot guarantee that it will be working or operating at an optimal speed. So please plan accordingly.

  • Vendor Space Electricity:

Electricity availability in vendor spaces is limited and restricted to certain tables only. If you require electricity, please indicate this on the application notes below and provide details regarding your electrical needs. (Vendor must provide their own surge protector, extension cords, etc.)

  • Product Pricing / Sales:

Pricing of products, goods sold at booths (and applicable sales tax) is solely the responsibility of the vendor.

    • The Art League of Baytown will not process payments for vendors and will not be keeping a commission.

    • Smoking, vaping or open flames are prohibited.
    • No food or drinks may be sold by vendors.
    • No vintage or resale items may be sold by vendors.
    • This is a family friendly event. Selling items that feature nudity, offensive language, inappropriate phrases, or demonic, pornographic, lewd, political,  controversial, or violent imagery is prohibited.
    • No items may be affixed to any part of the facility through nails, screws, tape or other means.
  • Respect and Professionalism:

Vendors are required to maintain a courteous and professional demeanor towards customers, volunteers from the Art League of Baytown, fellow vendors, and customers. Any concerns should be directed to the Art League of Baytown.

Given that this event is hosted on city of Baytown property and is a family friendly event, it is crucial that all merchandise and products comply with appropriate standards. Please avoid selling items that feature nudity, offensive language, inappropriate phrases, or demonic, pornographic, lewd, political, controversial, or violent imagery. Your cooperation is vital in preserving a respectful environment for all participants and a welcoming environment for customers.

  • Set-up/Breakdown:

All vendors are accountable for their own setup and breakdown processes.

Vendor Setup: Please see the times for each market noted above.

Vendors are permitted to use the West Defee Street entrance and the West Texas Avenue entrance to transport their products and materials to their designated booth spaces. It is important to plan ahead, as no carts, dollies, or heavy lifting assistance will be provided. All vendors must ensure their booths are fully setup and operational 30 minutes prior to the opening time of the market.

Vendor spaces that are not occupied 45 minutes prior to the specified market opening time will be considered forfeited, allowing the Art League of Baytown to utilize those spaces as needed, with no refunds issued for forfeited vendor spaces.

Vendor Staffing: Vendors must ensure their booths remain open and staffed throughout the market hours, and may not begin dismantling their booth until the specified market closing time to accommodate late attendees (unless the Art League of Baytown gives you permission to do so). The Art League of Baytown cannot provide staffing for your booth; however, if you need to take a quick break and do not have someone to watch your booth, we may be able to provide a volunteer to do so for a short time.

Vendor Breakdown: Breakdown will commence at the specified market closing time and vendors are required to leave their booth area clean and free of trash. Again, it is essential to plan accordingly, as no carts, dollies or heavy lifting assistance will be available during this time.
Please be aware that any vendor who begins breakdown before the specified market closing time will be barred from participating in future events organized by the Art League of Baytown.

It is the responsibility of vendors to maintain cleanliness at their booths and to properly dispose of any waste generated, including taking away all empty packaging and shipping boxes. The Art League of Baytown does have a dumpster at the edge of the parking lot behind the building where you can dispose of trash. Any loose trash must be in a bag or box. Empty boxes must be broken down.

  • Attendance / Punctuality:

Vendors are expected to be fully set up and operational 30 minutes prior to the specified market opening time and must keep their booths open until the specified market closing time. The Art Center of Baytown will open its doors to vendors at least 2 hours prior to the specified market opening time for final booth preparations. Please be aware that any nVendor spaces that are not occupied 45 minutes prior to the specified market opening time will be considered forfeited, allowing the Art League of Baytown to utilize those spaces as needed, with no refunds issued for forfeited vendor spaces.

  • Vendor Breakroom:

To show our appreciation for our vendors, we will have a vendor breakroom in a designated area, with snacks, bottled water, and sodas available (until supplies run out). We kindly ask that you serve yourself with consideration to ensure that there is enough for everyone.

  • Parking:

We recommend parking in the lot on the West Defee Street side to facilitate easy access to the back door of the Art Center of Baytown during setup and breakdown periods. Given the number of vendors, you may encounter a lengthy wait at this entrance. The Texas Avenue doors will also be accessible during these times.

So that customers can have access to close parking, we ask that you move your car out of the lot on Defee once you have unloaded. Please do not park directly in front of the Art League on Texas Avenue.

  • Marketing:

The event will be advertised online, in local publications, in Art League of Baytown newsletters, and on many sites and social networks. Fliers and other signage will be displayed throughout the month before the event. We ask that vendors share the event information with their customer base to insure a good turnout. We encourage you to follow us and share the Facebook event page so we can collaborate in mutual promotion. The Art League of Baytown is actively exploring further marketing opportunities.
