Please read the following information before submitting your contract. Once the contract is submitted the date is non-transferable. It is your responsibility to read the following rules and notify anyone in your group of the rules if you will not be onsite. Signing the contract acknowledges that you have read and understand all of the following rules and the cancellation policy.
• At least 30 people must attend the event. Exceptions allowed on approval of Event Coordinator.
• The food minimum is $1,000-$1,500 depending on your event day/time. Only food purchases apply to this minimum. Drinks/bar sales will not be counted towards this minimum. If this minimum is not reached in food sales, the difference will be added to your final bill as an additional rental fee. December: Friday and Saturday dates have a higher food minimum-please see Coordinator.
• No alcohol will be served past 11:30 pm. No alcohol will be served before your contract event start time.
• A valid credit card is required to reserve the site.
• CANCELLATIONS- dates are non-transferable. If you need to change your date that is considered a cancellation. Cancellation fees are based on how much notice we receive to account for our losses as a business and to staff. After the contract is signed:
-If you cancel for any reason you will be charged the rental fee. If we can re-book the date we will refund this to you.
-If you cancel within 14 days of your event: you will be charged the rental fee and 25% of your food order. Any specialty bar orders (beer/wine/liquor) will be charged for the full cost incurred by Beside Bardenay.
-If you cancel within 7 days of your event: you will be charged the rental fee + 50% of your food order. Any specialty bar orders (beer/wine/liquor) will be charged for the full cost incurred by Beside Bardenay.
• In December and on Holidays, your rental fee is non-refundable.
• All food choices must be confirmed within two weeks of your event, and a final head count 1 week prior to the event.
• Beside Bardenay will add a twenty percent gratuity to the final bill.
• No outside food or drink is allowed on premise. Absolutely no underage drinking allowed. Any underage drinking will result in the immediate termination of the event.
• No alcohol is allowed outside the building.
• NO confetti, glitter, balloons with confetti or glitter OR sticky name tags. All of these are prohibited; a $100.00 cleaning fee will be imposed if used. Only live flame candles on approval. When in doubt of your decorations, ask Coordinator or on-site contact. Reminder: you are responsible for removing and disposing of any and all of your decorations. You will incur a $300 fee for materials that are left without prior approval.
• The patio is NOT included in the rental contract.
• Payment IN FULL is expected at the conclusion of your event, barring prior arrangement with Event Coordinator. Credit cards, cash and business checks will be accepted. NO personal checks will be accepted. Please make sure you have your form of paymet onsite. You are expected to check out with a BB staff member before leaving the venue. BB staff cannot access the credit card entered here to save the date.
• Your group will be allowed access to the building 2 hours prior to event for any decorating. If more setup time is needed, the rental fee will be increased. BEVERAGE/FOOD SERVICE DOES NOT BEGIN UNTIL EVENT START TIME.
• Lessee is responsible for actions of guests. Any damages to Beside Bardenay property incurred by guests of event will be charged to lessee. Any unpaid or walked guest tabs will be charged to the renter's card on file.
