  • After initial month of tuition, payments will process two (2) calendar days before the first of the month to ensure they are processed by the first of the month. Step Up for Students payments are required to be processed/sent a minimum of seven (7) calendar days before the first of the month (to ensure they have processed in time. A valid payment method is required to be on the account and a late fee may apply to the account after the account is over seven (7) days late.

Consistent attendance is expected. Student absences do not receive individual makeup classes, tuition credits, refunds, or prorated tuition. If IMS cancels a class, IMS will make reasonable efforts to provide a replacement instructional opportunity.

  • Rehearsals and performances, including the Year-End Show, are important parts of the Academy.

Families should review the 2026–2027 Program Calendar, make every reasonable effort to attend, and notify IMS early of conflicts.

Illness and unavoidable emergencies are understood.

  • Communication & Student Portal

  • Frequent absences may prevent a student from keeping up with their band or participating in performances. IMS may ask a student with consistently insufficient attendance to withdrawl and re-enroll at another time.

Enrollment reserves a place in the annual program; choosing another conflicting voluntary activity does not cancel the annual tuition commitment.

Serious illness, family emergencies and exceptional circumstances may be reviewed individually.

  • The IMS Student Portal (Opus1) remains our existing platform for enrollment, invoices, payments and account information.

  • New for 2026–2027: Spond app will be used for Academy communication (very similar to TeamReach). Parents will receive instructions for log into their student's class group after they officially register their student(s).

IMS will use Spond for class and band announcements, events and calendar updates, assignments, music and song links, and practice/review resources.

Opus1 (IMS Student portal) will have student's individual calendar (important for those adding private coaching option with band schedule integration), will be the place to pay any invoices, and receive direct communication regarding anything done in private coaching sessions.

  • Students may enter at their scheduled class start time and must be picked up promptly at their scheduled end time. Early drop-off is not available. Parents/guardians should arrive 5–10 minutes before class ends to be ready for pickup.

  • At least one parent/guardian must join their student’s Spond group and review Academy communications. A current IMS Emergency Contact Form is required each Academy year.
  • Drop-Off, Pickup & Safety

  • Classes run back-to-back, and IMS cannot supervise students before or after their scheduled class. Students must not wait outside unsupervised, particularly near Overseas Highway. Repeated late pickups may result in a required meeting or pause in enrollment.

  • High-school students may depart independently only when a parent/guardian has expressly authorized this on the current IMS Emergency Contact Form.

Students must follow staff instructions and treat others and school property respectfully; unsafe or disruptive behavior may require parent pickup or a pause in participation.

  • MusicPro LIVE! Elite — Required Mentorship & Apprenticeship

  • MusicPro LIVE! Elite students complete a minimum of 10 hours of supervised mentorship and/or apprenticeship during the 2026–2027 Academy year.

This is an opportunity to explore the music school beyond their own classes, develop leadership and practical skills, and share their knowledge with younger musicians.

With IMS approval and instructor supervision, students may: shadow instructors while setting up and operating live sound at performances; assist or mentor younger students during Academy classes; observe or assist with our early-childhood music programs (including pre-K/Kindergarten activities); help with rehearsals, shows, and special events; support younger students during summer camps; or observe or assist with private coaching sessions.

Activities will be matched to each student’s interests, maturity, and readiness. IMS will coordinate and document eligible hours. Participation does not authorize unsupervised teaching, childcare, or operation of technical equipment.

  • Final Month of Program

  • Final Month Programming takes place in summer 2027 after the final tuition payment in June. Depending on the student’s program, families may participate in scheduled Academy programming or choose an available camp or private coaching alternative.

These are alternatives, not cumulative benefits, and all options are subject to scheduling and availability.

  • Private coaching alternative: Studio I — up to two 30-minute sessions; Studio II — up to two 30-minute sessions; MusicPro LIVE! — up to three 30-minute sessions; MusicPro LIVE! Elite — up to four 30-minute sessions. These sessions are available instead of the applicable final-month programming, not in addition to it.

  • Any final-month alternative must be scheduled and completed by July 31, 2027.

Anticipated camp weeks are July 19–23 and July 26–30, 2027, subject to confirmation and space. MusicPro LIVE! Elite also includes a minimum of 10 apprenticeship hours as part of the annual program.

  • Payment & Media Policies

  • Families must maintain a valid payment method in the existing IMS Student Portal (Opus1) and keep account information current. Payments process two full days before the first of the month to clear by the first of the month.

A $25 late fee may be assessed when a scheduled payment is more than (7) days overdue.

Please contact IMS promptly about payment concerns.

  • Academy classes, rehearsals, and performances may be photographed, filmed, or audio-recorded. IMS may use recordings and images featuring students for educational documentation and school promotion, including its website and social media.

Families with a specific privacy concern should contact IMS before participating so it can be discussed.
