TRAVEL INSURANCE - Travel Insurance is strongly recommended. The traveler is advised to obtain appropriate insurance coverage against penalties if reservations are canceled, flights delayed, luggage is lost or stolen, or any other covered vacation mishap occurs. Information concerning insurance is available through our travel agency. It is required by the Travel Insurance company that you purchase your policy within 15 days of booking (placing a deposit) trip to receive the full benefits of the policy. Please be sure you read the policy details for coverage information. It’s important that you read your policy and understand it when you receive your quote and BEFORE your purchase.
VACCINATION / TESTING - A COVID 19 vaccination and/or booster and testing for the virus may be required by your destination. You will be responsible for making sure you are reading to travel with the proper vaccination and/or testing before you arrive at the airport.
CONFIRMATION OF ITINERARY & DEPOSITS - A signed approval form or a confirmation email for your approval of the itinerary is necessary along with a credit card authorization form to make a deposit on your trip. This is to ensure that you agree with the itinerary and other choices that you have made and that you are ready to deposit on your trip. Remember that some (most) deposits are non-refundable. Your first choice(s) of dates, categories, rooms, seats, ships, resorts, and any other supplier may not be available. It is important to have flexibility when making any kind of reservation.
PERSONAL INFORMATION REQUESTS - Your Travel Agent will need basic information for each guest traveling. This will include Names, address, phone, email, birthdates, passport information, special requests, and more. Some suppliers require/request that the client also fill out their personal information forms online. It is your responsibility as the traveler to complete any information requests in a timely manner and by the requested due date in order to ensure timely and accurate information for your trip. Aqua & Earth Travel is not responsible for mistakes made by the client given either online, over the phone, in email, or any other type of communication. Your personal information will be kept in our secure database for use as needed during your booking and travel periods. At your request, your credit card and/or passport information will be removed from our database once travel has completed.
PASSPORTS - Please make sure that your passport is up to date and does not expire within 6 months after travel or you may be denied boarding on either end of your trip. Leave a copy of your passport with a trusted relative as well as your travel agent in case of an emergency.
TICKETS/PROMOTIONAL FARES - Discounted fares involve certain restrictions. A change in carrier(s), flight(s), time(s), routing(s) or other, could result in a carrier demanding a full fare or a change/cancellation fee. Obtain travel agency or airline assistance before making changes. Your Travel Agent must be notified immediately if your tickets are Lost, stolen or destroyed if we have secured the issuance of the tickets and the e-tickets. A refund may or may not be issued from the issuing carrier, subject to an airline imposed service charges and rules. All fees are paid by the traveler. All airline tickets must be paid in full at the time of purchase unless otherwise advised with your travel agent. Fees will apply.
HOTELS/RESORTS - Many Resorts/Hotels are requiring pre-payment with your credit card to book your reservation. A credit card is necessary to make these types of reservations. If you need to cancel or change plans once the booking is made, please first notify your travel agent. If you are traveling and can not reach your Travel Agent, it is your responsibility to contact the property directly with the needed information and leave a message for your Travel Agent. Fees will apply.
TRAVEL DOCUMENTS - Your Travel Agent will secure and forward your travel documents needed for your trip that was booked and secured by Aqua & Earth Travel. It is your responsibility to check your documents when you receive them. Call this travel agency immediately if there are any errors (i.e. misspelled names, etc.) or if you have any questions. If you have purchased any part of your vacation yourself directly with any supplier, it is your responsibility to handle any issues, acquire all documentation, pay any fees, and make sure you have all information needed prior to travel.
AIR CONFIRMATION & ONLINE CHECK IN - Reconfirm the date, time and all other information when the reservation is booked. Check-in online at the carrier's website for domestic flights, 24 hours prior and international flights 72 hours prior to travel unless otherwise directed by your travel agent. Pay baggage fees. Print your boarding passes if possible as it will save time at the airport. Failure to use any reservations or portion of your reservations booked, will result in automatic cancellation of all continuing and return reservations and may incur “no-show” or other fees. You must verify your airline's luggage requirements on their website to determine if there are surcharges for checked luggage or carry-ons and that you have proper sizes. Rules vary per Airline. If you book your own flights for any part of your trip, you are responsible for any and all communication, issues, changes, fees, etc. for that reservation.
AIRPORT CHECK-IN - Minimum check-in time at the airport for domestic flights is 1 hour and for international flights, 2-3 hours. We are not responsible if you are refused to board because you have not: arrived at the airport on time, checked in early enough, do not have the proper travel documents, or any other reason you may be denied boarding.
Cruise Check-In - has specific check-in requirements that must be met. All cruise documents will be given to you by your travel agent once all documents are received by the supplier. Boarding information and requirement will be located on your documents.
General Check-in information - Due to special health concerns by suppliers, you may be required to go through any number of health screenings, may be asked to provide physician letters or other verification that you are fit and healthy enough to travel. Be sure and read any and all documents regarding your travel from all suppliers so that you are prepared. Make sure you submit all correct information as requested prior to or during your trip. If you do have health concerns you should first contact your physician and then tell your Travel Agent so that information can be shared with suppliers only as needed or requested. All suppliers will have different requirements.
