3. Portrait Session Policies
TIMELINESS: We ask that you arrive 10 minutes early for your session. Whatever you do—please do not be late. Arriving late reduces your available session time. For example, if you arrive 10 minutes late to a 20-minute session, we’ll only be able to photograph you for the remaining 10 minutes. This means you’ll receive fewer images than planned.*

We ask that you be 10 minutes early for your session. Whatever you do - DO NOT BE LATE. This limits the time we have to photograph you. If you are late, that time will come out of your session. Example: 10 minutes late to a 20 minute session means we will only photograph you for 10 minutes. This would leave you with half of the photographs you would normally get.*
CANCELLATIONS & RESCHEDULING: Cancellations or rescheduling with less than 48 hours’ notice will incur a $25 fee.*

WEATHER: Sessions may be rescheduled by Uchida Photo in the event of inclement weather, including rain, storms, or extreme temperatures. If the forecasted temperature is 90°F or above, your session may be rescheduled to ensure the safety and comfort of our clients and photographer. Our goal is to notify you at least one hour beforehand if a change is needed, but please understand that weather can be unpredictable. You will be notified as early as possible if a change is necessary.*

ORDER APPOINTMENT: Your scheduled Order Appointment is the special time to view your images and make selections, so we ask that you schedule this appointment around all decision makers. We make this a meaningful experience for your family to celebrate your senior. Please note: there will be no digital or online viewing of images.*

PRODUCT TURNAROUND: Your images will be ready to view at your scheduled Order Appointment, typically within 1–2 weeks after your session. All print and product orders are typically ready for pickup within 10–12 weeks of your order being paid.*

STUDIO VISITS BY APPOINTMENT ONLY: All visits to the studio must be scheduled in advance, including Framing Consultations and Order Pickups. This ensures that a team member will be available to assist you and helps us avoid interrupting ongoing portrait sessions or client consultations.*

ORDER PLACEMENT POLICY: We kindly ask that you place your order within 45 days of your original Order Appointment. Please note that if no order is placed within this window, all payments made to date will be forfeited. Our goal is to help you enjoy your portraits as soon as possible—let us know if you need any support in making your selections!*

Uchida reserves the right to reschedule your session for weather we feel may affect the session and/or for heat in excess of 9o+ or under 50 degrees. This makes for a very uncomfortable session. However, the session is not cancelled until you have heard from us. All attempts will be made to contact you at least 1 hour before your session. Please keep in mind that 1 hour window is not always possible. Weather can be unpredictable.*

Your Scheduled Order Appointment is the time to make decisions, so we ask that you schedule this appointment around all of your decision makers. We make this a special time to share with family for a very important time in your Senior's life. There will be no digital or online viewing of images.*
The turnaround time for your order is approximately 10-12 weeks from the final order payment date. A minimum 70% of the order price will be due at time there order is placed.*
If your scheduled appointment needs to change, please give 72 hours notice so your time may be given to someone else. A 25$ fee is assessed for each no show/cancellation/rescheduling less than 72 hours before your session or a missed appointment. (see policies on the guidebook for additional details on fees)*
All visits to the studio must be scheduled, including the Framing Consultation & Order Pickup. This insures that there will be someone available to help you as well will keep Uchida from interrupting any portrait sessions or consultations.*
If you do not place your order within 30 days of your original Order Appointment you will forfeit all payments made to date.*
