  • FOOD TRUCK PARTICIPATION AGREEMENT & EVENT RULES
By registering for Autumn Ramble, I agree to follow all applicable event rules and requirements listed below.

    1. Registration and Acceptance
All food truck operators must complete registration and receive confirmation of acceptance from event organizers before participating.

Organizers reserve the right to approve or decline applications based on available space, event logistics, menu variety, safety, compliance requirements, and the needs of the event.

    2. Space Fee and Payment
The food truck space fee is $50 for all space sizes. Vendors must follow the payment instructions and deadline provided by event organizers.

Any additional fee or requirement, if applicable, must be communicated in advance. The event’s announced refund policy and applicable law will govern any refund or payment dispute.

    3. Arrival, Setup, and Breakdown
Food truck operators must follow all arrival, check-in, setup, service, and breakdown instructions provided by event organizers.

Food trucks and trailers must be positioned in their assigned spaces. Operators must not block pedestrian walkways, emergency exits, fire lanes, other vendors, public access routes, or designated parking areas.

Once positioned, vehicles must not be moved during operating hours without organizer approval, except when required for an emergency or immediate safety concern.

Operators must remain open during their agreed-upon service hours unless otherwise authorized or required by an emergency or safety concern.

    4. Vehicle Safety and Operation
Food truck operators must drive slowly and carefully on event property and follow all traffic directions.

Reckless driving, unnecessary vehicle movement, unsafe backing, or any action that endangers attendees, children, vendors, or event personnel is prohibited.

Operators are responsible for ensuring that their vehicles are suitable for the event location and that any required vehicle registration, driver’s license, and insurance are maintained.

    5. Food Safety and Sanitation
Food truck operators are responsible for preparing, storing, transporting, handling, and serving food safely and in accordance with applicable food safety laws and health department requirements.

Operators must maintain appropriate temperatures for hot and cold foods, prevent cross-contamination, use safe water sources where required, maintain clean food-contact surfaces, and ensure that food handlers meet applicable requirements.

Food must be protected from contamination, pests, unsafe temperatures, and other conditions that could make it unsafe for consumption.

Operators must stop serving any food that they know or reasonably suspect may be unsafe.

    6. Permits, Licenses, and Inspections
Each food truck operator is responsible for obtaining and maintaining all permits, licenses, inspections, certifications, and approvals required for their business and menu.

These may include applicable mobile food vendor permits, health department approvals, food handler credentials, business licenses, tax registrations, fire inspections, and other legally required documentation.

Organizers may request documentation before or during the event. Approval by Autumn Ramble does not guarantee that a food truck meets governmental requirements or exempt it from inspection.

    7. Menu Accuracy and Allergen Information
Operators must accurately represent the food and beverages they offer and comply with applicable requirements for ingredient, allergen, and menu disclosures.

Operators are responsible for providing customers with accurate information about known allergens and for taking reasonable precautions to prevent cross-contact.

Food trucks must not make misleading claims about ingredients, preparation methods, dietary suitability, or food safety.

    8. Cooking Equipment, Fire Safety, and Propane
All cooking equipment, fryers, grills, propane systems, generators, electrical equipment, and heat-producing appliances must be operated safely and in compliance with applicable laws and fire safety requirements.

Operators must properly secure and maintain propane cylinders, fuel supplies, electrical connections, and other equipment.

Fire extinguishers and other safety equipment must be provided where required. Open flames, cooking fires, fuel storage, and other potentially hazardous operations must comply with applicable regulations and any additional venue rules.

Event organizers may require equipment to be shut down or removed if it presents a safety concern.

    9. Electricity, Generators, and Water
Electricity, water access, and other utilities are not guaranteed unless expressly confirmed by event organizers.

Operators must obtain approval before connecting to event power or water sources. Electrical equipment must be appropriately rated and protected against weather and other hazards.

Generators must be positioned and operated safely, with appropriate ventilation and separation from people, vehicles, and combustible materials. Generator exhaust must never be directed into enclosed or occupied areas.

Operators are responsible for bringing any supplies or equipment needed for their operations unless organizers have confirmed otherwise.

    10. Wastewater, Grease, Oil, and Trash Disposal
Operators must collect and dispose of wastewater, used cooking oil, grease, food waste, and other refuse in accordance with applicable requirements.

Grease, oil, wastewater, and chemicals must never be poured onto the ground, into storm drains, or into unauthorized disposal locations.

Food trucks must keep their service areas clean and dispose of all trash in designated containers or approved disposal facilities.

Operators are responsible for cleaning their assigned areas before leaving the event.

    11. Customer Service and Good Sportsmanship
Food truck operators must treat customers, fellow vendors, organizers, volunteers, and members of the public with courtesy and respect.

Harassment, threats, discriminatory behavior, aggressive conduct, disruptive arguments, and interference with another vendor’s business will not be tolerated.

Operators must address customer concerns professionally and comply with applicable consumer protection laws.

    12. Sales, Taxes, and Business Responsibility
Each operator is independently responsible for menu pricing, customer transactions, payment processing, sales taxes, business expenses, refunds, and compliance with applicable laws.

Autumn Ramble does not guarantee a minimum number of customers, sales volume, profits, or financial success.

    13. Insurance and Responsibility for Operations
Each operator is responsible for maintaining any insurance required by law, the venue, or event organizers.

Food truck operators are responsible for their vehicles, cooking equipment, employees, contractors, food preparation, service operations, and other business activities.

Organizers may request proof of applicable insurance before participation.

