    Reservations & Payment

    To confirm your reservation, a deposit of $15.00 per participant is required. The deposit must arrive no later than 10 days from the date you submit your forms. If the deposit is not received within 10 days, there is no guarantee that your desired weekend will still be available.

    The deposit will be deducted from the final invoice. Payment is due no later than two weeks following your retreat. An invoice will be e-mailed within 72 hours following your retreat. The invoice will reflect the number of reservations confirmed on the Monday prior to arrival; or if not confirmed on the Monday prior to arrival, the actual number of participants on site or reservations shown on this reservation form, whichever is greater.

    Waterfront

    The lake is open from April 1st through September 30th, or when unseasonably warm. There must be Camp Evergreen lifeguards on duty when your group is in the lake. There may be an additional fee of $100 for each lifeguard used. You must have 1 lifeguard for every 20 people in the lake. If you want to use more than one element of the lake at the same time (blob, zipline, slides, high dive), you need at least 2 lifeguards on duty, even with less than 20 people.

    Property Damage

    If your group is responsible for property damage, it should be reported as soon as it is discovered. Cost of materials and labor to repair damages may be deducted from your deposit or added to your final invoice, according to the discretion of the Manager of Retreat Operations.

    Camp Evergreen’s policy concerning graffiti is to assess the group an amount of $100 per incident of any type.  This is a strong encouragement for you as a group leader to inform participants of the improper use of writings and drawings on any part of camp property. Cancelations

    Cancel a reservation by contacting Katie Grady. Full refund of the deposit is given with more than 75 days notice. One-half the deposit will be refunded 46-75 days prior to arrival. Cancellation less than 45 days prior to the retreat requires forfeit of the deposit.

    Arrival & Departure

    Please have a complete participant list, showing campers, adult leaders, worship leaders, etc. to be submitted upon arrival.

    You must adhere to the arrival and departure times that are agreed upon. We do not accept early arrivals or late departures. Your group is responsible for cleaning your cabins. Cleaning supplies are provided.

  • Group leaders are responsible for the behavior and actions of all participants and must enforce all the rules below:

    1. Camp Evergreen is a drug and tobacco free campus.
    2. Do not enter a cabin that has not been assigned to you, unless you obtain permission. During youth events, no males in female cabins and no females in male cabins.
    3. If participants are under 18, there must be at least one adult staying in each cabin.
    4. No participants or leaders allowed in "Staff Only" areas of the Camp Evergreen property, without Evergreen staff permission.
    5. In an effort to provide an atmosphere of retreat and spiritual growth:
      1. Cell phone use is discouraged
      2. Use of radios, ipods, and electronic games are discouraged
    6. Pets must remain at home.
    7. For your safety, please wear hiking shoes, closed-toed shoes, or sandals with a heel strap. All other types of shoes are highly discouraged.
    8. Swim suits and clothing should be appropriate and modest in design.
    9. Lifeguards are required for all aquatic activities – both lake & creek.
    10. Vehicles are to be parked in designated areas (NOT in the cabin area).
    11. There must be NO food or drink of any kind, including cups and wrappers, inside or around ANY cabin. Available food encourages the creatures to visit.
    12. Do not walk alone. Have at least one person (of your same gender, if youth) with you AT ALL TIMES.
    13. Leaders must know where their participants are AT ALL TIMES.
    14. Make noise as you walk around at night. Always travel in larger groups once it becomes dusk. This makes animals stay away.
    15. All participants and leaders must follow additional guidelines and policies set in place by the Manager of Retreat Operations or any other Camp Evergreen Staff member.
    16. FAILURE TO COMPLY WITH CAMP RULES MAY RESULT IN GROUP OR INDIVIDUALS BEING DISMISSED FROM THE PROPERTY.