GROUPS - Group; space, packages, excursions, meals, tours, etc. are based on a minimum number of passengers traveling. If the number of passengers falls below the minimum required; trip may be canceled or changed, a surcharge may be imposed on all passengers or amenities may be taken away or altered to accommodate the change. This includes but is not limited to wedding groups, individual groups, or agency sponsored groups. All persons traveling with a group or booking within an existing group, event, special occasion, or agency sponsored trip secured by this agency, must book travel arrangements with this agency within the group to be included and qualify for any special rates, amenities, planned activities, wedding and/or reception attendance, meals, rooming lists, guest lists, services, itineraries or any other benefit being offered by this agency or supplier for the group. This is to benefit the host and the guests. This also ensures a minimum number of misunderstandings and ease of problem-solving. The booking agent can not assist any travelers not booked through this agency. Group codes are never given out for any reason and are for use by the booking agent only. Guests not booking with this agency for participation within a group secured through this agency, will not qualify for any of the above including the service being offered by this agency.
Group planning involves a lot of time and research. Recommendations will be made based on the specific needs of your group and availability. This agency is not liable for errors & omissions from the organizer/host. Services will be booked with experienced, preferred, insured suppliers for peace of mind. Final decisions and payments are usually due 75 days prior to departure.
PROOF OF IDENTITY IS REQUIRED FOR ALL TRAVEL - VALID PASSPORTS ARE REQUIRED FOR ALL TRAVELERS, REGARDLESS OF AGE FOR INTERNATIONAL TRAVEL. For domestic travel, valid drivers license (depending on your state residence) is required for all adults and birth certificates or passports are required for all travelers under age 18. Copies of all traveler's passports must be given to booking Travel agent when booking. Without proper identification, a passport and necessary visas, you will not be permitted to depart by the airlines. It is your responsibility to verify your necessary travel documents. We are not responsible if you are denied boarding because you do not have proper i.d. to travel or any other reason. We do require copies of passport/visa for every person traveling out of the USA. CANCELLATIONS/CHANGES - Trip cancellations OR changes must be in writing and sent to your Travel Agent immediately. Refunds can take 8 weeks or longer to process if one is approved. Airline tickets are nonrefundable in most cases and/or will incur cancellation & change fees. Other suppliers may also require cancellation/change fees. The traveler is responsible for any and all fees associated with your trip.
FEES: We reserve the right to charge service fees. We are not responsible for any change or cancellation fees charged by suppliers once your reservation is booked. Travel Agent fees will be discussed before booking your reservation. Aqua & Earth Travel fees are in addition to any airline, hotel, or any other supplier fees. Our agency service fees will apply for any and all trips secured by Aqua & Earth travel. Fees will apply as follows:
Modification/ Cancellation/Change Fees of client approved itinerary: An administrative fee of $100pp will be accessed after travel is booked with a deposit for any cancellation before, during, or after departure and paid directly to Aqua & Earth Travel. This fee will be charged to the traveler's credit card on file. These are non-refundable for any reason and does not apply to any other fees charged by suppliers.
DISCLAIMER OF LIABILITY - This travel agency is acting only as an agent for suppliers in selling travel-related services, or in accepting reservations or bookings for services that are not directly supplied by this travel agency (such as air and ground transportation, hotel accommodations, meals, tours, cruises, etc.). This travel agency, therefore, shall not be responsible for breach of contract or any intentional or careless actions or omissions on part of such suppliers, which result in any loss, damage, delay, or injury to you or your travel companions or group members. Unless the term "guaranteed" is specifically stated in writing on your ticket, invoice, or reservation itinerary, we do not guarantee any of such suppliers' rates, bookings, reservations, connections, scheduling, or handling of personal effects. This travel agency shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with terrorist activities, social, or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, criminal acts, viruses, or abnormal conditions or developments, or any other actions, omissions, or conditions outside the travel agent's control. Traveler assumes complete and full responsibility for and hereby releases this travel agency from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations, during the length of the proposed travel. For information concerning possible dangers at international destinations, contact the Travel Advisory Section of the U.S. State Department. For medical information, call the Public Health Service. By embarking upon his/her travel, the travelers voluntarily assume all risks involved in such travel, whether expected or unexpected. The traveler is hereby warned of such risks and is advised to obtain appropriate insurance coverage against them. Traveler's retention of tickets, reservations, or bookings after issuance shall constitute a consent to the above, and an agreement on his/her part to convey the contents hereto to his/her travel companions or group members. In preparing final documentation, the Travel Agent has relied on information supplied by Traveler. In the event any information supplied by the Traveler is inaccurate, final documentation must be returned to the agent and will be resubmitted to the supplier. Terms and Conditions, and availability will be in effect and any fees will be charged directly to the traveler.
