• Club Rental Application

  • CLUBS MUST READ THE RENTAL RULES AND REGULATIONS BEFORE SUBMITTING A REQUEST.

     

    Rentals are available for booking and use on weekdays between 10:30am and 4:30pm. All requests outside of this timeframe will be rejected.

    Rentals should be requested at least one week in advance of the date needed. Any requests sent with less than one week's notice will be rejected.

    Rentals are not available for the following days and events throughout the year:

    • YorkFest Festival Village - Sept 22, 2026
    • Frost Week Clubs Fair - Jan 12-13, 2027
    • YFS CultureFest 2027 - Jan 22-28, 2027

    Security deposit must be submitted as a cheque made out to the York Federation of Students. More information regarding rentals can be found on our website. 

    Note: This is a service reserved for YFS-ratified clubs in good standing, YFS Community Service Groups, and College Councils.

  • Terms and Conditions

     The York Federation of Students (YFS) offers free usage of our machines based on availability, to all ratified YFS clubs throughout the year for events and/ or tabling.

    • Use of the Popcorn Machine includes free popcorn with butter topping as well as Paper bags

    • Use of the Cotton Candy Machine includes free sugar as well as Paper cones

    • Use of the Snow Cone Machine includes free syrup and Paper cups. Ice will not be provided

    • Use of the PLAYSTATION 4 gaming console includes the console itself, all necessary cords and two controllers

    • Use of the XBOX ONE gaming console includes the console itself, all necessary cords and the Kinect attachment

    • Use of the NINTENDO SWITCH gaming console includes the console itself, dock, all necessary cords, additional Joy-Cons, Mario Kart Deluxe, Nintendo Switch Sports and Mario Party Superstars.

    ELIGIBILITY

    Only YFS Community Service Groups, College Councils and all ratified YFS clubs in good standing are able to use this service, but must also submit a refundable deposit for the entire cost of the machine. The deposit is required at time of pick up.

    BOOKING AVAILABILITY

    Any given machine can be booked by only one student group per day for use between 10:30am and 4:30pm, from Monday to Friday. The machine may not be kept overnight, over the weekend or used on days when the YFS office is closed.

    SET UP

    A member of the student group must pick up the booked machine from the YFS Office, 336 Student Centre, prior to the start of the event. A front desk staff will assist the student group with set up, and will also demonstrate how the machine is used by doing a trial run.

    STUDENT GROUP RESPONSIBILITIES

    Student groups are responsible for returning the machines in the same condition in which it was received. It must be cleaned, and returned to the YFS office. Students must be respectful of the equipment and treat it with care. If the machine is damaged from obvious misuse, the student group risks losing booking privileges.

    BOOKING PROCEDURE

    If you wish to book any of the machines, please have this form completed, with your requested date as well as well as the start/ end times and location of the event where the machine will be used

    Bookings are made on a first come, first served basis. An e-mail response will be sent to confirm that the machine is reserved for the date requested.
