BUILDING USE AGREEMENT
Signee agrees to the following and agrees to share the content of this Agreement with all event organizers:
1. USE OF SPACE:
- Use of the facility is limited to the dates and times outlined in this agreement.
- The signee must remain on the premises until all guests have departed.
- Heating and cooling systems are pre-programmed. Please do not adjust the control panels.
2. CARE OF THE FACILITY:
- The signee accepts responsibility for any damage to the rental space or its contents and will reimburse Room One for all costs associated with said damage.
- Room One is not responsible for items left inside or near the facility.
- Any personal injury or property damage must be reported promptly to Room One (Mallory Conner: mallory@roomone.org)
3. CLEANING & RESET:
The signee is responsible for cleaning all areas used and leaving the space as it was found.
This includes the following and any additional posted guidelines:
- Returning all tables, chairs, and equipment to their original configuration
- Cleaning any dishes and kitchen equipment used
- Cleaning surfaces, vacuuming or sweeping, and spot mopping (only if needed)
- Removing all food, decorations, and non-Room One items
- Disposing of garbage & recycling in provided bins
- Completing a post-event walkthrough with Room One staff lead
A fee of $100 may be charged if these guidelines are not followed.
4. SAFETY & SECURITY:
The signee is responsible for maintaining a safe and secure environment, including:
- Ensuring EXIT doors remain accessible at all times
- Supervising all children
- Keeping unused doors locked
Please note that exterior security cameras are in use on the property for safety purposes.
Cameras record video footage only and do not record audio.

All local, state, and federal health and safety regulations in effect at the time of the event must be followed.
5. RENTAL FEE:

2 hour block of time: $75	6 hour block of time: $200
4 hour block of time: $150	8 hour block of time: $250

Room One wants our spaces to be available for the community while also ensuring that we are covering maintenance costs and staff time. If the rental fee is a barrier, please check the box on your reservation request form and a Room One Staff member will follow up to evaluate whether your event is eligible for a reduced or waived fee.

6. INSURANCE:
- Provide a Certificate of Insurance naming Room One as Additionally Insured with a minimum of $1,000,000 in coverage or sign a hold harmless liability waiver and indemnification agreement. Your insurance representative can issue a certificate through a homeowners policy or provide a single-day/special event policy.
- Please send your Certificate to Room One when you send in your payment. Room One can assist if this process is new to you.
7. CONFIDENTIALITY:
Confidentiality is essential to the safety and effectiveness of Room One's resources and programs.
- Do not share the names or stories of individuals encountered in the building.
- All paper documentation and client files on-site are confidential
- All group leads & participants who meet during Room One's regular business hours or scheduled programming must sign a confidentiality contract.
8. CANCELLATION POLICY:
- If you no longer need to use space at Room One, please notify Mallory Conner (mallory@roomone.org) at least 7 days prior to your event. These rooms are in high demand, so this will allow us time to review other requests.

I acknowledge, by doing so, I am solely responsible for carrying out the provisions contained herein. Delegation of any or all of these responsibilities to other parties does not relieve me of any liability incurred herein. I agree to reimburse Room One for any and all damages arising from applicants' use and hold Room One harmless of any such damages for any personal injuries, property damages, or other liabilities that may be incurred during use of their facility.