    14. Cleanliness and Property Protection
Operators must maintain a clean, safe, and orderly service area. They must take reasonable precautions to prevent spills, fire hazards, food contamination, damage to venue property, and other unsafe conditions.

Operators are responsible, to the extent provided by applicable law, for damage caused by their negligence, unsafe equipment, or business activities.

    15. Weather and Unforeseen Circumstances
Outdoor events may be affected by rain, wind, extreme temperatures, storms, power interruptions, or other circumstances beyond the organizers’ control.

Operators must secure equipment, protect food, and follow safety instructions. Organizers may delay, modify, relocate, suspend, or cancel event activities when reasonably necessary.

Any refund, credit, or other payment arrangement will be handled according to the event’s announced policy and applicable law.

    16. Photography and Promotional Use
I understand that photographs or videos may be taken during Autumn Ramble. I grant permission for photographs or videos of me, my food truck, and my displayed business operations, captured in connection with the event, to be used for event-related publicity, promotional materials, websites, and social media without compensation, to the extent permitted by law.

This permission does not authorize misleading or defamatory use of my image or business.

    17. Organizer Authority and Enforcement
Event organizers reserve the right to interpret and enforce event rules, request documentation, adjust placement, require correction of unsafe conditions, stop unsafe operations, or remove a food truck operator from the event when reasonably necessary for safety, noncompliance, serious misconduct, or event operations.

Any removal, fee retention, or refund determination will be handled according to applicable law and the event’s announced policies.

    RISK & LIABILITY WAIVER
PLEASE READ THIS SECTION CAREFULLY BEFORE SIGNING.

    1. Acknowledgment and Assumption of Risk
I understand that operating a food truck and participating in Autumn Ramble involve risks that may include, but are not limited to, vehicle movement, collisions, fire, burns, hot surfaces, cooking oil, propane, electrical equipment, slips and falls, food preparation hazards, foodborne illness, allergic reactions, weather conditions, theft, property damage, and personal injury.

I voluntarily choose to participate in the event and assume the ordinary and reasonably foreseeable risks associated with my participation, including risks arising from my food truck, equipment, food preparation, employees, contractors, and business activities, to the extent permitted by applicable law.

    2. Release of Liability and Claims
To the fullest extent permitted by applicable law, I release and discharge Autumn Ramble, its event organizers, sponsors, volunteers, staff, agents, representatives, and the owners and operators of the event venue (collectively, the “Released Parties”) from claims, demands, causes of action, damages, losses, costs, and expenses arising out of or relating to my participation in, attendance at, or operation of my food truck at the event, including claims for personal injury, property damage, theft, or other loss arising from ordinary negligence where such a release is legally enforceable.

To the fullest extent permitted by applicable law, I agree not to bring or pursue a claim or lawsuit against a Released Party for matters covered by this waiver.

This release does not apply to liability that cannot legally be waived, including liability arising from gross negligence, reckless conduct, intentional misconduct, or other conduct for which a release is prohibited by applicable law.

    3. Vehicle, Equipment, Merchandise, and Personal Property
I understand that I am responsible for my food truck, trailer, cooking equipment, utensils, supplies, inventory, money, personal belongings, and other property brought to the event.

To the fullest extent permitted by applicable law, I release the Released Parties from claims relating to loss of, theft of, or damage to my vehicle, equipment, inventory, personal belongings, or other property in connection with the event, including claims based on ordinary negligence where legally permitted.

I understand that the Released Parties do not guarantee the security of my property and do not provide insurance coverage for my vehicle, equipment, merchandise, or belongings. I am responsible for obtaining any insurance coverage I consider appropriate.

    4. Food Preparation, Service, and Customer Safety
I acknowledge that I am independently responsible for the safety and quality of the food and beverages I prepare, store, transport, and serve.

I agree to comply with applicable food safety laws, health department requirements, sanitation standards, allergen disclosure obligations, and other requirements relating to my business.

To the extent permitted by applicable law, I agree to be responsible for claims, losses, or damages arising from my own food preparation, storage, handling, or service, including food contamination or allergen-related incidents attributable to my operations.

Nothing in this provision eliminates any liability of another party that cannot legally be waived or transferred.

    5. Responsibility for My Conduct and Business Operations
I am responsible for the safe operation of my vehicle, cooking equipment, electrical systems, generators, propane systems, and other business equipment.

To the extent provided by applicable law, I may be held responsible for injury, property damage, or other harm caused by my negligent, reckless, or intentional conduct, my employees or contractors acting within the scope of their work, or my failure to follow applicable laws and event rules.

    6. Indemnification for My Actions
To the extent permitted by applicable law, I agree to indemnify and hold harmless the Released Parties from third-party claims, losses, damages, and reasonable expenses arising from my negligent, reckless, or intentional acts or omissions, my violation of applicable laws, or my material violation of this agreement.

This provision does not require me to indemnify a Released Party for that party’s own negligence or other conduct where such indemnification is prohibited by applicable law.

    7. Medical Emergencies
I understand that event organizers and volunteers may not have medical professionals or medical services available on site. If an emergency occurs, I authorize event personnel to contact emergency services when reasonably necessary.

I remain responsible for my own medical expenses except where responsibility is imposed by applicable law.

    8. Understanding and Voluntary Agreement
I confirm that I have read this agreement, understand its general purpose, and have had the opportunity to ask questions or seek independent legal advice before signing.

I understand that this agreement includes a risk and a release of certain legal claims and may limit my legal rights to the extent permitted by law. I am signing voluntarily and agree to comply with its terms.
