Company Property Policy
Overview
The intent of this policy is to ensure that all property maintained by MY HAITI TRAVELS (Company) is kept in the best possible working condition and to ensure proper utilization. Property shall be defined as any piece of equipment, furnishing, vehicle, building or supply leased, owned, donated or otherwise in the custodial care of MY HAITI TRAVELS or any person acting as its agent.
General Conditions
a. It is the responsibility of each employee to maintain his/her work environment in an orderly fashion and follow all Company guidelines to ensure its proper use and maintenance.
b. Should any employee have knowledge of any misuse, he must notify his supervisor immediately.
c. Any employee found to neglect or misuse agency property will be sanctioned under the disciplinary policies. This may include termination. If the neglect is determined to be gross, the agency will expect remuneration for part or all of the replacement cost. MY HAITI TRAVELS may elect to file a civil action to enforce the remuneration.
d. No employee shall use agency property for personal use unless specific permission has been granted by the Managing Director. This includes, but is not limited to, computers, pagers, telephones, cellular phones, copiers, faxes, Internet services, printers, etc. Should permission be granted, the employee is responsible for the return and care of the loaned property. Special care should be taken to identify any concerns regarding its condition before the property is removed and/or used.
e. Misappropriation of agency property is grounds for immediate termination and possible criminal action.
Electronic Devices
a. Electronic devices shall be defined by example. Examples of such items may include, but are not limited to, computers, laptops, pagers, cellular phones, telephones, printers, fax machines, Internet connections, e-mails, televisions, video players, etc.
b. As stated above only with specific permission may these items be used for personal use.
c. No employee shall use these devices for personal use, except as provided herein.
d. If an equipment item assigned to an employee is lost or stolen due to an employee’s willful negligence, the employee is financially responsible for the value of the lost or stolen equipment item.
Information
a. For the purpose of this policy, property or information shall include any agency sponsored information, such as, but not limited to, any agency lists, such as donor, employee, client, volunteer; any MY HAITI TRAVELS database information such as names, addresses, telephone numbers; any personnel file information, such as addresses, telephone numbers, employment status, wage history and any photographs, video tapes; and/or sound clips of any employee, volunteer, donor, or client.
b. Only those employees with authorization from the Board, Executive Director or as part of their job description may speak on behalf of MY HAITI TRAVELS. Furthermore, additional permission is required to disseminate confidential information.
c. No employee shall knowingly dispense such information to any outside party unless authorization has been granted. This could include other employees who do not have the right to know such information. Any breach shall be considered a violation of MY HAITI TRAVELS’ policy concerning confidentiality and could be a violation of state and federal law.
I hereby accept the responsibility for all property issued to me throughout the course of my employment with MY HAITI TRAVELS. I understand that I am required to return all company property upon request or at termination of employment.
